The Swipe Project
An Implementation Plan
Project Purpose
HousingandResidentialServices (H&RS) successfullyutilizesaswipe systeminthe dinningcommons
and duringHalloweentopromote safetyandaccountabilitywithinthe ResidenceHalls. The Swipe
Projectis interestedinexpandingthis efficientandenvironmentally friendly systeminto the Residence
HallsAssociationand residentialprogramming.
By expandingthe swipesystemintothe Residence HallsAssociation (RHA),we canprovide additional
securityinresidential programmingfornon-residents,increase long-termcommunityinvolvement and
qualityrecruitmentforfuture studentleaders,efficiency,internal accountability,qualityprogramming,
and publicitywithinthe Residence Halls.
Collaborationwith InformationSystems
RHA alreadyhasaccess to the names,perm numbers, email addresses, andresidence hall assignments
of all on-campusresidents.The foundationof thisprojectreliesonamechanism fromInformation
Systemsthatcollectsstudentdatafroman accesscard swipe andplacesthe dataintoan excel
spreadsheetwhere thenRHA canlink thisinformation tothe rostersthatare available toRHA. This
systemwouldenableRHA tobe able toidentifythe student’sname,residence hall,andemail forfollow
up contact withthe studentoutlinedinourgoals inthe nextsection.
If possible, we wouldlike toexplore the abilitytoidentify the student’s“residencystatus”(similartothe
diningcommons) atthe time of the swipe forsecurityandaccountabilityreasons listedinourgoals
below.
Ultimately, ourgoal isto be able to make thissystemsimple enoughtobe maintained bystudent
leaders.Withassistance fromInformationSystems,we canconstructa student-ransystemthatnotonly
givesstudentleadersthe opportunitytolearnandpractice theirsoftware competency,butalsoto
eliminatethe needforInformationSystemstospendtheirvaluedeffortsintomaintainingthissystem.
Short Term Effects of the Swipe System
I. ImprovedProgramming and CampusSecurity
Incorporatingthe swipe systemintoresidential programmingcanimprove on-campusandresidential
programmingsecurityfromIslaVistaresidents.Inthe past,we have hadincidentswhere non-residents
wouldattendon-campusprogramseitherintoxicatedorwiththe intentionof freeloadingonfoodand
suppliesfundedbyresidential funds.Asaresult,ourorganizationwould contactRAsandon-campus
officers toassistwiththe situation. The swipe systemwill provide extrasecurityforon-campus

programsby identifyingresidentsfromnon-residents,potentiallyenhancing aresident’s experience in
these programs.Notonlywill the swipe systemimprove the qualityof residential experiencesin
programs,but itwill alsonegate future incidentscausedbynon-residents.
The swipe projectcanbe usedbythe universitystaff,RAs,oranyresidential programmerstodistinguish
residentsfromnon-residentsintheirprogram.The swipe systemcancollectquantitativedataandact as
proof/justificationforresidential programmingto preventnon-residentsfrom “crashing”aresident-
exclusiveprogram.If successful,thisideacanbe easilyadaptedtoHall Council orotherareasin the
University.
II. Efficiency(RAs,RHA, General Meetings)
Integratingthe newswipe systemintogeneralmeetings,where the attendance of alarge groupof
people is mandatory,canimprove the efficiencyof the overall process/agenda.Ratherthanhavingan
extensive roll call,residentsmaysimply“swipe”intothe meetingwhere asystemwouldrecordtheir
identityaspresent.
The swipe can alsodetermine whichmembersinanorganizationare consistentlytardy,absent,or
involved,andcanbe usedbyexecutivestodiscusswaystoaddress specificindividuals/organizational
issuesorhowtheycan re-structure theirmeetingstoaccommodate the needsof specificmembers. This
“swipe in”ideaservestomake meetingsfaster,more efficient,andmore accountable intermsof
recordingthe timestampandidentityof membersof anorganization.Inthe longrun, the swipe project
can alsoprove to be a useful tool toexecutivestohelpaddresstardinessortoimprove the structure
and timingfortheirmeetings.
