Lab 1 Exploring Blueworks Live (BWL)
1.1 Overview
Blueworks Live (BWL) is the best way to engage line of business users from discovering and
documenting business processes to configuring and running simple processes. This lab will take you
through some of the great features of Blueworks Live. You must have a Blueworks Live user id to
complete this lab. If you do not already have an account, paid or trial, the next section walks you through
the application for a 30-day trial license.
1.2 Signing up for a free trial and learn more
Get Blueworks Live today
1. Open a browser and go to http://blueworkslive.com
2. On the login page, scroll down until you see the button, Try it now! and then click it.
3. Enter in your information and click Start My Free 30 Day Trial.
4. Review your information and voila! You now have a free unlimited 30-day trial for Blueworks
Live!

in this lab might not correspond exactly with the ones you will see at

1.3 Creating a Space
1. Log in with your Email and Password.
2. On the right side, use the Create New drop-down to select Create Space.

3. For Space Name, enter your name and then click Create Space
1.4 Creating a Business Process
1. Your space will open directly after you have created it
2. Click the Create New drop down list box on the right side of the screen.
3. From the list select Process Blueprint
4. Enter your name in the “Process Name” field.

1.5 Viewing the process
What am I getting myself into?
You are about to “Blueprint” a process, which is the capability that allows
business analysts and others to do process discovery and document business
processes. You will learn about configuring and running simple process
applications later and you may even use it as a starting point for a production
BPM implementation.
1.6 View the Process: The Discovery Map
The first view you are brought to is called the Discovery Map. This is your building block view, meant to
be easy for anybody regardless of their experience in creating processes. In this view, you do not worry
about flow or about all the decisions and exceptions that can happen in the process. You are just
brainstorming, white boarding it and getting consensus from the people with whom you are collaborating.
1. Notice the “View” option in the top left of the screen. You can choose between the Discovery Map,
Process Diagram, or Documentation. Choose Discovery Map.

About views
When deciding the view you want to work from its all a matter of what you need
to accomplish. The “Discovery Map” is great for documenting the higher-level
process information. The “Process Diagram” contains lower-level swim lane
details, including decision logic. The “Documentation” view focuses on the
textual documentation of how the process is supposed to run.
2. On the left-hand side is the Process Outline, which is a bulleted list of your process. It’s organized
into Milestones and Activities. A good practice is to have somewhere between 5 and 8 milestones.
You can label the Milestones and Activities on the bulleted list or by clicking Add Milestone and then
renaming them.
3. Add 7 new Milestones and rename them to the following:
• Open a Request
• Close a Request
• Get Customer Information
• Manager Approval
• Issue a Refund
• Email Notification Needed
• More Customer Information Needed
Note
What you have added is not in any correct order but right now they are all
reflected as milestones. As you work on the left-hand side, the right-hand side is
now going to be you’re visual. It’s all drag and drop. The Discovery Map helps
you define your major milestones and the activities that need to be done to
complete this process.

4. Next drag and drop the milestones to look like the image below. Note, when you put a box under a
milestone it becomes an activity. This is also represented in the outline on the left. You will need to
add a new milestone named “Research”
5. Before going further, it is important to give ownership of this process to someone. So, let’s say that
Wes is going to own this process.
6. Double-click your Process Name, located under the process outline

1.7 Adding the process details - Diving Deeper into Your Process
Now imagine yourself in a conference room doing the process discovery sessions. In this setting, you can
use Blueworks Live as your open sticky notes to determine what’s going on in the process. People can
call out different pieces of information in your meeting and Blueworks Live allows you to easily capture the
information live.
1. Let’s enter some details about the process. Right click on Get Customer Information and then
select Edit Details
2. Next, with the activity open, it’s important to ask yourself a few questions. The following section will
ask a series of questions and will provide answers for you to enter the blank fields (reference the
screen shot below)
a) Participant- who is doing this? A teller.
b) Business Owner- is there a rollup from the participant to a higher role? A Manager/Director
c) Expert(s) - Are there any experts on the project? Subject Matter Experts
d) What Systems, technologies or devices are you are using to capture information in this activity?
For this example, enter SAP.
e) What is the Cycle Time for this activity? 5 minutes.
f) What is the Wait Time for this activity? 2 minutes.
g) Is there a Cost associated with this process? Yes, 20.

