Article 1: Organization
SU Swings is a club that promotes swing dancing both on and off the Susquehanna University
Campus. SU Swings meets twice a week for both basic and advanced lessons. The club offers
events both on the Susquehanna University Campus and through other institutions.
SU Swings teaches East Coast Swing, Lindy, and Blues Dancing, among other various dances
within the same era. Each semester, the Executive Board decides what to focus on during its
lessons. More dance moves and styles are taught as they are learnt from offcampus events and
purchased lessons.
Article II Structure and Membership
SU Swings is composed of active members as well as the executive board. The executive board
is comprised of the President, VicePresident, Secretary, Treasurer, and Public Relations.
Membership is open to all students, faculty, and staff of Susquehanna University. Active
members need to attend four meetings per semester. If any participant of SU Swings sponsored
events or meetings engage in any inappropriate behavior, through voting process, they may be
permanently removed from the club. Opposition to this vote must be taken to the SU Swings
Advisor.
Article III: Duties and Responsibilities of Officers
The Executive Board, as previously stated, will be comprised of the President, VicePresident,
Secretary, Treasurer, and Public Relations; all of which are elected by the active members of SU
Swings. All of the officers share the responsibility of spokesperson for the club. All officers are
expected to attend executive board meetings as part of their duties. During each semester, each
Executive Board member must attend at least one offcampus workshop which will be covered
by the SU Swings budget. In the event of vacancies, the executive board may appoint people to
fill the position. If the President position is vacant, the current VicePresident assumes the role
and the spot of VicePresident becomes available for any interested member under nomination
and approval of the ExecutiveBoard.
- 2. The President and VicePresident of SU Swings share several responsibilities. They will split the
responsibility of lessons—each person will teach either the lead or the follow position.
The President is in charge of calling executive meetings at least once every two weeks.
Additional meetings may be planned when necessary. The President is the main communicator
with the SU Swings Advisor and keeps the him/her informed of all the Executive Board
decisions. The President keeps in touch with the Executive Board to make sure that all tasks are
being completed.
The VicePresident is in charge of planning events including the dates and schedules of each
oncampus event. The VicePresident is also in charge of coordinating offcampus events,
including trips to Swing Dance clubs and workshops. If the VicePresident cannot attend said
arrangements, he/she must keep the rest of the Executive Board and members informed of any
previously planned arrangements. The VicePresident also takes control of meetings when the
President is not able to attend.
The Secretary is responsible for taking executive meeting minutes. The Secretary must maintain
any records including, but not limited to, the member lists, constitution, contracts, list of moves,
and contact information. These records will be stored on the SU Swings external hard drive. All
emails and documents that are to be distributed must be composed and approved by the
Secretary. All paperwork is to be completed by the secretary.
The Treasurer shall be held directly responsible for keeping the budget and the book uptodate
and accurate. The Treasurer shall also interact with the business office regarding check requests
and deposits. [S]he is also responsible for overseeing fundraising events and the use of funds.
Investments exceeding $100 must be approved by the entire of the Executive Board after gaining
initial approval from the Treasurer. The treasurer is in charge of keeping track of the money
within the SU Swings account, writing checks, making arrangements to pay hired instructors,
musicians, etc., and its cash flow.
The Public Relations officer shall be in charge of maintaining the SU Swings website with
information on upcoming events, club goals, fundraisers, etc. [S]he shall also advertise meetings
and events SU Swings will host. The Public Relations Officer needs to keep advertising meetings
and events throughout the school year. The Public Relations Officer must also attend all
activities fairs or find another representative. Included with the Activity Fairs is the maintenance
of PR items such as movies, pictures, and handout information.
Article IV: Voting and Elections
Only active members will be granted voting privileges. All voting will be done by the members
and will be based on a majority rule. A quorum is defined as 51% of the active membership. A
majority is defined as over 51% of the quorum.
- 3. Persons applying for candidacy for any of the five offices of SU Swings are subject to approval
or disapproval by the following criteria of eligibility.
