I’m going to start of the presentation with an example of a typical business situation that arises when dealing with conventional Excel free format data capturing methods.Then I’ll give you an overview of Collate, the key features, benefits, the typical process flow and a few practical usage examples of Collate.
George (a manager at ACME Corp) decides to standardise the performance tracking process […expense claim; timesheet …] process.George defines a template in Microsoft Excel and mail the performance tracking form to his colleagues; instructing them to track performance and e-mail the filled-in template to his P.A. Sue on a weekly basis.After attending a performance management conference Bob decides that he will include additional metrics to impress his boss George. He makes adjustments to the template and mails the adjusted template to Sue.Jill goes on her honeymoon for three weeks, during which period, no performance reports are submitted.Zane, who is new to the company, makes many data entry mistakes, due to the free-format nature of the spreadsheet.Sue who has been with the company for a while, consolidates all of the ad-hoc changes, adjusts the mistakes – because she feels she understands the business and the information that her boss is interested in. After consolidating the information, Sue mails it to her boss George.After a few months, Sue gets frustrated with her job, and resigns – joining a competitor of ACME CORP. Her replacement Fred, is tasked with compiling a comprehensive historical performance report for the upcoming board meeting.
Collate combines all the performance functions of the process owner, the Analyst, Business Units and support teams. George creates a form in Collate to standardise the performance tracking process.George assigns workflow that informs his colleagues when they need to submit their performance data. He also sets security levels on the form to ensure that no unauthorised changes can take place.George creates the ExtriMap and the Report that turns the data into information.Bob, Jill and Zane, can only enter the data when they are prompted to do so. Bob cannot alter the form. George can track when the data is submitted, and take corrective action timeously when Jill goes on honeymoon. Data quality improves, due to the properties on the controls that permit Zane to only enter data within the determined parameters.If required, the process can be adjusted to include approval and rectification steps to improve the data quality even more.George has access to all of the data all of the time.There is no need for Sue (or Fred to) interpret the data and turn it into a report. There is no long and expensive IT development project.All of the high quality information is readily available for the board meeting.
