The Registrar of Companies for England and Wales, and Chief Executive of Companies House is Tim Moss. His office is based at Companies House in Cardiff.
The Registrar of Companies for Scotland is Dorothy Blair and her office is based in Edinburgh.
The Registrar of Companies for Northern Ireland is Helen Shilliday and her office is based in Belfast.
There is also an Information Centre in Abbey Orchard Street, London.
Companies House has around 900 staff working across the four offices.
Our turnover is around £60 million – However Companies House is not allowed to make money, so once our costs are covered, any surplus funds go back into the economy.
Companies House is a registry of public information on Limited companies in the UK. The main functions of Companies House are to:
Incorporate Limited Companies;
Receive updates to Companies Information;
Dissolve limited companies.
We then make all this information accessible to the public.
We currently incorporate approximately 12,000 companies per week, despite a struggling economy, and dissolve approximately 8,000.
Documents can be filed at Companies House by 3 formats – Software; WebFiling through the Companies House portal or you can still file docs on paper.
Whilst it is still possible to file on paper, please bear in mind that in the future it may become mandatory to e-file certain documents – nb HMRC currently only allow you to e-file certain documents they require.
‘Presenter’ will talk to you in more detail about filing documents at Companies House in the 2nd half of this seminar.

Most of you are familiar with our website. However there is a lot of valuable information available to you, ie up-to-date alerts to keep you informed of any current issues or changes to our services.
You can access webfiling to file documents electronically.
Find information through our WebCHeck or CHD service.

You will need to enter your email address and choose a password,
Select request an authentication code
you then enter the company number you wish to register and we will send you a company authentication code which will be posted 1st class to the company’s Registered Office Address.
You should register for the service as soon as possible so that the process doesn’t stop you from filing on time, although we send the Authentication code immediately it can take a couple of days if it were to get clogged up in postal services.
For the purpose of this presentation I have the Abbreviated accounts on screen as you can see it is available as HTML pages.
It’s a case of entering the figures as you work down the accounts. Notes will appear next to the fields as you enter figures, if you can click on the add note button as you go along or complete them all at the end.
This is an example of the notes for intangible fixed assets. I would enter any figures or enter text in the box at the bottom.
Once I am happy I can click on the save note button which returns me to the previous screen to continue.
Prior to submission you will be required to confirm the statements which are mandatory.

You can add accounting policies or transactions with directors
You also get the opportunity to save a copy for you records or to email to your clients, if you select save and exit the data should be retained to submit at a later date.
Using the service close to a deadline and a potential risk of having a Late Filing penalty, can be beneficial to you. You also get an email acknowledgement and another email later to say if its been accepted or rejected.

Preparing once and enabling filing twice is a sort of dividend resulting from HMRC’s mandatory requirements for mandating iXBRL and the considerable change for the whole accounting services industry that will result.
So for today we’ll show the blend of the two organisations as follows……..
Just to emphasise again that in adopting a joined up approach, it relates only to filing of statutory accounts from software or from the template you will have heard about during the HMRC presentation this morning. The detailed P/L account and items relating to the CT computation and return are for HMRC only of course.

Good morning / afternoon. My name is…..and I am here to give you an insight into the Output Products available at Companies House.
Describe differences – WebCHeck / CHD and explain I will also talk about Mobile App.
I will start by providing you with an insight into the WebCHeck service, which is a non-subscription based service that allows you to check on any of the 3 million companies on our database 24 hours a day, 7 days a week. You can use WebCHeck to help maintain compliance with Companies House and to keep an eye on any companies you may deal with.
If you want to incorporate a new company you will need to check if the company name is available, the quickest way is to perform a Company Name Availability Search via the WebCHeck service.
To do this, you just need to input the name that you would like, then ensure that the ‘Company Name Search Availability’ tab is selected and click on the search option.
If the name you would like to use is available, the following message will appear on the search screen CLICK
As previously mentioned, please make sure you do a history search on Dissolved names before you apply to use a company name – you can do this by selecting the ‘Dissolved names’ tab on the right hand side of this search screen.
If the name that you want is unavailable the service will let you know with the prompt as shown here on the screen. It will also show you the name considered to be “same as”.
the next few slides I will show you how you can make sure you keep up to date with the important filings of your company and give you some tips on how to stay on top of your customers and suppliers.
You will then be able to see the following free information.
It will give you information about the date of incorporation, business activity and most critically the filing deadlines for a company. CLICK This information will prove to be hugely important to you when is comes to getting your yearly documents into Companies House on time. You will be hearing more about compliance and yearly requirements later in the session.
In addition to getting access to the free information you can also choose to delve little deeper into the history of either your own company or that of a customer, supplier or competitor. This is done by clicking on the “Order the information on this Company”. CLICK

You will now have access to a more detailed filing history for the company. Basically, if we have a scanned copy of the document then it will appear on the filing history for the company.
You are able to look at this list at no cost. You will only incur charges if you choose to order documents from the filing history. CLICK You would select the documents you wish to purchase and click on ADD TO ORDER. CLICK

You will then be shown a breakdown of the order that you have placed. You can either choose to pay at this point or you can search for additional company information.
For the purpose of speed we shall assume that all we want is the last set of accounts for Presenter.co.uk Limited.

