Editor's Notes
Welcome to the Caton Merchant House new Resident, Family and Friend orientation. This orientation will take approximately 30 minutes to complete.
Whether you have been a part of the Caton Merchant House family for a while, or you have recently joined us, this orientation to each department of the Community will be beneficial. Once this presentation is complete, it is our hope that you feel empowered to make new friends and attend activities. You should have a better understanding of what makes Caton Merchant House a wonderful and unique assisted living community.
It is important that you know a little of our background. Caton Merchant House is named in honor of the man who initiated the establishment of Prince William Hospital in 1964. As president of the Prince William Hospital Corporation for 23 years, Caton Merchant, Jr believed in expanding services of the hospital to meet the changing healthcare needs of the Community. Caton Merchant House first opened its doors in 1986. Today, more than 25 years have passed and we continue the affiliation with the Prince William Hospital and other entities of the Novant Health System. As part of the Novant Health System, it is our goal to deliver you the most remarkable customer experience in every dimension, every time.

Some of you may not be in a location where you can visit daily, weekly or even monthly. You can find us on the web and keep up with what is happening by “liking” Caton Merchant House Assisted Living Community on facebook. There you can find pictures of events, meeting notices and other information. Make sure to tell your out-of-town friends and family who may want to keep up with what is happening. In addition, you can also find information at www.catonmerhcanthouse.org. Our website is the only place you can find our newsletter or monthly activity calendars – other than in the facility itself. Also,if you have not done so already, please provide your e-mail address to the admissions director.
On to the facility layout. The building is separated into four neighborhoods. Each neighborhood is assigned a housekeeper responsible for cleaning apartments and certified nursing assistants and medication aides are accessible to each apartment.
So as not to be confused by visitors, volunteers, private caregivers or other contractors hired by Resident family you can always identify a Caton Merchant House employee by the blue lanyard and employee badge. If you can’t see a badge, don’t hesitate to ask for a name. It is your right to know who is caring for you. But don’t worry, Caton Merchant House is pleased to have very low staff turnover for the industry and most staff work routinely with the same residents. You will get to know each person soon.
You have the right to take part in decisions for your care. If you have not already had the discussion about power of attorney and advanced directives, be sure to talk to your family about your wishes and put them in writing. There are many websites that can help you and your loved ones ensure your wishes are carried out. Please feel free to talk to your doctor, any Nurse, Mandy or Andrew for further questions.
It is important to us that you stay in this environment as long as you desire and are safely able to do so. Most people prefer this “home-like” environment to that of a nursing home. One of the interventions that will allow you to remain in this environment as long as you wish may be palliative or hospice care. Caton Merchant House welcomes the support of hospice when necessary.

One of the first things that was completed when you moved in was your ISP, or individualized service plan. Any routine care that is needed is listed on the service plan, such as bathing, dressing, or medication administration. This document is always evolving based on your needs. This document is what drives what assistance you receive. If you need any of your routine services changed, you can always see Mandy at any time to discuss or make changes. Meetings are held within 30 days of admission and annually thereafter. Residents and family are invited and encouraged to attend to make sure that we are all on the same page regarding your care.
Your first day as part of the Caton Merchant House family was likely very busy and probably a little overwhelming. Someone showed you around the building and gave you an idea of what your routine may be. However, having a friendly face who also lives here may help ease your transition. Sure our staff can tell you what it is like to live at Caton Merchant House but they have never really resided here. Caton Merchant House Ambassadors are Residents who welcome new members of the Caton Merchant House family by inviting them to activities, showing them around the community, and helping them meet new people. You can find an ambassador by checking for a name tag outside their apartment, or asking Mandy for assistance.
You have the right to voice your grievances and make decisions in your own home. The Resident Council is an informal discussion amongst residents and managers. In many instances, resident education is done during the meeting. Please try to attend, even if you don’t have concerns. Check your activities calendar for the date and time each month.
