The Gayathri Youth Wing meeting took place on November 20, 2011 at Mrs. Asha Raman's residence. 12 members attended. They discussed the group's aims of creating awareness and bringing out members' talents. They decided on volunteer duties, a control team of members aged 16-26, and programs for January 8th including a male drama and dance. Navneeta and Sreejith will anchor and Sharat will give an introduction speech. A choir was formed. Communication and information transfer structures were set up. Younger members will join when older. Regular attendees will be on the control team. The next meeting will be on December 18th.

1. Minutes of the Gayathri Youth Wing Meeting
The meeting of Gayathri Youth Wing(GYW) took place on 20 th November,2011 (Sunday) at
precisely 3pm, at the residence of Mrs.Asha Raman. The following Members attended the meeting

During the meeting the following topics where put into discussion
1. Basic Aim of Creating the Gayathri Youth Wing (GYW)
After a brainstorming session it was unanimously decided that the Basic aim of the Gayathri
Youth Wing will comprise of two main points:
Creating Awareness about the existence of the group (Gayathri Youth Wing)
and encouraging the youths in the Gayathri Community to be a part of the
Group.
Provide the opportunity for the members of the group to perform in front of
the community and there by bringing out hidden talents into the limelight.

2. 2. Motives of the Group
The unanimous decisions on the motives of the Group are as follows:-
i. Providing a platform for better communication between member of this
Youth Wing.
ii. Encouraging members to speak their mind and help bring out leadership
qualities in their area of interest.
iii. Spreading the feeling of equality among members and making the bond of
Friendship strong.
iv. Accepting volunteering duties for Main community and helping them in
anyway possible.
3. Control Team:-
The decision on the formation and functioning of the Control Team are as follows
i. The members who are all of age between 16 and 26 will be allowed to be part
of the control team.
ii. The members of the control team will be the only ones attending the meeting
in which the decisions regarding the programs have to be made.
iii. The decision made in the meeting is final and will not be changed at any cost.
iv. The members of the control team are responsible for the transfer of
information to the other members of the group.
4. Programs to be conducted on 8th Jan,2012 (thiruvatira Celebrations)
a. Malayalam Drama (all male characters)
b. Thiruvatira Kali by Girls
5. Anchoring:-
It was decided unanimously that Navneeta Krishnan and Sreejith will anchor the
program to be conducted on the 8th of January,2012.
6. Introduction Speech:-
The introduction speech for introducing the Gayathri Youth Wing to the gayathri
community will be written by Sharat Karekkat.
7. Choir Formation:-
It was decided that Navneeta, Vinayak, Abhijeet and Swati will form the Choir for
the Group. The decision was accepted by everyone who attended the meeting.

3. 8. Information Transfer Plan:-
a. For easy communication between members of the group, a structure was devised
comprising of three heads. The decision was unanimous. The structure is as
follows

The member will contact only the ones whom they have been listed under for any transfer of
information.
9. The members below the age of 16 were not invited for the meeting because they don’t have
experience in working in an organization and have not experienced taking up responsibility.
It was therefore decided that when the junior members (i.e age below 16) gets into the age
group of 16-26, they will be included and would be given responsibility for the successful
completion of the programs at that time.

4. 10. It was decided unanimously that those members who would be attending at least two
meetings out of three will find a place in the control team of the Group. Any existing
members if absent for two meeting will not be allowed to be part of the control team but ca n
take part in the programs conducted by the Youth Wing. The Control team will be final and
no changes will be made later on.
The meeting was a success and it was decided that the next meeting will be conducted on
18th December, 2011, Sunday at Pavarthy Ramesh’s Residence in Vikas Puri. The invitation will be
sent to every member of the Youth wing who is between the age group of 16-26.