h) Also select the star icon next to where you entered in Teller to “follow” that participant. You can
follow almost anything in Blueworks Live to more easily see any changes that may occur to any
process, task, property value, or even process application.
3. You may need information from the customer before we can go pull up their record. Scroll down to
see additional details.
a) The supplier, i.e. the individual, group or company supplying the information is the customer
b) For this example, there will be two inputs.
c) Account Information
d) Select the (+) sign or hit return to add another input for Driver’s License.
e) Now that you have captured the information about the inputs, let’s enter the output. The output
will be “Customer Information”
f) Additional Questions
g) Is there a risk associated to it? Yes, Controlled.

h) Is this step a value add? This is a Required step
Note: you can use the drop-down arrow to select the details.
4. Click the Problems tab. What types of problems do I typically see when doing this? Ex. The
customer doesn’t remember account number.
5. There is a button under Frequency. Click the Frequency button till it says “High”

6. Select the Polices tab. Are there any polices or regulations that we must adhere to or need to be
informed about for this specific step? On this tab, you can add already created polices and we will
come back to this later as we have not created a policy yet.
7. Select the Documentation tab. What else do you know about the documentation of this process?
What else do you care about? This may be an area that you hand off to technical writers so they can
detail out exactly what the process is.
8. Maybe this information is going reside on the network or in SharePoint. You could drop in a live link
by selecting Insert Link button in the Documentation tab.

9. After entering the URL, click Done.
10. Next you might want to upload a file. In the Attachments Tab, you can upload a Visio diagram or
another file that you need. BWL can be your repository of current information that will be directly
reflected in the process.

11. If you need to issue any comments out to a broad number of participants that are going to be coming
in changing the process you can do so by going to the Comments tab and clicking on Add
Comment.
12. Close the Details window.
1.8 Diagramming your process
Let’s look at the “Process Diagram”. The first time you create the diagram, Blueworks Live is going to give
you a warning saying that there are things that you can do in the diagram view (such as, decisions,
events, etc.) that will not get reflected in the map view.
1. In the View drop down, choose Process Diagram.
2. Click Create Diagram
Note: The diagram and the documentation will always remain in sync but some changes may not
appear on the discovery map. (The map does not have all the complexities of the diagram.)

3. Because we added a participant to the “Get Customer Information” activity, the horizontal Swim
Lane on the left automatically picks that up. This diagram is also organized vertically by milestone –
“Open a Request”, “Research”, “Close a Request“ and built using BPMN.
4. The “Process Diagram” is where you create decision points in the process. You would ask yourself:
am I going to go down this path or am I going to create a quick loopback to another activity? The
“Process Diagram” makes it very easy for you to come in and make changes on the fly.
5. Insert a Decision by hovering over the outgoing Manager Approval link and clicking on the plus sign.
a) Select the Diamond icon to Insert a Decision
b) Name the decision “Refund Required?” – Note that the name of the decision is highlighted
directly after it has been created.

6. Hover over the No link, click the plus sign and select to Insert an Activity. Name it “No refund
required”
7. You may color code activities so they reflect hand off points or problem areas for people to refer to.
8. Right click the activity “Get Customer Information”
9. Select the color Red.

10. Maybe you realize that “Get Customer Information” is more than one activity. You can right click and
Convert to Sub-process and you can go over all the details with your team later.

11. When you are working with other teams and do not need to discuss the sub process you can
collapse it.
12. And if you need to link to another process you can do so very easily.
13. Right click the activity “Manager Approval” and select Link to Process and select the “Approval”
process to link to.
1.9 Documentation View
The third and final view is the documentation view.

1. Take note of how the documentation is organized. You can see the previous documentation you
entered under the activity “Get Customer Information.” The Documentation view is great for showing
all the details.
2. If you want to create a Microsoft Word document with this information you can do so by selecting the
arrow to the right of the process name and select “Export to Word”.