This is your home and you may have visitors at any time. For the safety and security of Residents and staff, the front door locks at 8 or 9 pm, depending on the season. If you tend to have late visitors, of if family would like access to a door that is close to your apartment, please let Sondra Evans know so a key fob can be issued.
A direct care staff person is employed for transportation to and from appointments or shopping trips. If you need transporation to an appointment, please contact the driver directly so no scheduling conflicts occur.
All of our Nursing staff are certified nursing assistants and the majority are registered medication aides. Licensed Nursing personnel are available in-house approximately 16 hours daily and are on call 24 hours daily to meet your needs.
All the Nursing Staff are accessible 24-hours a day and you can reach them in a couple of ways. For non-emergency reasons, the best way to reach the staff is via phone. There are three-digit internal phone numbers that can be used to reach them on their portable Spectralink phones.
There are ways that Nursing staff can be immediately reached in an emergency situation. There are emergency pull cords in the bedroom and bathroom of each apartment. When one is pulled, each C.N.A. on the unit you are assigned is called and the LED Emergency boards in the hallway alert all staff. You can also request an emergency pendant that you wear around your neck. This is similar to a “lifeline” device, but when pressed, it will alert the C.N.As in your nursing station. There is a fee for this device.
The next couple of slides will cover Medication administration which is the most common service offered. The determination of whether or not a Resident may self-administer his or her medications is made by the Resident themselves, family or friend, physician, or in some instances facility staff. Due to liability, Caton Merchant House Staff can not oversee the administration of medication nor provide reminders to ensure that medications are actually taken if someone is to be self-administering. The term “self-administration” of medications also includes assistance by the way of reminders or assistance with putting medications in pill boxes that is provided by family or responsible party. If a Resident takes his or her own medication, or gets assitance from someone other than facility staff, the medication must be stored in a secure location in the apartment. Although physician orders were obtained prior to admission and they are sent to the physician monthly for approval, it is the responsibility of the resident and/or responsible party to ensure that the nursing staff has an accurate list of medications for those who self-administer.
If it has been determined that a Resident requires medication administration, there are two options for you to consider; administration using our longterm care contract pharmacy, Omnicare Williamson’s or to acquire the medications through another pharmacy and provide to our staff to administer. There is a cost for medication administration which is dependent upon the method that is chosen. No matter the method, if medications are administered by our Registered medication aides, they are kept in a secure medication cart in the nursing station and administered and documented per physician orders. Facility medication administration includes any treatments, diabetic assistance, eyedrops, etc. If the facility is administering medications, it is imperative that the Director of Nursing be aware of any over-the-counter or prescription medications in the apartment to avoid the possibility of adverse medication reactions.
Using Omnicare Williamson’s, our contract longterm care pharmacy, takes much of the responsibility of ensuring timely delivery of medications off of the resident and responsible party. Medications arrive at the facility per physician orders on a routine basis, and any changes in medication orders can be resolved within 24 hours. Many antibiotics can begin as soon as the order is received. The medications are billed separately and you will receive an invoice directly from the pharmacy. If you have any questions about your pharmacy bill or to assure that proper insurance is being applied to your medications, please contact the Omnicare Wiliamson’s directly. If residents choose to self-administer medications, yet delivery of the medications is an issue, Omnicare Williamson’s can provide the medication and bill you regularly. Our staff will simply give the medication to the Resident when it comes in monthly and the Resident administers it independently.
In some instances, due to insurance or other issues, it is more cost effective for medications to be provided from another pharmacy. If that is the case, then it is the Resident – or more likely – the Responsible Party’s responsibility to ensure that medications are delivered to the nurses in a timely manner. The Resident’s responsible party will be called and given notice at least a week prior to depleting the supply of medication. However, if the medications are not brought in, Caton Merchant House reserves the right to order medications through our longterm care contract pharmacy to ensure doses are not missed. In that case, Residents will be billed by the contract pharmacy.
