1. Networking Essentials
Burnton Computer Consultants offers a complete consultancy services to local industry and
commerce. You are a systems engineer for Burnton Computer Consultants and you have
been given the job for looking after the Pelham Insurance contract. The following is a brief
description of the business and its workings provided by Ms D. Stoker, your manager, who
has had some preliminary discussions with the partners of Pelham Insurance.
Pelham Insurance
Pelham Insurance is a well-established insurance brokerage employing 18 people, within its
main office in Burnton and a branch office located in a nearby town. Of the business done by
Pelham Insurance, about 45% is in motor insurance, with the remaining 55% being made up
of personal, marine, and property insurance.
Pelham Insurance has about 12,000 people on its books, with policy renewals being spread
more or less evenly throughout the year. All insurance records are at present maintained on a
card system at the local office, with one card holding all the insurance details of each
policyholder. This card contains details of the name, address, telephone number, insurance
policy number(s), type of insurance, renewal date(s), and personal details relating to the type
of insurance. For motor insurance the personal details will cover make/model/engine size of
car, driving experience, convictions (if any), size of no-claims bonus, type of risk and any
physical disabilities that may affect the ability to drive. Each type of insurance will have a
slightly different set of details, according to whether it is personal, motor, marine, or property
insurance.
Most of the business is done on a renewal basis, with a Policy Renewal Note being sent to the
policyholder three weeks before the renewal date. If this produces no results, a Renewal
Reminder is sent out one week before the renewal date. If no renewal is forthcoming after
this, a note is made for the insurance clerk to follow this up and find out why there was no
renewal.
The financial side of the business - the receipts from premiums and commissions, payments
to insurance companies, payroll, and all other income and expenditure - is handled by a single
clerk under the supervision of one of the partners.
As the business has developed, a number of problems have begun to make themselves felt.
Firstly there is the problem of manually typing the details on the Policy Renewal Notes,
Renewal Reminders, and quotes for new business. This is a very time-consuming job and
leaves little time to follow up the non-renewals, and thus means that business is often lost
when it need not be. Secondly, the present card system of keeping records means that, in
order to ensure that renewal notices are sent out on time, a Policy Renewal Register has to be

kept and updated each day, and a manual search has to be done in order to extract the record
cards needed. This is not thought to be a very efficient way of doing business. Lastly, the
method of recording the financial side of the business does not give the partners the
information they need about the state of the partnership’s finances. They feel they need to be
able to get information faster, so as to enable them to be more accurate in financial planning,
and that one way of achieving this would be to speed up the preparation of pay-slips and
weekly returns to the insurance companies.
You have been asked by Ms D. Stoker to prepare some proposals, based on the above,
relating to each of the questions below:
