4. Internet Sales Team Process
New Internet Inquiry
● Internet Sales Manager will assign inquiry to an internet salesperson
● Salesperson then opens the inquiry and reads the Autoresponse
● After reading prospect’s information STOP THE CLOCK by completing the phone call task. Then
make the call.
● After calling the prospect place the inquiry in the First Response sales status
● If the prospect has no phone place place the inquiry in the Internet No Phone sales status
● If the prospect has no email address place the inquiry in the Internet No Email sales status
● If an inquiry has the wrong/fake phone number or email address, add the the phone number or
email address in the notes with comment and remove the wrong/fake phone number or email
address from the inquiry
Things To Look For:
Auto Response
● Prospect Information (Name, Phone, Email)
● Vehicle Wanted Information (Make, Model, Trim, Features, Source)
● Customer Comment Information (What is the customer asking for? E-Price, Inventory, etc.)
● Location (How many miles away is the customer? Can we offer then Complimentary Pick-up and
Delivery or Complimentary Airport Parking)
● Status: Is the customer listed in first response, internet no phone, or internet no email?

Follow Up
● CRM Organizer (Daily, Weekly, Monthly, Overdue)
● After making initial response schedule a task (phone, email, text) to follow up with customer in the
future
● Make sure to update your overdue tasks weekly
● Pro Tip: Use all downtime to retouch Active-First Response (Internet No Email, Internet No Phone)
prospects that you may have dropped the ball on. Schedule calls for every prospect at least 5 times
over the course of 90 days.
5. New Internet Inquiry
A NEW internet inquiry has been submitted and assigned to an Audi Brand
Specialist. The inquiry has two tasks already assigned to the salesperson.
The Audi Brand Specialist will first open the Auto Response to review the
prospect information, vehicle request, and customer comments.
7. Initial Call Process Activity
Stop the clock by completing the phone call task (activity) and then call the
prospect.
Upon calling the prospect we discovered that the phone number provided was the
wrong number. Following protocol the phone number will be noted, removed, and
the inquiry will be placed in the Internet No Phone sales status, which stops phone
call tasks from being automatically scheduled.
8. Initial Email Process Activity
If an email is provided move on to the email task under current activity and
then schedule the next task under next activity.
Pro tip: Make sure you leave enough time in between each task to give the
customer an opportunity to respond after sending the Day 2 Spam Check.
9. New Internet Inquiry
The phone number associated with this inquiry was the wrong number. The phone
number was noted in the comment section and then removed from the inquiry.
We were unable to send this prospect a text message because the phone number
was removed.
The email tasks were completed as scheduled.
The sales status is Internet No Phone.
10. Sales Status-Active
New- Initial submission into the E-Leads system
First Response- Initial response to customer with no reply
Working- Customer has replied to initial response
Working, VNIS- Customer has replied to initial response. However, the
vehicle requested is no longer in stock
Hot- Customer has been in communication with sales person to set an
appointment or negotiate a deal
Internet No Phone- Customer has submitted a lead with no phone
number
Internet No Email- Customer has submitted a lead with no email address
Sold Pending- Customer has signed the worksheet, credit application is
completed, and deposit in house
Manager Review- Salesperson has determined that the lead is
unresponsive or inadequate
Appointment Set- Salesperson has made arrangements for customer to
come into the dealership
Appointment No Show- Customer missed the appointment date set by
salesperson

V-Auto: Every pre-owned inquiry will come with a V-Auto report that gives you information on how
the car is ranked in the market given price, mileage, and distance from our dealership. V-Auto
reports can be issued by a Sales Manager, Internet Sales Manager, Finance Manager, or General
Manager.
Rapid Recon: Rapid Recon is given to all salespersons in order to provide information on the
condition of the vehicle including mechanical records.
Butlercars.com: As part of the Butler Auto Group all salespersons will have access to a network
of 13 dealerships
Carfax: Each car will come with carfax information included on the webpage it is posted under
Audi South Atlanta: Every salesperson will have access to highlighted features, included options
& packages, and tech specifications
