This document discusses how to transform raw data exported from a transportation management system (TMS) into a nicely formatted report using Excel. It recommends a three step process: 1) designing the report with stakeholders, 2) extracting necessary data from the TMS, and 3) linking the Excel report to the data extracts. With this process, users can generate automated, presentable reports instead of sending raw data back and forth. The document provides examples and suggests contacting the company for assistance in developing Excel reports from TMS data.

If your treasury management system does not deliver the reports that you desperately need ...

It’s not the endof the worldifyour TMSdoesnotdeliverwhatyouneed.
Use EXCEL to get the most out of your data.
2. A common picture?
After having invested hundreds of thousands, the only thing you want is a nicely
designed, printable cash flow forecast. Presentable, top management-ready.
Direct export from the user interface? Hm.
An individually designed report for a further ten thousand? Hm.
An export to EXCEL? Like this one? We call this ‘The Frog’, that wants to be kissed.
3. A common picture?
TMSs quite often offer at least the option to export, let’s say, not so nicely designed
reports, as spreadsheets or csv-files.
The main challenge for the users is how to transform the exported data into
something that is legible and good looking.
If you are familiar with some maybe not so basic features of EXCEL, the solution is
quite simple.
4. Three steps to heaven.
Step 1 – Design
Discuss contents and formats with your ‘stakeholders‘ before you start.
Find out what data sources will be required.
Draft (or draw on a piece of paper) a data model or tables that you will need to
gather all necessary data.
Design the report of your choice.
Discuss again.
Make changes if necessary.
5. Three steps to heaven.
Step 2 – Data sources, extracts
Define the necessary lists and reports in your system.
Create exports to clearly named directories, using self-explanatory names.
Use scheduling functions to generate data extracts, if available.
6. Three steps to heaven.
Step 3 – Link your report.
Depending on the data volume, either establish a direct link to the extracts or use
data query functions.
Make sure that you always use the same names for the extract files so that you
don’t need to re-establish or modify links to data sources.
9. Bonus Tracks.
Nice and useful enhancements.
Use e.g. functions to generate PDFs instead of sending (linked) spreadsheets back
and forth.
PDFs can be read on almost any device.
Use functions to send reports to a group of users.
There are a lot of useful features just waiting to be used. We call them the
‘Cherries’.
Let your subsidiaries benefit from your creativity, offer them your solution for their
own purposes.
