One of our objectives for today is to gain an understanding of the campus facilities so I’m going to talk to you about the role and functions of UCD Buildings and Services. I’ll begin by giving a brief overview of the departmental structure before going through that structure in detail, paying particular attention to the services they offer that are of interest to new members of staff. You’ll be surprised at how many areas this department covers and you will definitely come into contact with them in some way. I’ll outline the points of contact for the most frequently used or most relevant services before giving details of major new projects the department is involved in. Finally, I’ll outline where you can go to get further information.
As you can see from this slide UCD Buildings and Services have responsibilities across a fairly broad spectrum. From maintenance to exam support to security and building refurbishment, Buildings and Services cover a lot of ground.
In a nutshell, Buildings and Services are responsible for the care and operation of the physical resources of the university.
They have a fairly diverse range of staff in the department. There are about 130 full and part time B&S staff – the size of a fairly big School - but they also engage a number of specialist contractors and trades-people.
The staff you are most likely to encounter are those based in the various services centres. They are a first point of contact for a range of services that you can see here. You should note that not all buildings contain a services desk and they are primarily based in buildings that have an academic presence.
Hopefully you won’t need to contact them too often but their technical services are responsible for general maintenance and telephone services.
I’ll be giving out contact details for these services later on.
Capital development is one of the less high-profile parts of the department but they look after refurbishment of laboratories and other work spaces. These projects are comparatively small-scale.
The energy unit looks after sustainability and is currently investigating biofuels and geothermal heat pumps. They also manage the Cylon building management system which controls machinery and systems around the campus.
The transport office website contains a lot of information on pay and display areas and prepaid parking discs. As a staff member you are likely to receive regular telephone updates regarding parking and traffic issues. They also run a car sharing website were you can get information on lifts to work.
While capital development look after small scale projects, the planning unit is responsible for coordinating large scale projects. They would liaise with architects and designers and planning authorities in the project management of very large scale projects across the university. We’ll look at some of these later in the upcoming projects section.
What we have here are the range of services that you are most likely to encounter during your time with UCD.
They are fairly self explanatory but I’ll run through them quickly.
Teaching support: projectors, av equipment support.
Postal service: UCD has a full sorting office based in the James Joyce library and services coordinate delivery of literally thousands of pieces of internal mail to centres across the university.
Room booking: Services control access to rooms for teaching across many buildings. There is a general number which we will give out later on.
Staff card: You will all be calling in to the services desk to get your staff card at some point. You’ll need this to get into the library and it can also be used to get discounts in the gym!
Security: UniCare emergency response operate 24/7. You’ll see the patrol van’s throughout the campus night and day.
Maintenance: As already stated they deal with minor problems around the campus (again, night and day)
Traffic: Commuting, parking information, etc.
What we have here are the services you are most likely to encounter. There are over 100 people in the department but these numbers should cover most eventualities.
Before we finish up we’ll look at some of the major projects involving B&S.
The most high profile is probably the landmark gateway project. As mentioned earlier, this is the kind of project that comes under the remit of the planning unit.
The energy unit was one of the founder members of E3, a consortium of universities that came together to reduce energy consumption. You can go onto their site and view real time usage of energy across the campus on a building by building basis.
Again on the environmental front, B&S are heavily involved in the campus woodland development which is creating a woodland walk around the perimeter of the campus (some of which is already in place). This project also aims to conserve and expand existing woodlands.

Further information on all of the above can be gathered from the B&S website which is very comprehensive.
You can also get information from one of the many desks around the campus.
