As a vehicle trading company we have to carrying our product
for various purpose. Such as Stockyard transfer, Marketing
activities, Sales promotion and other purpose with fully our
responsibilities by creating IC (Internal Chalan)
Why we use online IC system:
It’s a parts of Digitalization of NML. It is use for fast works by
using minimum involvement, Automation carrying Bill, Auto
up date physical stock report, Keep proper documents, Paper
less job, Ensure responsibility and It is cost effective.
3. Types of IC (Internal Chalan):
It’s a important part of online IC system. Every one should select the
proper IC type as his require. We mention here various types of IC
1. Event: It is use for sales promotion purpose such as Mela, Demo,
Road show, Customer meet, Ifter party, Office opening and others.
Only sales person will create this IC type. Multipule IC is issue for a
single Event at different location.
2. Event Return: It is use after complete event. Only sales person will
create this IC type.
3. Delivery: It is use when our customer wants their parched vehicle
in his warehouse with company responsibilities Only sales person
will create this IC type.

4. Types of IC (Internal Chalan):
4. Body Building: It is use when require body building and
Mechanical works purpose. Only sales person will create this IC
type.
5. Show Room: It is use when we Carry vehicle for Show room
purpose. Only Show Room in-charge will create this IC type
6. Stock Yard Transfer: It is use only Stock yard transfer purpose.
Only Supply chain assign person will create this IC Type.
7. Redelivery : It is use only we need to carry the CRM Chassis
Only sales person will create this IC type.

7. Responsible of stage
1. IC Issuer:
Only Sales field staff,
showroom in-charge &
delivery point in-
charge are authorized
to issue the internal
Chalan. Than It will go
for approval to segment
wise assigned PM
2. Approval - 1:
Only Product Manager
are authorized to 1st
approval. After Checking
model and Its utility he
will Approve, Edit or
Cancel the internal
Chalan then it will go for
final approval.

Only CBO or his assign
person can approve
this IC. He can also
edit, modified & cancel
the IC then it will go
for create GP (Gate
Pass)
4. GP Issuer:
Only mentioned sender
in IC system can create a
GP (Gate pass) and He
does not create gate pass
not over selected Chassis
quantity.
9. Responsible of stage
5. GP Receiver:
Only IC issuer can
receive the GP (Gate
Pass) after receiving
the Gate Pass then it
will go to Accounts for
bill generate.
6. Accounts:
Only Accounts assign
Person can generate the
IC carrying bill.
Accounts also cancel or
modify the bill.
10. Internal Chalan Issue
- User must select IC Type. Mainly there are 8 type of IC. Delivery, Event,
Body Building, Stockyard Transfer, Show Room, Party Display and
Event return. If IC type is event then user must select Event Name.
- User must select model, quantity, color, but DC is mandatory only for
Delivery.
- To input other necessary information user can save IC. If IC is
successfully
- save then system automatically generate IC No which is show in the top
of the right site of the page.
- Using Internal Chalan Issue- Edit & Reprint page user can Edit only
his/her IC’s which is not approved.
11. Internal Challan Issue
If IC Type is “Stockyard Transfer, Maintenance, Maintenance return, Official, Official return” then only
Supply Chain assigned person can issue that type of IC. And Sender must be ‘DP In charge’ or responsible
person. Other IC type can be issued by all sales persons.
12. Vehicle Transfer-
Internal Chalan Approval
Using this dashboard user can easily approve,
reject or edit IC .Mainly user will checked its model and
utility.
13. IC Approval by Stockyard/Sales Authority
If IC Type is “Stockyard Transfer” then only Stockyard responsible person can approve to issue
Gate Pass (GP). Other wise Sales Authority (PM) can approved
14. Internal Challan Final Approval
Any type of IC must be need final approved. Authority can also edit IC before or after approval if no
GP is Issue
15. IC Gate Pass
- When user input IC No and press find button then
system automatically pick some IC information.
- In additional user must input some other GP related
information ie model, chassis, transporter, driver,
bridge toll etc.
- To click Total Cost button user can see total GP cost i.e.
sum of fixed cost, fuel cost and toll
- To click save GP button user can finally save GP. If
save is successfully done then this GP information is
show in below.
- If GP is not received then user can also edit this GP
using Edit link .
16. Issue Gate Pass
Only IC Sender can issue GP. But if IC type is stockyard transfer then DP In charge or responsible person
can also issue it. Here you see only district and town wise available chassis. If chassis current status is “SIT”
then this chassis is not show to chassis drop down list. If chassis is not receive then GP issuer can also
edit or reject GP
17. GP Receive
Only IC Receiver Attention can receive his/her GP,
here he must select responsible DP
Here he can also see GPS vehicle tracking
information. If no GPS information found he also