III. Internal Accountability
Anotherpositiveeffectof expandingthe swipesystemintothe Residence Hallsisitseffectonenhancing
our internal accountability.Aspreviouslymentioned,the swipeprojectcanbe usedas a reliable method
to identifythe time andidentityof studentleaderswhenattendmeetings,holdofficehours,andassist
inspecificprograms.More importantly,the swipe projectwillenable RHA tocollectquantitativedata
that can be usedby our Judicial ReviewCommittee,RecognitionCommittee (orNRHH),andHonoraria
Committee indecidingthe allocationof honoraria,recognitionawards,andcommitmentof certain
membersinthe organization.Throughthisproject,anaccurate internal accountabilitysystemcan
motivate ourpeerstoexcel intheirpositionandmaintainahealthyworkflow tothe organization –a
valuable resource forthe RHA Vice Presidentandthe subcommitteesof RHA.
IV. EnvironmentallyFriendly
Swipingintoprogramswill eliminatethe needof paper“sign-insheets”torecordthe attendance of
residents.GiventhatRHA,RAs,and Hall Council are significantprogrammingentitiesinthisUniversity,
the adaptationof a swipe systemcanreduce the amountof paperwe dispose anddecrease ourcostsin
office suppliesinthe longrun.Subsequently,thiswouldtake usastepcloserto a more sustainable and
eco-friendlyfuture.

Long Term Effects ofthe Swipe System
V. CommunityInvolvement
The expansionof the swipe systemintoRHA,RA,Hall Council andresidential programminghasthe
potential toincrease communityinvolvementinthe longrun.Integratingthe swipeprojectinto
residentialeventscankeeptrackand recordthe activityof each residence hall. SimilartoProjectC.A.R.E
– an RHA incentiveprojecttoencourage residentstorespecttheirlivingspace,the swipe projectcanbe
an incentive projectthatwill awardresidence hallsbasedonprogramattendance.Thisprojectaimsto
promote residential hall spirit,increase residential hall unity,and inspire residentstobe more involved
on-campusandattendprograms,dissuadingthemfromattendingalternative programsoff-campus.
VI. Quality Learningand Recruitment
An increase inattendance of educational,social,anddiversityprogramscancultivate community,
friendship,anda“learningbeyondthe classroom”experienceforourresidents.Additionally,the swipe
projectmay enable organizationstoidentifyspecific residentsthatare continuouslyactive inthe
community.Organizationsmayuse thisinformationtoaidinrecruitinginvolved,motivated,and
dedicatedstudents aspartof an increase in quality recruitmentfor future generations.
In the longrun, thisprojectnotonlyfocusestoeducate a largerbodyof residentsthroughinter-hall
incentives,butalsoaimstoinfluence agreaternumberof residentstobe activelyinvolvedinthe
communitytobecome betterstudentleaders.
VII. Quality Evaluations
Witha systemthatcan track active residents, we canforma listof involvedresidentstosendprogram
evaluations,openjobpositions,orhousing-relatedsurveys.Ideally,we expecttosendthese formsto
residentswhoshowstrongevidence of communityinvolvement. We expectresidentswhoreceive these
surveystohave a higher responserateand to provide betterquality evaluations toourorganization.
Subsequently,the surveysandevaluationssentandgatheredwill come fromamore knowledgeable and
reliable targetpopulationwithinourcommunity.
VIII. ImprovedQuality Programming
The swipe systemcanalsofunctiontoidentifyresidentialpatternsinprogramming.We canutilize any
trendsinresidentialactivitytopublicize toactive residentsaboutupcomingprogramsor any housing-
relatedactivitiesthatpertaintotheirinterests.Forinstance,if ourrecordsshow thata specificresident
has attendedtwo“Zombie themed”events,RHA cannotifythose groupsof residentsviaemail about
anotherupcoming“Zombie themed”event.Notonlywill the swipesenhance RHA’sprogrampublicity,
but itwill alsointhe longrun increase attendance toresidentialevents.Thisprojectcanalsobe adapted
to publicize upcomingHall Council,RA,andRHA programs to the entire studentbody thathave shown
interest.