Lab 2 Analyzing your process
2.1 Analysis
Once you have created the process with all the details, you can start to perform analysis on that process
to improve it. Let’s look at a completed process to help illustrate analysis in Blueworks Live.
1. Navigate to a fully documented process blueprint by selecting the “Library” link at the top of the page.
2. Click the “Templates” tab and search for “Onboarding” in the search field.
3. You’ll see the “Hiring - Onboarding” template. Hover over it and click Import.
4. Then specify your Space and click Import.

5. Let’s look at the process in Analysis Mode. Click the Analyze icon on the right.
6. If you filter on Systems, you can view the various systems that this process interacts with.

That’s interesting
While in Analysis Mode you can flip between the Discovery Map and Process
Diagram views to see the “heat maps” in different ways. Try it.
7. In Analysis mode, you can also select multiple options. For example, you look at the Cost at the
same time as Problems to determine if there are any correlation between the two.
8. From the filter on the top left, choose Cost and Problems. Analysis mode lets you start to
understand what this process is about, visually, and it is also a place where you can go to help you
make decisions.
2.2 Process Playback
Process playbacks are a great way to help share, validate, and analyze the various paths in your
processes.
1. To get started, exit Analyze mode by clicking on the X and choose the Process Diagram view.

2. Click Playback next to Analyze.
3. You will now enter Playback Mode. In this mode, you will be able to create up to six different
playbacks each representing a different path through the process. To create a playback simply select
the number of the playback you wish to save and give the playback a name. The process you just
imported already has 2 defined playback paths. Select Number 3 and name Playback 3 as
“Orientation”
4. Select the objects you wish to include as part of the playback. You can start with any object
anywhere in the diagram. Subsequent objects that are included in the playback must be connected
to the previous one. When you select a decision point, only a single path from that decision can be
followed for the playback. You can also select sub-processes as part of the playback. Pan to the
right, and select the following activities and sub-process by clicking on them:
(1) Watch orientation CD
(2) Complete Forms
(3) Meet manager
(4) Obtain Access Badge
(5) Obtain Equipment

(6) Go to Workspace
5. Once you have selected all the objects you wish to include in the playback you can now click the
Play button from the controls at the bottom of the screen and step through each of the activities. You
will be able to see all the properties of that activity as well as add comments.
6. In addition, if you select the Analysis drop down from the top of the page you can see the various
analysis properties right on the diagram. If you select the Cost or Cycle Time the cumulative value is
displayed in the play control.

7. Select Cost and see the values add up for the Cost for that playback as you click the Next arrow.
When you are done with a Playback, click X to exit.

Lab 3 Collaboration
Broad participation is a key feature of Blueworks Live and helps to drive process adoption within
an organization. Blueworks Live allows for you to have both “Editor” users who can create
process blue prints as well as “Contributors” who can view and comment on process blue prints.
Commenting is a great way to help teammates collaborate; Blueworks Live also has built in Chat
feature that allows for people to collaborate instantaneously. In addition, you can see what’s
going on in your account by viewing a “private activity stream” as well as post to that activity
stream so that you can share information with your colleagues.
3.1 Commenting on processes
Have someone else in your account comment on your process (or you can comment on your own
process).
1. Open the process if it isn’t already opened.
2. Ensure you aren’t in edit mode (you may need to click “End Edit” button in the upper right hand
portion of the screen).
3. Add a comment via the “Add Comment” button in the lower right portion of the screen.
4. Navigate to the Community page by selecting the “Community” Link at the top of the page. You can
now see all the activity that has been happening in the account. Notice what others in your account
have been working on (provided you are sharing an account). You can view this information by
Date, User, Process, or Space.
5. You can see that a comment was added about the process.

6. From here you can directly reply to that comment by selecting “Reply”. Type “this is my reply” in the
text box and click the “Add Comment” button.
3.2 Posting to your account
You can create posts that appear in your Private Activity Stream. Posting is a great way to share
information and ideas within your Blueworks Live account.
1. To create a post, select the “New Post” button at the top activity stream.
2. Give the post a title with your name in it. For example, “Bob’s Post”
3. In the body, you can enter the text “This is me posting information.”
4. You can also tag the post by entering in the name of tag you wish to use. For this example, we can
use the tag “New”. You can enter additional tags by using a comma to separate them. Tags are an
easy way to help find posts and group posts together.
5. In addition, if you needed to, you could add attachments to the post.

