Volunteer Tasks

Social Media
!
• Post status updates to Facebook at least 3-4 times per week (more when we have an event
coming up)
• Including (but not limited to): reminders of various events, mini bios/profiles of the artists
and/or their works, links to related articles/press releases, links to the website (we’re
always trying to increase website traffic!), updates on what we’ve been working on in the
office, sharing related organizations’ status updates (i.e. Yen’s studio, AACF, etc.), creating
new hashtags, etc.

• Change profile picture accordingly (event flyers, program logo, etc.)
!
• Take pictures during events and post them to Facebook as live updates
• This provides people more incentive to come out to auctions, fundraisers, etc. if they
weren’t planning to already
• Ideally, post something every 30-60 minutes (averaging no less than 4 posts during a
single event-- we want to look popular and exciting!)
!
• To efficiently manage social media, you must...
• Stay on top of our schedule (so you know when/how often to post about an event!)
• Plan ahead (ideally, you are posting about a major event like an auction at LEAST six
weeks before it occurs)
• Make an appearance at as many functions as your schedule allows-- even if it’s only for a
little while-- so that you can take pictures and upload them to our Facebook!
• Time your posts accordingly-- a final reminder to our social media audience about an
upcoming auction, for example, probably won’t be seen by many people if it’s posted at
midnight! (Try to stick to the 9am-9pm time frame)
!
Marketing
!
• Help create, put up, and hand out flyers when we have an event coming up
• Post them at school, around town, coffee shops... wherever you have permission to!
!
• Help us strategize ways to publicize our cause-- including, but not limited to...
• Possible fundraising ideas
• Volunteer outreach
• Cultivating and maintaining partnerships with local businesses (they help us in a number
of ways-- by donating goods or a cut of their profit, providing space for fundraisers/
events, helping us access different parts of the community, etc...)
!
• Conduct marketing research within the community, such as...
• What the community knows about us and our cause
• How they know it
• What they’ve seen from us + what they want to see/know
• The main group(s) we should be trying to target
!
• Continually relay the information you collect from your marketing research back to the rest of
the team
• Report your findings back to the rest of the team (via email or in-person) at least 2x per
semester
• This research helps us improve our social media, narrow the focus of our community
outreach, and so much more...
!
Non-Profit
!
• Research grants (government grants, business grants, etc.) and their relevancy to our cause
• Do we qualify? Which ones should we prioritize?
• Especially focus on grants that enhance the students’ classroom curriculum + bring arts/
cultural experiences to the classroom
!
• Help apply for and write grants
• At least 4-5 per semester? The more we apply for, the better chance we have of getting
money (and therefore cutting down on our costs!)
!
• Going out into the community and obtaining donations (food, art supplies, cash etc.) from
businesses
!
• Working with the marketing and social media teams to better understand what our mission is,
what our main goals are, the type of people we should be reaching out to, etc...
• Collaborating with the entire team will help you out significantly when it comes to
choosing which grants to apply for!
!

!
General Volunteer Tasks + Responsibilities (all team members!)

• Staffing tables in the student center (when scheduled)
• Attending as many events as possible
• Assisting with community outreach
• Miscellaneous office work
• Sales
• Inventory
• Creation of merchandise
• Coming to classroom visits when able
• Attending volunteer meetings (when scheduled)
