In today’s competitive environment, every business organisation is looking at ways to improve their workforce productivity.
This workforce needs to perform their tasks anywhere, anytime.
They need access to information instantly. Otherwise they will not be able to make quick decisions and actions. We are seeing workforce that is more mobile .
These are mega trends that are driving change in business organisations today. These are megatrends, made possible with the advancement of cloud computing, faster data connectivity, smartphones and tablets. These are mega trends organisations cannot ignore. It should be embraced, to raise the level of productivity in their organisations.
In the HR function, we are seeing that change happening. Forward -thinking employers are redefining how their employees can participate in functions that were traditionally in the domain of core human resources team. They give employees the tools to be self-reliant and perform a variety of HR functions.
This has called for Smart Innovative Solutions for the HR Folks.
Hello everyone, my name is Jay Ron, the General Manager of HR Business Solutions at IFCA MSC Bhd.
In the following short video, you will see some of the exciting innovations that IFCA is delivering that will change the way the HR community work.
Introducing HR360 software. It has 12 comprehensive modules collectively referred as HR Core Modules.
They are designed to deliver key benefits for different users’ needs in mind.
First for HR Professionals the ability to recruit-maintain-develop talent. Secondly, Employees & Supervisors are able to self-view their own data and perform the HR tasks. Lastly top Management can ensure Company Policies and Guidelines are enforced and adhered to.
HR360 software provides a complete and comprehensive tool to manage the HR functions effectively. HR360 is not your conventional HR software.
We have taken advantage of leading computing and communication technologies to develop several innovative tools to improve customer’s experience using HR software. These innovations deliver ease of use and convenience, beyond just automating HR processes. We will highlight some of these innovations.
Let’s start with the first Smart Innovation, the Workflow Automation. HR360 has a powerful built-in workflow engine.
This is an innovation feature that allows organisations to automate business rules, logic and process flow. Once defined, they are your standard operating process or SOP, as they are commonly referred to. These SOPs enforce standardization and become effective methods to manage and enforce your company ‘s policies and guidelines.
We will illustrate this with two examples.
First example is on training application. The example here shows a simple Training Application workflow which highlights how a staff Training Nomination being routed for approval.
The second example is for leave application.
The workflow for leave application shows that if the annual leave is less than 5 days, the manager will approve but if it is more than 5 days, the director will approve it.
These two examples illustrate the flexibility of the workflow engine. HR policies are automated, monitored and enforced.
This illustrates the power of the workflow system to deliver centralised management control .
Here is another example showing Workflow for Leave Application.
This time, the leave approval will go through different approver based on the number of days applied.
Example shows, if Annual Leave is less than 5 days, it will be send to Manager for approval else it will be sent to Director for approval
Users can build a simple workflow as shown in the previous 2 pages or it can handle a comprehensive requirements such as shown in this page.
It take cares multiple verifications for every online application submission before it reaches the Approver.
Applicant and Approver will be communicated via emails to inform and direct them to the approval screen.
The next innovation is Alerts and Notifications. This system generates warnings when business rules and conditions are met or violated. These warnings come in the form of alerts and notifications and pushed to the users in real time. This is push technology in action. Such warnings escalate matters to your attention, allowing you to take action immediately.
Let’s look at the screen. Look on the top right corner. Do you see the bell symbol circled in red? It indicates the system has generated a few notifications. You can find the notifications in a box marked in red , on the left hand panel box. For example, ‘due for confirmation’. It reminds HR to begin the process of assessing the staff on probation, ahead of the due confirmation date.
Earlier we mentioned that Forward thinking employers are redefining how their employees can participate in functions that were traditionally in the domain of core human resources team. They give employees the tools to be self-reliant and to perform for a variety of HR functions.
We have now enabled this capability with the Self-Service Staff portal. This portal gives employees access to view and update their personal information like leave, claims, appraisal etc. It also allows them to perform HR tasks online, eliminating paper work completely. They can expect the system to route their submissions automatically for approval. This saves time and provides peace of mind knowing the system takes care of the requests automatically.
In addition, you can perform this task anytime, anywhere. This self-service portal innovation raises the organisation’s productivity tremendously.
Lets look at two screens in the self-service staff portal. One is for employees and the other is for managers. We start with the employee self-service screen. This employee is able to view his own personal information, his future training course, his overtime hours, his last appraisal score etc. The staff portal screen can be personalised with their selected information.

In the self-service portal screen for managers, bosses can have access to staff’s personal data On- Demand in an instant. They can see the work history and work schedule. They are also able to nominate their staff for training. These are just some examples. And they can do this without depending on HR. It is easy to use, providing convenience and increases overall company productivity.
Manager Self-Service empowers managers to view their direct subordinate information such as their biodata, leave, travel, Overtime, claim, training, appraisal, duty roster and attendance records.
They can obtain relevant information about their own subordinates without interfering HR team.
Besides empowering employee and their manager to look after their own records, Self-Service Staff Portal directly helped reduce staff dependency on HR folks.
Hence, HR will have more time to plan for manpower type of tasks and involve in strategic work.
This innovation tool is designed to organise and manage your printing requirements. Reports can be scheduled automatically and sent to right recipients without the need for hard copy print. All reports are automatically indexed and archived for easy retrieval anytime, anywhere. In situations where new reports are required , these can be generated On-Demand and viewed online or as hardcopy print.