6. Click the “Post’ button to share that post with your team.
7. Now you can see that post in your activity stream

3.3 Access BPM expertise
1. Blueworks Live also allows you to see what’s going on in the world of process improvement and
BPM. BWL provides information from our experts as well as those across the industry to keep you up
to date and informed on what’s going on in BPM.
2. On the community page, you can see an aggregation of Tweets from BPM experts, BPM hashtags,
as well as tweets related to Blueworks Live and its #bwlive tag in the Public BPM stream at the right
of the page.
3. Select the “Blogs” link in the Public BPM stream to get access to blog entries from experts at IBM
who can help you get the most out of your process improvement and BPM projects.

Lab 4 Process Automation
Blueworks Live offers you the ability to automate simple tasks that you do today. Imagine all
those tasks that you do using email like creating and approving documents, expense reports,
looking for approvals on projects you are working on, consolidated in one place with a view of
what’s due when and tracking of who’s done what. Blueworks Live process automation
capabilities allow you to take tasks that you do every day and see how they affect you and your
team’s productivity, as well as keep track of all the work you need done. Let’s show it by first
completing a task, then configuring a process, and ultimately launching a process.
4.1 Launching a process
1. First, we need to copy this process from a template.
2. Click on the Library tab and then the Templates field.
3. Search for HR onboard.
4. Import the “HR Onboarding Checklist” and add your initials or name and save it in your lab space

5. The step is to publish this process, remember, no processes are visible until they have been
published.
6. Go to your lab space and click on the “HR Onboarding Checklist” process.
7. Click on the Configure tab and scroll to the bottom and click the publish button.
8. To launch the process simply select it from your actions list by navigating to the Work page

9. Select the “HR Onboarding Checklist” app under the “Action” at the right of the page. You may need
to use the Filter to find it.
10. For the Employee Name type your name.
11. For the “Start Date and Additional Information” enter “<TODAYS_DATE>. Employee is new to
organization and requires onsite orientation, workspace on the 8
th
floor, and a desktop.”
12. Now you can assign the tasks to users as well as the due dates for each of the tasks.

13. Give all the tasks in the checklist the same due date by selecting the “One overall due date for
checklist” drop down. Select “<FUTURE_DATE>” as the due date.
14. Assign the tasks to other users of your account, in order
15. Now you can launch that process by selecting the “Launch” button at the bottom.

16. Once you have launched the process you can now see that process by navigating to the “Work I’ve
launched” tab. You can also view additional historical statistics on this page as well to see how much
work you have launched as well as how much work is being completed on time.
4.2 Configuring a Process App
1. Now let’s configure our own Process App
2. Go to your lab space, click on the “Create New” button and select “Process App”
3. You will now see a screen where you can give the process a name. Use your first name and Review
Marketing Promotion as the Process App name
4. You can select a template that you want to use for this process app. Blueworks Live has both a
Workflow template – for processes that happen sequentially and may require approval steps; and a

Checklist template – for assigning tasks all at once and that can be completed in any order. For this
example, we will select “Workflow”
5. Now we are configuring our Review Marketing Promotion Process App
6. In the launch instructions type in “To create a new marketing promotion you must attach a copy of
the promotion budget as well as include any promotional ad mockups as attachments”
7. Change “Work Subject” to Promotion Name
8. Change “Details” to Promotion Overview

9. Now it’s time to create the Workflow Tasks for the process
10. For the first task call it Review Marketing Promotion with Finance
11. Select the add button to add another sequential step called Update Marketing Promotion Budget
12. Lastly add another sequential task called Manager Approval this is an approval task so select the
Approval check box
13. Once you are done you can select the Publish button at the bottom to share this process with all
members of your account.
4.3 Conclusion

