Report on the adoption of action plan

2. Even/engagement: preparing members on what is expected when going to the field.

5. Purpose of the engagement: Purpose of the engagement is to train members of ACVoSA
how to facilitate the community engagement
6. Resources used: phone for camera.
7. Background: We received messages via WhatsApp group telling us that there an
engagement which is going to be held on Saturday of 05 March 2016 and the venue was E4
and it was confirmed that it will be E4 at 09:00 am and those who were sure that they will
attend the engagement where supposed to confirm their availability to executive members
via WhatsApp until Friday of 04 March 2016 to avoid the tickets drama we had last time at
cafeteria plus to know the kind of transport to book i.e., taxi or bus,
8. Description of what really happened: The engagement was opened by singing the National
Anthem. Everyone introduces him/her-self. The Attendance Register was circulating around
for people to register their names. Mphego M.M presented the introduction of the business
of the day. Business of the day was conducted by Prof J Francis and it was mainly focusing on
train members of ACVoSA how to facilitate the community engagement because there are
members who joined the organization this year. He requested five (5) member to ascend the
podium to demonstrate how to facilitate a community engagement so that we can have
general understanding on what happens when facilitating a community engagement.
He mentioned sponsors whom he propose and they are promising because one of the
sponsors is proposing to fund with $25 000 which is around R400 000. Department of
community service/development and National Foundation are also proposed for funding to
sustain the organization. We are proposing partnership with Students Affairs department
where Prof J, Francis and director of Students Affairs,Dr Selepe had ameeting on how ACVoSA
and Students affairs department will work together.
The business also focuses on arranging the programme: Opening, welcome, attendance
register, introducing guests purpose, formation of groups, discussion, way forward,
ceremony, vote of thanks and closure. Requirements for engagement are as follows:
Attendance register, programme, film chart, media equipment (cameras/phones), notes
books and pens.
9. What where the main results?
The partnership between ACVoSA, Murongwe and Funa Zwau projects is on climax because
we propose to visit there projects to facilitate and address the problems they have so that
the can get ways on how to solve those problems and the proposal result in embarking a
journey to Khubvi and Mbahe.
10. Discussion
A). what was done well?
The training was done well because we now know our duties when we outreach for a
community engagement and how to work as a team.
b). what lessons were learnt/ aspects appreciated most?
We learned that we should not depend on one venue because every time we have
engagement we find it occupied
c). what could have been done better? How?
We should have been allocated bigger venue that is not used during Saturdays so that we
start on promised time.
d). what challenges faced?
The engagement started late because the venue that we were supposed to occupy was
occupied by students who were writing test and we had to move to A4. The other issue was
deputy secretory said members must confirm their availability to arrange enough tickets for
refreshment but we did not receive them.
How were they addressed?
The engagement started at 09:39 which was out of our control and the issue of tickets was
not raised and addressed.
