Birthday Party Guideline Sheet
Below is a guideline for how all parties should be ran from the moment you walk in, to the very end of the party.
Please note that this is just a baseline and I encourage you all to add your own spins and creativity to it so that we
can provide the best birthday experience for every birthday child. Please keep in mind when doing these parties, it is
a very special day for the birthday child, and it is our job to make them feel as special as we possibly can. With that
said, at the bottom of this page I have mentioned a few simple actions that can go a long way in providing the best
experience possible.
Before the party:
- Become familiarwith the birthday child’s nameand age alongwith the parent’s name
- Set up tables and chairs
- Fill up water coolers from the café
- Prepare any games that were listed and if none were listed,take out some equipment and waitto ask the
birthday child whatthey would liketo play upon arrival
- Know what time you are goingto be pickingup the pizza (if a pick up time was not given, go to the café
and they have a sheet that says when our pizza is scheduled to be ready)
- The room should be clean,but if for whatever reason there is trash or the floor is sticky do what you can
to make the room more presentable
- When the party parent arrives you should take everything (both people should be available) off of their
hands,and offer to setup any decorations they brought in
- If it does not say on the agenda that they would liketo open presents, then ask before the party and be
sure to have reserved enough time to do so.
- Be sureto greet the birthday child with their name and new age. Don’t forget to wish them a happy
birthday as well 
Serving Food:
- ALWAYS serve the birthday child first
- After servingthe birthday child,receiveall of the guests’ attention, and ask them to make gestures for
different types of pizza and cupcakes.
- Example: if I could have all of your attention for just a second, we are going to get started on some pizza. If
you are super awesome like the birthday boy please raise your hand for pepperoni pizza, and if you would
like cheese pizza please place your hand on top of your head. Once again, if you would like pepperoni
please raise your hand super high, and if you would like cheese, please place your hand on top of your
head.
** It is important to reiterate yourself at leastonce so that the majority of the kids areableto
hear it. I realizethat most likely not all of the children will belistening,buttypically mostof them are and
this serves as an easy and efficient way to get food passed out.
- If your birthday child’s parentis offeringto help pass out,thank them for the offer and politely encourage
them to sitdown and enjoy the party.
Gym Games:
- If there are not games listed on the agenda and you cannot think of any,there area lotof them under the
“gym games” tab in both birthday binders.
- Children of younger ages can be inpatientand at times it may be hard to organizea game, but you should
still beplaying at least 2 gym games per hour of designated gym time. (this is based on an estimate of 15
min per game for a total of 30 min of organized gym games, sometimes it may be better to fit 3 games in
the allotted 30 minutes depending on the patients of the kids and the liking of the game)
- Sometimes parties would rather have free time, sometimes they would rather have organized games, and
sometimes they would rather have both, always make sureto check with the parent so that we can fulfill
their expectations.
- Parents and children loveitwhen we arebeing activeand interactingwith the kids ,so we should be
engaging with the kids in all of the games. (Be the referee; If teams are uneven, then play on a team. You
need to try and be involved in some way)
Cleaning:
There is a cleaning checklist in the front of both birthday party binders that should be completed and
initialed at the end of every birthday. If there is a party afterwards, then we need to sweep and spot clean
the floor, however we do not need to mop.
Providing the Best Experience:
- Birthday child should ALWAYS be in the front of lines
- Birthday child should ALWAYS be served first
- You should be askingthe birthday child for their input
- Remember we are providinga service,itis importantto providea servicethat exceeds and at the very
leastsatisfies peoples’needs
- Communication is key in providingexceptional service.Throughout the party is importantto ask the
parents how everything is goingand ask if there is anythingadditional you can help with
- Partof our job is to provide an experience where the parents can enjoy a party a nd not have to do a thing,
always keep this in mind
- Stay busy, there is always somethingto be done
- We should help load the presents and other belongings into the car every time, and if a parent says “no its
fine” tell them that you are goingto load it for them anyways
** Parties often lagon getting out of the room, politely ask the parent if you can make an announcement
thankingeveryone for comingto the party, then make the announcement.