Blueworks Live Lab IBM Software Page 3 IBM Blueworks Live Lab Lab 1 Exploring Blueworks Live (BWL) 1.1 Overview Blueworks Live (BWL) is the best way to engage line of business users from discovering and documenting business processes to configuring and running simple processes. This lab will take you through some of the great features of Blueworks Live. You must have a Blueworks Live user id to complete this lab. If you do not already have an account, paid or trial, the next section walks you through the application for a 30-day trial license. 1.2 Signing up for a free trial and learn more Get Blueworks Live today 1. Open a browser and go to http://blueworkslive.com 2. On the login page, scroll down until you see the button, Try it now! and then click it. 3. Enter in your information and click Start My Free 30 Day Trial. 4. Review your information and voila! You now have a free unlimited 30-day trial for Blueworks Live!

IBM Software Blueworks Live Lab Because Blueworks Live is updated regularly, the screenshots shown in this lab might not correspond exactly with the ones you will see at the live site. 1.3 Creating a Space 1. Log in with your Email and Password. 2. On the right side, use the Create New drop-down to select Create Space.

Your space will open directly after you have created it 2. Click the Create New drop down list box on the right side of the screen. 3. From the list select Process Blueprint 4. Enter your name in the “Process Name” field.

You are about to “Blueprint” a process, which is the capability that allows business analysts and others to do process discovery and document business processes. You will learn about configuring and running simple process applications later and you may even use it as a starting point for a production BPM implementation. 1.6 View the Process: The Discovery Map The first view you are brought to is called the Discovery Map. This is your building block view, meant to be easy for anybody regardless of their experience in creating processes. In this view, you do not worry about flow or about all the decisions and exceptions that can happen in the process. You are just brainstorming, white boarding it and getting consensus from the people with whom you are collaborating. 1. Notice the “View” option in the top left of the screen. You can choose between the Discovery Map, Process Diagram, or Documentation. Choose Discovery Map.
  • 7. Blueworks Live Lab IBM Software Page 7 IBM Blueworks Live Lab About views When deciding the view you want to work from its all a matter of what you need to accomplish. The “Discovery Map” is great for documenting the higher-level process information. The “Process Diagram” contains lower-level swim lane details, including decision logic. The “Documentation” view focuses on the textual documentation of how the process is supposed to run. 2. On the left-hand side is the Process Outline, which is a bulleted list of your process. It’s organized into Milestones and Activities. A good practice is to have somewhere between 5 and 8 milestones. You can label the Milestones and Activities on the bulleted list or by clicking Add Milestone and then renaming them. 3. Add 7 new Milestones and rename them to the following: • Open a Request • Close a Request • Get Customer Information • Manager Approval • Issue a Refund • Email Notification Needed • More Customer Information Needed Note What you have added is not in any correct order but right now they are all reflected as milestones. As you work on the left-hand side, the right-hand side is now going to be you’re visual. It’s all drag and drop. The Discovery Map helps you define your major milestones and the activities that need to be done to complete this process.
  • 8. IBM Software Blueworks Live Lab 4. Next drag and drop the milestones to look like the image below. Note, when you put a box under a milestone it becomes an activity. This is also represented in the outline on the left. You will need to add a new milestone named “Research” 5. Before going further, it is important to give ownership of this process to someone. So, let’s say that Wes is going to own this process. 6. Double-click your Process Name, located under the process outline 7. Change the Business Owner to John