A candidate must be an active member of SU Swings for at least one full academic semester and
be in good academic standing. The positions of President and VicePresident must have a year of
Swing Dancing experience or equivalent. Exceptions will be made if the current Executive Board
finds the candidate to be especially capable of teaching abilities. If an applicant is found
ineligible, a written explanation must be given to the applicant and a copy given to the each
member of the Executive Board.
Each candidate, upon accepting nomination, agrees to adhere to the active SU Swings
constitution and the duties that each position entails. The President and VicePresident positions
must consist of a lead and a follow (either position may be the lead/follow, but one of each is
required).
The election of officers shall be held the last meeting in November of the fall semester.
Nominations for candidates will be held two weeks prior to the election. After induction, the
term of office will be the spring semester of the same academic year. Offices will be held for one
full calendar year including the spring and fall semesters. The remaining meetings will be used to
train the newly inducted officers.
The election process will include secret ballots. Two weeks prior to elections, each candidate
will be nominated by email. At the next meeting, each nomination will be announced and the
member can accept or decline the nomination. The ballots must be typed, in order to keep each
vote confidential.
All oppositions to candidates must be submitted 48 hours before an election. Valid complaints
against an officer must be presented to the SU Swings advisor. The SU Swings advisor will then
inform the Executive Board about the complaint keeping the identity of the author anonymous. If
the current President or other executive member is the candidate in question, the decision will
solely be made by the SU Swings advisor.
Any opposition to a current officer must also be anonymously submitted to the SU Swings
advisor. The removal of an officer requires an anonymous majority vote from the active
members in addition to the remaining Executive Board’s unanimous vote. The SU Swings
advisor can veto any decision—which cannot be overruled.
Article V: SU Swings Sponsored Events
All SU Swings sponsored events, including, but not limited to, workshops and dances will be
planned by or with approval by the Executive Board. Any money spent on an event must be
approved by the Treasurer and all documents, including contracts and waivers, are to be
composed by the Secretary. The Executive Board must approve by vote any decisions made
about the event. No event can use more than ¾ of the budget for the year.
- 4. Each member of the Executive Board is responsible for his/her own part of the workshop
planning. The secretary must keep in contact with the attendees, instructors, and SU Swings
members, write the contracts, and keep records of every decision. The VicePresident is in
charge of hiring instructors, coordinating dates/times, and reserving event spaces. The treasurer
is in charge of budgeting the costs of the event, approving spending, and setting pricing. The
president is in charge of delegating any other responsibilities to either executive members or
active members. Any active member involved must have any decisions be approved by the
executive board.
All outside instructors are to be paid through the business office. Each person must fill out a W9
form which is stored within the external hard drive. The instructors must sign a contract that is to
be written by the secretary and approved by the executive board. Within this contract, the
instructors must agree to follow all Susquehanna University policies. No instructor is to be paid
more than $150. Travel expenses for instructors will not be covered. All contact information
including address, telephone number, and email will be stored within the SU Swings’ records.
The instructor’s social security number must be not visible on the W9 forms saved for records.
Article VI: Budget
Each year, the executive board is required to hold a meeting to discuss the next year’s budget.
The treasurer will write up the budget in accordance to the SU Swings handbook. Money being
spent over $100 must have an unanimous vote from the executive board before being spent. All
money must be reviewed by the treasurer before being brought before the entire executive board.
Parts of the budget must be dedicated to Public Relations, workshops, music, lessons, and
oncampus events.
Any purchases must be kept on file through the copies of receipts and money request forms.
Article VII: Records
All budget records, including but not limited to check requests, need to be stored within the SU
Swings external hard drive. Contact information for past instructors, members, and other
schools; budget records, and any documents including but not limited to the constitution,
contracts, and event records. All official documents must be kept for five years.
Article VIII: Music
Each years budget will include $50 per semester for new music. The executive board will choose
what music will be best for the lessons and/or workshops. This music will be stored on the SU
Swings external hard drive. The secretary is in charge of keeping the SU Swings iPod. Each new
secretary will load the music on their or other executive member’s computer and format the iPod
for that computer. They will keep the iPod until the next secretary is elected.
Article IX: Fundraisers
SU Swings, in order to receive funding from the SGA, is required to fundraise part of the budget.