As with all things you will have to agree to our terms and conditions before proceeding any further. Once you have read the T & C’s and have ticked the relevant box CLICK you can then proceed to the checkout.
You will be given an order summary and you are advised to print a copy of this screen should you need the order number for potential queries. CLICK

For those of you familiar with making payment to Companies House by card you will have been used to seeing the name NetBanx on our screen and mentioned in mails. Our contract with NetBanx has expired and we are now in a conract with Barclaycard SmartPay.
As you can see from the screen it is a standard payment screen that you will see on most payment sites.
The need to abide by the Verified by VISA and MasterCard SecureCode. This is an extra security measure that has been brought in by the banks and is in no way maintained by Companies House.
One of the things that we think a number of customers will like it that we now offer the option for you to save your card details.
For those of you with a PayPal account you will still be able to make payments via this method.
All mails regarding payment will be sent to you from Companies House.
Monitor is a service available to users of both CHD and WebCHeck.
Along with WebFiling and Proof, Monitor helps to make up the 3 point plan to prevent corporate identity fraud. You have already been told about the security benefits of WebFiling and Proof so here is some information about Monitor
Monitor is way of keeping a check on information that is being sent to Companies House. It can be used to monitor your own company or that of a customer, supplier or competitor.
If you are looking to keep an eye on all the activity of your company this service is perfect as you will receive an alert whenever a document has been received by Companies House. If you choose to monitor all documents you will know when a potential fraudulent document has been sent in. Also it will give you peace of mind that your accounts are received by Companies House on time so that you won’t incur a penalty.
If you are looking to do business with a company and you are keen to see their most up to date set of accounts then you can be alerted the second they are on our system.
This service is Free of charge. Should you choose to act on the alerts you will have to pay for the information that you download and payment will be made in accordance with the service you are using.
This screen will allow you to choose the documents you want to monitor so as I said, you can be selective or you can do a sweep on all documents. Within CHD you will be prompted to give us an email address so that we know where to send the notification that a document is ready for you to look at. Once you have decided which documents you want to monitor you will need to click on Confirm.
We have taken our services to the next level by launching a mobile app, which provides free information on the go.

The App is accessible on Apple and Android platforms and it is free to download from either the App Store or Google play.
The only information that you will be able to get currently is the free information that we hold. The App has a stats section that allows you to compile statistics about the number of companies incorporated or dissolved in any time frame that you choose. You can also view the most recent Tweets broadcast by CH.
Feedback on the app is always welcome and within the Apple and Android version there is a feedback section that you can complete. There have been a number of changes made to the App based on feedback that we have received.

You can save Companies that you check on a regular basis to your favourites.
These can be sorted and stored either by CO Name, Company Number, Accounts or AR due date
If you file on behalf of clients it could be an advantage to sort by the Accounts due date.
If a document has not been filed an Amber Alert is placed on a company around 14 days prior to the due date of the document
A red alert is placed on a company when the Accounts or AR is overdue.
URI – Link can be found on CH Website. Copy and paste into search and add the 8 digit company number this will return the co’s details free details ie RO latest documents filed.
Details of the returned search can be exported into excel spreadsheets.
Free Co Data Product - The Free Company Data Product is a downloadable data snapshot containing basic company data of live companies on the register. This snapshot is provided as ZIP files containing data in CSV format and is split into multiple files for ease of downloading.
Free Accs data product – All accounts filed using iXBRL or XBRL format are free to download in a zip file from CH Website. Each morning the accounts filed from the previous day are available for 60 days after this the data can be accessed via the previous year’s monthly files.
XML Gateway – This is a subscription service which offers electronic access to a core range of company information from Companies House database using extensible Markup language –XML
DVD Rom – Contains basic company information on over 3 million live co’s registered in the UK including co’s dissolved in the last month. You can search via co name, co number, lines of RO address or postcode or SIC code, company Type, company status or accounts type.
It costs £30 for a one off disc or £300 for a years subscription. This information cannot be exported and does not contain email addresses or telephone numbers or turnover of a company.