Blueworks Live Lab IBM Software Page 9 IBM Blueworks Live Lab 1.7 Adding the process details - Diving Deeper into Your Process Now imagine yourself in a conference room doing the process discovery sessions. In this setting, you can use Blueworks Live as your open sticky notes to determine what’s going on in the process. People can call out different pieces of information in your meeting and Blueworks Live allows you to easily capture the information live. 1. Let’s enter some details about the process. Right click on Get Customer Information and then select Edit Details 2. Next, with the activity open, it’s important to ask yourself a few questions. The following section will ask a series of questions and will provide answers for you to enter the blank fields (reference the screen shot below) a) Participant- who is doing this? A teller. b) Business Owner- is there a rollup from the participant to a higher role? A Manager/Director c) Expert(s) - Are there any experts on the project? Subject Matter Experts d) What Systems, technologies or devices are you are using to capture information in this activity? For this example, enter SAP. e) What is the Cycle Time for this activity? 5 minutes. f) What is the Wait Time for this activity? 2 minutes. g) Is there a Cost associated with this process? Yes, 20.
  • 10. IBM Software Blueworks Live Lab h) Also select the star icon next to where you entered in Teller to “follow” that participant. You can follow almost anything in Blueworks Live to more easily see any changes that may occur to any process, task, property value, or even process application. 3. You may need information from the customer before we can go pull up their record. Scroll down to see additional details. a) The supplier, i.e. the individual, group or company supplying the information is the customer b) For this example, there will be two inputs. c) Account Information d) Select the (+) sign or hit return to add another input for Driver’s License. e) Now that you have captured the information about the inputs, let’s enter the output. The output will be “Customer Information” f) Additional Questions g) Is there a risk associated to it? Yes, Controlled.

Click the Problems tab. What types of problems do I typically see when doing this? Ex. The customer doesn’t remember account number. 5. There is a button under Frequency. Click the Frequency button till it says “High”
  • 12. IBM Software Blueworks Live Lab 6. Select the Polices tab. Are there any polices or regulations that we must adhere to or need to be informed about for this specific step? On this tab, you can add already created polices and we will come back to this later as we have not created a policy yet. 7. Select the Documentation tab. What else do you know about the documentation of this process? What else do you care about? This may be an area that you hand off to technical writers so they can detail out exactly what the process is. 8. Maybe this information is going reside on the network or in SharePoint. You could drop in a live link by selecting Insert Link button in the Documentation tab.

In the Attachments Tab, you can upload a Visio diagram or another file that you need. BWL can be your repository of current information that will be directly reflected in the process.

If you need to issue any comments out to a broad number of participants that are going to be coming in changing the process you can do so by going to the Comments tab and clicking on Add Comment. 12. Close the Details window. 1.8 Diagramming your process Let’s look at the “Process Diagram”. The first time you create the diagram, Blueworks Live is going to give you a warning saying that there are things that you can do in the diagram view (such as, decisions, events, etc.) that will not get reflected in the map view. 1. In the View drop down, choose Process Diagram. 2. Click Create Diagram Note: The diagram and the documentation will always remain in sync but some changes may not appear on the discovery map. (The map does not have all the complexities of the diagram.)

Because we added a participant to the “Get Customer Information” activity, the horizontal Swim Lane on the left automatically picks that up. This diagram is also organized vertically by milestone – “Open a Request”, “Research”, “Close a Request“ and built using BPMN. 4. The “Process Diagram” is where you create decision points in the process. You would ask yourself: am I going to go down this path or am I going to create a quick loopback to another activity? The “Process Diagram” makes it very easy for you to come in and make changes on the fly. 5. Insert a Decision by hovering over the outgoing Manager Approval link and clicking on the plus sign. a) Select the Diamond icon to Insert a Decision b) Name the decision “Refund Required?” – Note that the name of the decision is highlighted directly after it has been created.
  • 16. IBM Software Blueworks Live Lab 6. Hover over the No link, click the plus sign and select to Insert an Activity. Name it “No refund required” 7. You may color code activities so they reflect hand off points or problem areas for people to refer to. 8. Right click the activity “Get Customer Information” 9. Select the color Red.
  • 17. Blueworks Live Lab IBM Software Page 17 IBM Blueworks Live Lab 10. Maybe you realize that “Get Customer Information” is more than one activity. You can right click and Convert to Sub-process and you can go over all the details with your team later.
  • 18. IBM Software Blueworks Live Lab 11. When you are working with other teams and do not need to discuss the sub process you can collapse it. 12. And if you need to link to another process you can do so very easily. 13. Right click the activity “Manager Approval” and select Link to Process and select the “Approval” process to link to. 1.9 Documentation View The third and final view is the documentation view.

You can see the previous documentation you entered under the activity “Get Customer Information.” The Documentation view is great for showing all the details. 2. If you want to create a Microsoft Word document with this information you can do so by selecting the arrow to the right of the process name and select “Export to Word”.

