                                                        Process Improvement

Editor's Notes

  1. This presentationis conducted by our company, “ GTA CONSULTANTS “. Our team members are Afea Tawiah, Mark Allan Marquez and Tejas Muzumdar.
  2. The agenda for todays presentation is as mentioned above. In the following slides we will cover each topic mentioned in more detail.
  3. GTAConsultants have conducted an investigation to determine the maturity level of your company’s Business Analysis process and practices. To do this, we first selected a maturity modeland then created 20 questions, to conduct a survey with 5 BAs in the organization. This identified the BA maturity level the company is currently operating at, while identifying the problems and appropriate areas for improvement to achieve efficiency.
  4. Assessment is a means of auditing a company to see how they are functioning, thus acting as an educational tool that stimulates change. It will help your company see if you are functioning as you should be, by identifying what is actually going on in the organization, rather than how you perceive you are operating. This assessment will help the organization to greatly improve its current Business Analysis practices, and lead to significant cost savings.
  5. Here are various BA Maturity Models that can be used to assess the BA maturity level of an organisation as there is no universal model. We have decided to go with the BA Practice Maturity Model ( BAPMM ) to pinpoint the current maturity level of your organization.
  6. Organization’s are always aiming to be as efficient as they can be, this is why a maturity models are important. They add great value, as they aid in process improvement. The role of a Business Analyst is to help identify the needs, requirements, problems and opportunities in an organization. It's very important for an organization to have a well-defined road map for growth for its BA’s. A Maturity Model can be used as a very effective tool for the organization to  direct its BA practices to an optimized level from the above.
  7. We used the BA PracticeMaturity Model shown in this slide and identified the current maturity level of your organization. The BA Maturity model shown above is a very simple and concise model, yet highly effective. Based on our evaluation we have conclude you company is at stage two in this maturity model. At level two, the organization has achieved the following:• BA Planning and Managing• Requirements Elicitation • Requirements Management and Communication • Requirements Analysis • Requirements defect prevention From our survey results, we have concluded that your company has achieved most of these areas, however there is still room for improvement. As a result we have graded your company at level two with some improvements needed at this level to function well at the framework level.
  8. This tableis a reflection of our data analysis, wherein we rated the relevant responses which are expected per level of maturity using the legend on top. We gave 1 point for Level 1, if the response is expected in L1 and is observed or if the response is expected in L2 but not present (L1/not L2) while 2 points is given for L2/not L3 response, 3 points for L3/not L4, and 4 points for the response that is seen in L4. It is clear that the organization is beyond Level 1 and at Level 2.Although theyare at Level 2, there is still room for improvement such as being more consistent in the use of BABOK knowledge areas, knowing more about the projects, change management and establishment of a BACOE.
  9. At LEVEL3, organizations are aware of the value business analysis provides, therefore it is important to have business alignment in all aspects of the business. To achievethis and to get your company to LEVEL 3, the following are our 5 recommendations:
  10. This will help create consistency in quality and improve accuracy, making it easier for stakeholders to understand documents, while heeding to a company approved standard.Requirement elicitation is a big part of a BA’s Job, so its important to make sure that the project deliverables meet a certain criteria, in order to communicate the purpose. By achieving this, it will bring the BA practices towards LEVEL 3.
  11. In order for a company to be at LEVEL3,its important for it to optimize project management processes and resources. This can only be achieved by having a Portfolio Management Support & Facilitation. The reason for this is that it will help identify improvements through the lessons learned and build casestudies needed for the next projects. These will help support projects at each stage:from elicitation, implementation, and final review, and bring them to successful completion.
  12. Career development of a BA is an ongoing process in which the BA should remain active and continually work towards their goals. Supervisors and managers should evaluate the BAs to identify skill gaps and competency. In doing this, it also adds to the value of the organization as it create a strong BA workforce in the company. The BA job descriptions, titles and career progression should be finalized. A BA professional development program should be launched including training, mentoring and organization support. A BA centre of excellence (BACOE) should be implemented to achieve all these goals. This will help an entry level BA to move all the way up to VP of BA. It will increase employee satisfaction and morale.
  13. The company needs a training program that will be implemented in progressive stagesof the maturity model, while providing a progress report. This will help individual BAs move up the maturity model. Due to the fact that some BAs maybe more advanced than others, itsimportant that the company provides training that will address these differences. Lastly, the training will help this company achieve the desired Strategic Alignment of Project Investments, as the training will ensure all investments in all projects and assets are directed toward achieving the organization’s strategic vision, while adding value to the business.Continuoustraining will help the BAs up-to-speed with new developments in the field of business analysis, and eventually enable the BAs have more strategic functions in the organization.
  14. When the company requires Business Analysis prior to implementation of any new solution, then the level of confidence on the BA practice is established and relied upon. This creates business alignment as the BA considers business policies and business rules from which the solution will be implemented.Business rules analysis is a BA tool used by the analyst in defining the rules that govern decisions in an organization and that define, constrain, or enable organizational operations.
  15. A maturity level is a defined evolutionary plateau for organizational process improvement.Mature and capable business practices and processes are directly correlated with higher organizational performance and successBased on our comprehensive data analysis your organization currently sits on Level 2 on the BAPM model. Our 5 highly effective recommendations will seamlessly move your organization from its current level to Level Three.Moving to Level 3 will have significant pay-offs such as: more projects are successful and are on time, on budget and are functional increased revenues & profitsreduced deficits greater employee satisfaction and moraleThank you for attending our presentation.