ClosingStatement:
Thisprojecthas the flexibilityandpotential tounifyall three programmingbodies –Hall Council,RA,and
RHA, intoone unified entity inpursuittowardsourcommongoal of improvingthe overallresidential
experience.Underthe same system, the swipe projectcanrevolutionizehow we program, whywe
program,who we programfor, andanswerwhat we can do to create a lastingimpacton ourresidents.
The expansionof this innovative systemwill notonly enableRHA andResidential andCommunityLiving
(R&CL) togrow as a whole,butalso enhance the qualityof residentiallife forfuture generationsof
incomingresidents.Ourorganization firmlybelievesthatimplementingthisprojectwill helptransform
our Universityintooursharedvisionof aworldclassfacility.
Project Objectives
On the fundamental level,the RHA ElectronicSwipesProject eliminates needfor“signinsheets.”The
eliminationof non-electronicsigninsheetshelpspromote environmentally friendly,sustainable,and
efficient qualitiesthatwouldeffectivelyreduce ourcarbonfootprintinthe longrun.
Additionally, RHA andHousingcan utilize the flexibilityof the Swipe Projectto outreach andpublicize
programs,events,andavailable positionstoresidentswhoprove tobe highlyinvolvedandcapable
aroundcampus.
Furtherpossible objectivesof the SwipeProjectare listedbelow:
 A centralizedelectronicdatabase that identifiesactiveresidentsandresidence halls.This
objective hasthe flexibilitytopromote aninter-hall competitionwhere pointsare awarded
points toHallswho have the highestattendance inresidential programs.Thisincentive aimsto
increase attendance andinterestineducational,social,anddiversityprograms amongthe
residentialpopulation.
o Database identifiesthe type of programs(educational,social,diversity) specific
residentsare interestedin foreacharea.For example,if Manzanitaisshowntohave a
higherattendance ineducationalprograms,we mightwanttoplanfuture educational
programsin Farside ORimprove ourpublicityof educational programsinChi-5andSan
Catalina.
o Identifieswhichresidence hallsare mostactive inattendingRHA programs.A raffle or a
special event(Pizza/Ice-creamparty) incollaborationwithHousing,RHA,orProjectCare
can be usedtofundthe event.Thisincentiveismeanttoaward andpromote student
activityandinvolvementinResLife.
 The systemwill give accurate countsof how many residentsandnon-residentsattendthe
program.
 The systemwill provide addedsecurity,quantitativeevidence,andprotectionagainstnon-
residents.

JosephGallego Residential LeadershipProgramsIntern Residence HallsAssociation(2014-2015) The Swipe Project An Implementation Plan Project Purpose HousingandResidentialServices (H&RS) successfullyutilizesaswipe systeminthe dinningcommons and duringHalloweentopromote safetyandaccountabilitywithinthe ResidenceHalls. The Swipe Projectis interestedinexpandingthis efficientandenvironmentally friendly systeminto the Residence HallsAssociationand residentialprogramming. By expandingthe swipesystemintothe Residence HallsAssociation (RHA),we canprovide additional securityinresidential programmingfornon-residents,increase long-termcommunityinvolvement and qualityrecruitmentforfuture studentleaders,efficiency,internal accountability,qualityprogramming, and publicitywithinthe Residence Halls. Collaborationwith InformationSystems RHA alreadyhasaccess to the names,perm numbers, email addresses, andresidence hall assignments of all on-campusresidents.The foundationof thisprojectreliesonamechanism fromInformation Systemsthatcollectsstudentdatafroman accesscard swipe andplacesthe dataintoan excel spreadsheetwhere thenRHA canlink thisinformation tothe rostersthatare available toRHA. This systemwouldenableRHA tobe able toidentifythe student’sname,residence hall,andemail forfollow