Blueworks Live Lab IBM Software Page 21 IBM Blueworks Live Lab Lab 2 Analyzing your process 2.1 Analysis Once you have created the process with all the details, you can start to perform analysis on that process to improve it. Let’s look at a completed process to help illustrate analysis in Blueworks Live. 1. Navigate to a fully documented process blueprint by selecting the “Library” link at the top of the page. 2. Click the “Templates” tab and search for “Onboarding” in the search field. 3. You’ll see the “Hiring - Onboarding” template. Hover over it and click Import. 4. Then specify your Space and click Import.
  • 22. IBM Software Blueworks Live Lab 5. Let’s look at the process in Analysis Mode. Click the Analyze icon on the right. 6. If you filter on Systems, you can view the various systems that this process interacts with.

Blueworks Live Lab IBM Software Page 23 IBM Blueworks Live Lab That’s interesting While in Analysis Mode you can flip between the Discovery Map and Process Diagram views to see the “heat maps” in different ways. Try it. 7. In Analysis mode, you can also select multiple options. For example, you look at the Cost at the same time as Problems to determine if there are any correlation between the two. 8. From the filter on the top left, choose Cost and Problems. Analysis mode lets you start to understand what this process is about, visually, and it is also a place where you can go to help you make decisions. 2.2 Process Playback Process playbacks are a great way to help share, validate, and analyze the various paths in your processes. 1. To get started, exit Analyze mode by clicking on the X and choose the Process Diagram view.
  • 24. IBM Software Blueworks Live Lab 2. Click Playback next to Analyze. 3. You will now enter Playback Mode. In this mode, you will be able to create up to six different playbacks each representing a different path through the process. To create a playback simply select the number of the playback you wish to save and give the playback a name. The process you just imported already has 2 defined playback paths. Select Number 3 and name Playback 3 as “Orientation” 4. Select the objects you wish to include as part of the playback. You can start with any object anywhere in the diagram. Subsequent objects that are included in the playback must be connected to the previous one. When you select a decision point, only a single path from that decision can be followed for the playback. You can also select sub-processes as part of the playback. Pan to the right, and select the following activities and sub-process by clicking on them: (1) Watch orientation CD (2) Complete Forms (3) Meet manager (4) Obtain Access Badge (5) Obtain Equipment

Once you have selected all the objects you wish to include in the playback you can now click the Play button from the controls at the bottom of the screen and step through each of the activities. You will be able to see all the properties of that activity as well as add comments. 6. In addition, if you select the Analysis drop down from the top of the page you can see the various analysis properties right on the diagram. If you select the Cost or Cycle Time the cumulative value is displayed in the play control.
  • 26. IBM Software Blueworks Live Lab 7. Select Cost and see the values add up for the Cost for that playback as you click the Next arrow. When you are done with a Playback, click X to exit.

Blueworks Live Lab IBM Software Page 27 IBM Blueworks Live Lab Lab 3 Collaboration Broad participation is a key feature of Blueworks Live and helps to drive process adoption within an organization. Blueworks Live allows for you to have both “Editor” users who can create process blue prints as well as “Contributors” who can view and comment on process blue prints. Commenting is a great way to help teammates collaborate; Blueworks Live also has built in Chat feature that allows for people to collaborate instantaneously. In addition, you can see what’s going on in your account by viewing a “private activity stream” as well as post to that activity stream so that you can share information with your colleagues. 3.1 Commenting on processes Have someone else in your account comment on your process (or you can comment on your own process). 1. Open the process if it isn’t already opened. 2. Ensure you aren’t in edit mode (you may need to click “End Edit” button in the upper right hand portion of the screen). 3. Add a comment via the “Add Comment” button in the lower right portion of the screen. 4. Navigate to the Community page by selecting the “Community” Link at the top of the page. You can now see all the activity that has been happening in the account. Notice what others in your account have been working on (provided you are sharing an account). You can view this information by Date, User, Process, or Space. 5. You can see that a comment was added about the process.
  • 28. IBM Software Blueworks Live Lab 6. From here you can directly reply to that comment by selecting “Reply”. Type “this is my reply” in the text box and click the “Add Comment” button. 3.2 Posting to your account You can create posts that appear in your Private Activity Stream. Posting is a great way to share information and ideas within your Blueworks Live account. 1. To create a post, select the “New Post” button at the top activity stream. 2. Give the post a title with your name in it. For example, “Bob’s Post” 3. In the body, you can enter the text “This is me posting information.” 4. You can also tag the post by entering in the name of tag you wish to use. For this example, we can use the tag “New”. You can enter additional tags by using a comma to separate them. Tags are an easy way to help find posts and group posts together. 5. In addition, if you needed to, you could add attachments to the post.