Dr. Jennifer Nau visits montly. She sees her patients who reside at Caton Merchant House on the first Wednesday of the month with few exceptions. If you wish to have an appointment with Dr. Nau when she visits, please let the Nurses in the main nursing station know. If you have not transferred your care to Dr. Nau and wish to do so, visit the first floor nursing station for paperwork that must be completed and returned no less than a week prior to the next scheduled day Dr. Nau will be here. Dr. Nau is part of the Gainesville Family Health and you will receive a bill for any charges not covered by Medicare or other insurance like any doctor office visit. Medicare will cover three routine podiatry visits a year. Dr. Shuman from the Bull Run Foot and Ankle Clinic visits monthly. Appointments are arranged for Residents. If you do not wish to be seen by the podiatrist routinely or if you would like to know when you are next scheduled, please let a nurse know.
Seating arrangements were made to best suit your routine and wishes upon admission.
However, your seating arrangement does not have to be permanent. If you have a problem, or would like a change, see the Admissions Director. It’s important that you try to attend your meal on time. Otherwise, you may be asked to sit at a table other than the one you are assigned to. Payment for any guest meals may be paid at the front desk or put directly on the bill.
Includes maintenance and housekeeping
Caton Merchant House employs Environmental Services Staff who are assigned to a neighborhood. If part of your services, laundry and linen changes are done at the same time as the apartment is being cleaned. If you have a maintenance or housekeeping request, please document it in the binders at the front podium.
Caton Merchant House is pleased to offer plenty of life enriching activities at your home. The daily calendar is posted near the front desk. Monthly calendars and newsletters are put in mailboxes prior to the first of the month. Family members and friends can see the calendars and newsletters by visiting www.catonmerchanthouse.org
The beauty and barber shop is open two days a week. To make an appointment, please call the beautician directly at the phone number listed outside the beauty shop. You can also call 7033358407 and leave a message, however same day appointments are not always guaranteed.
There is lots of fun in the midway! Dakim and It’s Never Too Late are computer-based activities to help keep your mind sharp. With Dakim BrainFitness, it takes just 20 minutes, 3–5 times a week, to get a cross-training workout that exercises all six cognitive domains. Like physical activity does for your body, cognitive activity can work out your brain and may help slow the progression of Alzheimer’s disease. It’s Never Too Late is another touch-screen computer based activity in which you can surf the web, play games, e-mail, and much more. It’s Never Too Late is portable and can be taken into Resident Apartments. If you want to learn more or would like to give Dakim a try, let someone in Activities or Mandy know.
Here’s more information about the place that you call home. Like all other assisted living facilities in the Commonwealth of Virginia, Caton Merchant House is regulated by the department of social services. Caton Merchant House has had no founded complaints nor care-related violations since 2003. Although JCHAO has since stopped certifying assisted living facilities, we were one of only 104 facilities in the nation to ever receive that honor.
Invoices are created on a picture date, usually the last business date of the month. The Picture Date is the Financial snapshot of services received and Room and Board expected and is billed with pre-consumption for Room and Board. The Care Calculator Costs, Beauty Barber Shop, Miscellaneous Charges are entered as post-consumption, so that Caton Merchant House only invoices what was used or planned to be used. Payments may be mailed, or dropped off in the box at the front desk. Presently, we do not accept credit cards for payment, but expect to by the end of 2011. Prior to admission, you placed a security deposit to hold an apartment. Your deposit can be used to pay u n-paid portions of your final bill and/or any damages, repairs and cleanings to your apartment inclusive of any apartment that you move from or to internally.
Financial Planning for you or your loved one’s stay is a very personal and very specific to your goals and wishes, as well as your families. Administration will be happy to review strategies with you, by appointment, with availability on evenings and weekends, so all parties can be informed. Please Contact Andrew Byrd for an Appointment If you plan to use long term care insurance, please see Andrew or Mandy ASAP to get your documentation started for your reimbursement. Please note that LTC insurance companies may pay in the arrears, yet the Resident is responsible for keeping accounts current; a 30-60-90 day cash cushion may prevent finance charges.