up contact withthe studentoutlinedinourgoals inthe nextsection. If possible, we wouldlike toexplore the abilitytoidentify the student’s“residencystatus”(similartothe diningcommons) atthe time of the swipe forsecurityandaccountabilityreasons listedinourgoals below. Ultimately, ourgoal isto be able to make thissystemsimple enoughtobe maintained bystudent leaders.Withassistance fromInformationSystems,we canconstructa student-ransystemthatnotonly givesstudentleadersthe opportunitytolearnandpractice theirsoftware competency,butalsoto eliminatethe needforInformationSystemstospendtheirvaluedeffortsintomaintainingthissystem. Short Term Effects of the Swipe System I. ImprovedProgramming and CampusSecurity Incorporatingthe swipe systemintoresidential programmingcanimprove on-campusandresidential programmingsecurityfromIslaVistaresidents.Inthe past,we have hadincidentswhere non-residents wouldattendon-campusprogramseitherintoxicatedorwiththe intentionof freeloadingonfoodand suppliesfundedbyresidential funds.Asaresult,ourorganizationwould contactRAsandon-campus officers toassistwiththe situation. The swipe systemwill provide extrasecurityforon-campus

The swipe projectcanbe usedbythe universitystaff,RAs,oranyresidential programmerstodistinguish residentsfromnon-residentsintheirprogram.The swipe systemcancollectquantitativedataandact as proof/justificationforresidential programmingto preventnon-residentsfrom “crashing”aresident- exclusiveprogram.If successful,thisideacanbe easilyadaptedtoHall Council orotherareasin the University. II. Efficiency(RAs,RHA, General Meetings) Integratingthe newswipe systemintogeneralmeetings,where the attendance of alarge groupof people is mandatory,canimprove the efficiencyof the overall process/agenda.Ratherthanhavingan extensive roll call,residentsmaysimply“swipe”intothe meetingwhere asystemwouldrecordtheir identityaspresent. The swipe can alsodetermine whichmembersinanorganizationare consistentlytardy,absent,or involved,andcanbe usedbyexecutivestodiscusswaystoaddress specificindividuals/organizational issuesorhowtheycan re-structure theirmeetingstoaccommodate the needsof specificmembers. This “swipe in”ideaservestomake meetingsfaster,more efficient,andmore accountable intermsof recordingthe timestampandidentityof membersof anorganization.Inthe longrun, the swipe project can alsoprove to be a useful tool toexecutivestohelpaddresstardinessortoimprove the structure and timingfortheirmeetings. III. Internal Accountability Anotherpositiveeffectof expandingthe swipesystemintothe Residence Hallsisitseffectonenhancing our internal accountability.Aspreviouslymentioned,the swipeprojectcanbe usedas a reliable method to identifythe time andidentityof studentleaderswhenattendmeetings,holdofficehours,andassist inspecificprograms.More importantly,the swipe projectwillenable RHA tocollectquantitativedata that can be usedby our Judicial ReviewCommittee,RecognitionCommittee (orNRHH),andHonoraria Committee indecidingthe allocationof honoraria,recognitionawards,andcommitmentof certain membersinthe organization.Throughthisproject,anaccurate internal accountabilitysystemcan motivate ourpeerstoexcel intheirpositionandmaintainahealthyworkflow tothe organization –a valuable resource forthe RHA Vice Presidentandthe subcommitteesof RHA. IV. EnvironmentallyFriendly Swipingintoprogramswill eliminatethe needof paper“sign-insheets”torecordthe attendance of residents.GiventhatRHA,RAs,and Hall Council are significantprogrammingentitiesinthisUniversity, the adaptationof a swipe systemcanreduce the amountof paperwe dispose anddecrease ourcostsin office suppliesinthe longrun.Subsequently,thiswouldtake usastepcloserto a more sustainable and eco-friendlyfuture.