  • 30. IBM Software Blueworks Live Lab 3.3 Access BPM expertise 1. Blueworks Live also allows you to see what’s going on in the world of process improvement and BPM. BWL provides information from our experts as well as those across the industry to keep you up to date and informed on what’s going on in BPM. 2. On the community page, you can see an aggregation of Tweets from BPM experts, BPM hashtags, as well as tweets related to Blueworks Live and its #bwlive tag in the Public BPM stream at the right of the page. 3. Select the “Blogs” link in the Public BPM stream to get access to blog entries from experts at IBM who can help you get the most out of your process improvement and BPM projects.
  • 31. Blueworks Live Lab IBM Software Page 31 IBM Blueworks Live Lab Lab 4 Process Automation Blueworks Live offers you the ability to automate simple tasks that you do today. Imagine all those tasks that you do using email like creating and approving documents, expense reports, looking for approvals on projects you are working on, consolidated in one place with a view of what’s due when and tracking of who’s done what. Blueworks Live process automation capabilities allow you to take tasks that you do every day and see how they affect you and your team’s productivity, as well as keep track of all the work you need done. Let’s show it by first completing a task, then configuring a process, and ultimately launching a process. 4.1 Launching a process 1. First, we need to copy this process from a template. 2. Click on the Library tab and then the Templates field. 3. Search for HR onboard. 4. Import the “HR Onboarding Checklist” and add your initials or name and save it in your lab space
  • 32. IBM Software Blueworks Live Lab 5. The step is to publish this process, remember, no processes are visible until they have been published. 6. Go to your lab space and click on the “HR Onboarding Checklist” process. 7. Click on the Configure tab and scroll to the bottom and click the publish button. 8. To launch the process simply select it from your actions list by navigating to the Work page

You may need to use the Filter to find it. 10. For the Employee Name type your name. 11. For the “Start Date and Additional Information” enter “<TODAYS_DATE>. Employee is new to organization and requires onsite orientation, workspace on the 8 th floor, and a desktop.” 12. Now you can assign the tasks to users as well as the due dates for each of the tasks.

Select “<FUTURE_DATE>” as the due date. 14. Assign the tasks to other users of your account, in order 15. Now you can launch that process by selecting the “Launch” button at the bottom.

You can also view additional historical statistics on this page as well to see how much work you have launched as well as how much work is being completed on time. 4.2 Configuring a Process App 1. Now let’s configure our own Process App 2. Go to your lab space, click on the “Create New” button and select “Process App” 3. You will now see a screen where you can give the process a name. Use your first name and Review Marketing Promotion as the Process App name 4. You can select a template that you want to use for this process app. Blueworks Live has both a Workflow template – for processes that happen sequentially and may require approval steps; and a
  • 36. IBM Software Blueworks Live Lab Checklist template – for assigning tasks all at once and that can be completed in any order. For this example, we will select “Workflow” 5. Now we are configuring our Review Marketing Promotion Process App 6. In the launch instructions type in “To create a new marketing promotion you must attach a copy of the promotion budget as well as include any promotional ad mockups as attachments” 7. Change “Work Subject” to Promotion Name 8. Change “Details” to Promotion Overview

For the first task call it Review Marketing Promotion with Finance 11. Select the add button to add another sequential step called Update Marketing Promotion Budget 12. Lastly add another sequential task called Manager Approval this is an approval task so select the Approval check box 13. Once you are done you can select the Publish button at the bottom to share this process with all members of your account. 4.3 Conclusion Additional information o We hope this lab gave you a good overview of Blueworks Live.