CommunityInvolvement The expansionof the swipe systemintoRHA,RA,Hall Council andresidential programminghasthe potential toincrease communityinvolvementinthe longrun.Integratingthe swipeprojectinto residentialeventscankeeptrackand recordthe activityof each residence hall. SimilartoProjectC.A.R.E – an RHA incentiveprojecttoencourage residentstorespecttheirlivingspace,the swipe projectcanbe an incentive projectthatwill awardresidence hallsbasedonprogramattendance.Thisprojectaimsto promote residential hall spirit,increase residential hall unity,and inspire residentstobe more involved on-campusandattendprograms,dissuadingthemfromattendingalternative programsoff-campus. VI. Quality Learningand Recruitment An increase inattendance of educational,social,anddiversityprogramscancultivate community, friendship,anda“learningbeyondthe classroom”experienceforourresidents.Additionally,the swipe projectmay enable organizationstoidentifyspecific residentsthatare continuouslyactive inthe community.Organizationsmayuse thisinformationtoaidinrecruitinginvolved,motivated,and dedicatedstudents aspartof an increase in quality recruitmentfor future generations. In the longrun, thisprojectnotonlyfocusestoeducate a largerbodyof residentsthroughinter-hall incentives,butalsoaimstoinfluence agreaternumberof residentstobe activelyinvolvedinthe communitytobecome betterstudentleaders. VII. Quality Evaluations Witha systemthatcan track active residents, we canforma listof involvedresidentstosendprogram evaluations,openjobpositions,orhousing-relatedsurveys.Ideally,we expecttosendthese formsto residentswhoshowstrongevidence of communityinvolvement. We expectresidentswhoreceive these surveystohave a higher responserateand to provide betterquality evaluations toourorganization. Subsequently,the surveysandevaluationssentandgatheredwill come fromamore knowledgeable and reliable targetpopulationwithinourcommunity. VIII. ImprovedQuality Programming The swipe systemcanalsofunctiontoidentifyresidentialpatternsinprogramming.We canutilize any trendsinresidentialactivitytopublicize toactive residentsaboutupcomingprogramsor any housing- relatedactivitiesthatpertaintotheirinterests.Forinstance,if ourrecordsshow thata specificresident has attendedtwo“Zombie themed”events,RHA cannotifythose groupsof residentsviaemail about anotherupcoming“Zombie themed”event.Notonlywill the swipesenhance RHA’sprogrampublicity, but itwill alsointhe longrun increase attendance toresidentialevents.Thisprojectcanalsobe adapted to publicize upcomingHall Council,RA,andRHA programs to the entire studentbody thathave shown interest.

The expansionof this innovative systemwill notonly enableRHA andResidential andCommunityLiving (R&CL) togrow as a whole,butalso enhance the qualityof residentiallife forfuture generationsof incomingresidents.Ourorganization firmlybelievesthatimplementingthisprojectwill helptransform our Universityintooursharedvisionof aworldclassfacility. Project Objectives On the fundamental level,the RHA ElectronicSwipesProject eliminates needfor“signinsheets.”The eliminationof non-electronicsigninsheetshelpspromote environmentally friendly,sustainable,and efficient qualitiesthatwouldeffectivelyreduce ourcarbonfootprintinthe longrun. Additionally, RHA andHousingcan utilize the flexibilityof the Swipe Projectto outreach andpublicize programs,events,andavailable positionstoresidentswhoprove tobe highlyinvolvedandcapable aroundcampus. Furtherpossible objectivesof the SwipeProjectare listedbelow:  A centralizedelectronicdatabase that identifiesactiveresidentsandresidence halls.This objective hasthe flexibilitytopromote aninter-hall competitionwhere pointsare awarded points toHallswho have the highestattendance inresidential programs.Thisincentive aimsto increase attendance andinterestineducational,social,anddiversityprograms amongthe residentialpopulation. o Database identifiesthe type of programs(educational,social,diversity) specific residentsare interestedin foreacharea.For example,if Manzanitaisshowntohave a higherattendance ineducationalprograms,we mightwanttoplanfuture educational programsin Farside ORimprove ourpublicityof educational programsinChi-5andSan Catalina. o Identifieswhichresidence hallsare mostactive inattendingRHA programs.A raffle or a special event(Pizza/Ice-creamparty) incollaborationwithHousing,RHA,orProjectCare can be usedtofundthe event.Thisincentiveismeanttoaward andpromote student activityandinvolvementinResLife.  The systemwill give accurate countsof how many residentsandnon-residentsattendthe program.  The systemwill provide addedsecurity,quantitativeevidence,andprotectionagainstnon- residents.
