Publication Submission Requirements
Amrita School for Sustainable Development (AST)
We request all students and faculty members from the AST to adhere to the following rules
listed below, as you prepare a paper for a peer-reviewed journal, conference, book chapter,
or book for publication. Any paper communicated (i.e. submitted) without following the below-
mentioned rules will be considered as a direct violation of the AST and university-level policies
and will have strict consequences.
*All the information required for the internal review of the paper must be uploaded to
Amrita University’s Publication Tracking Portal by an Amrita faculty member ONLY.
Hence, student author(s) are requested to provide their faculty guide/ faculty co-author
with all the necessary information as outlined below. This holds true for papers
generated from students’ coursework, as the faculty teaching the course has put in a
lot of effort to edit the paper and provide valuable feedback. If for some reason, the
Amrita faculty member is unable to do so, he/ she must send us an email assigning one
of the student co-author’s permission to upload the paper to the PTP on his/her behalf.
1. Upload details onto Amrita University’s Publication Tracking Portal (PTP)
Every article published by Amrita faculty and students needs to be uploaded and tracked,
through the PTP. The article should be indexed in Scopus or PubMed or ABDC to be
counted towards the faculty or student’s annual publication efforts. Only a permanent
faculty member from Amrita Vishwa Vidyapeetham university can be the corresponding author
for the article.
Before entering the details it is essential to review the “Amrita Publication Tracking Portal –
User guide for faculty” https://ptp.amrita.edu/staff.pdf which details the requirements to be
gathered prior to the submission including the plagiarism report, ISSN number, SJR quartile
(Refer: https://ptp.amrita.edu/SJR%20Guidelines.pdf), SJR impact factor, Scopus percentile,
Scopus cite score, author details, and most importantly the paper highlighted with six Amrita
University faculty references*. Also it is mandatory to upload the Plagiarism Declaration form
(format available in PTP) signed by the Amrita faculty, who in turn is the corresponding
author of the article.
Even in cases where the corresponding author is from another university, a corresponding
author who is an Amrita faculty must be identified and he/ she is required to enter the details
of the paper in the PTP, by denoting who are the external co-authors, so that it gets tracked
and counted towards their efforts.
*Amrita Vishwa Vidyapeetham is holding an enviable position of being the No.1 Private
University in India and is fast gaining ground in international THE and QS rankings as well.
Faculty and students across our campuses are involved in cutting-edge research in various
domains. It is our responsibility to extend and expand upon their work. As such, you are
required to read and reference such work. Be sure to cite at least six Scopus indexed or
ABDC ranked papers published by Amrita University faculty, scholars, and/or students (Total
= 6, of which 3 self-citations allowed + 3 other faculty from Amrita University). Highlight these
six references, in the full paper text and in the references at the end before uploading. Also,
enter these references (Amrita citations) in the PTP under the “References – From Manuscript”
section in a serial order.

Make sure it is the same name you use on all your publications. Be especially careful with
initials and your middle name.
Under special extenuating circumstances, when the corresponding author who is an Amrita
faculty, is unavailable, a research associate/ scholar may request PTP upload privileges from
the Dean of AST in writing, before sending the manuscript to any journals/ conference/ book
chapter publishers.
3. Acknowledgment:
At the end of the paper, you will be asked to acknowledge your thanks to the agency/ school
that funded your research. If it is an E4Life student (s) work, list the acknowledgment as:
"This project has been funded by the E4LIFE International Ph.D. Fellowship
Program offered by Amrita Vishwa Vidyapeetham. We extend our gratitude to
the Amrita Live-in-Labs® academic program for providing all the support".
Additionally, if you have received funding from another agency, be sure to acknowledge them
as well, with the grant or fellowship number. E.g. This material is based upon work
supported by the Department of Science and Technology, Government of India, under
Grant No. (DST grant number).
4. Approval from AST Research Coordinator & AST Research Head
After uploading the details in the PTP, the corresponding faculty author/1st author is requested
to send an email to the AST Research AST Research coordinator and Research head. The
review and approval of the submission documents will be done through the PTP only and not
by email as it was earlier. Papers not satisfying the requirements (e.g. Scopus indexed or with
six Amrita references or correct acknowledgments) will be rejected with reasons provided, and
time for uploading again. Since the review requires time, authors are requested to upload the
documents ten working days in advance of their deadline.
5. Publication Status Update (University Level)
The corresponding author is responsible for updating the status of the paper (Accepted/ Under
Review / Rejected) in the PTP as outlined in the Amrita Publication Tracking Portal – User
guide for faculty (https://ptp.amrita.edu/staff.pdf), to the research head and coordinator of the
school and copying to the AST Research Office @ astresearch@am.amrita.edu copying.

6. Conditions for Reimbursement
Reimbursement can be claimed only to cover a Scopus indexed conference registration fee,
Scopus indexed conference paper, or a Q1/ Q2 Scopus indexed journal paper processing fee.
The 1st author of the published paper should be from the Amrita School for Sustainable
Development (AST) to claim a reimbursement. Students can claim the reimbursement only
through their corresponding author, which in turn should be an Amrita faculty. See below the
conditions that apply:
● Journal paper
○ The published journal paper should be Scopus Indexed and within the Q1 or
Q2 quartile/ indexed in MEDLINE/ PubMed/ ABDC ranked Journal Article
● Conference Paper
○ The published conference paper should be indexed by Scopus / MEDLINE/
PubMed/ ABDBC ranked
● Book chapter/ Book
○ An expert panel will evaluate the quality of the book chapter and publisher
credentials and make the decision.
The corresponding author must provide an estimate of the financial support required from the
AST (in INR) under the “Targeted Avenue of Publication'' section of the PTP. The AST
Research Head will evaluate this request and either approve/ reject it and provide comments
for the same. Please note that if such a budget estimate is not provided and approved, no
amount will be refunded after the paper is published.
Once the paper is published, the author should send a request email to the research
coordinator and research head of the school , with proof of publication which includes.

Conference reimbursement for Student: If the student is the first author, he/ she can receive
a conference attendance reimbursement of up to INR 35,000 which includes the registration
fee and publishing fee.
Conference reimbursement for Faculty: If the faculty is the first author, he/ she can receive a
conference attendance reimbursement of up to INR 80,000 which includes the registration fee,
travel allowance, accommodation and publishing fee.
An amount over Rs.10,000 may be sanctioned if the journal paper/ conference paper is
published in a Q1 or A* journal and the first author is from AST. Hence a brief
description with supporting evidence may be provided additionally. Once approved by
the Dean - AST, the signed request will be moved to the Accounts department for
reimbursement to the author.

7. Funding for Gold Open-Access Journal Paper
An Amrita University-wide policy is being written to enable scholars to apply for funding to
publish in top-ranked, high-impact factor journals through gold open-access. The advantages
of this include making the article freely available to everyone immediately which gives it a high
level of visibility, which in turn can have a positive impact on the communities and increase
the number of downloads and citations. Please check with the AST Research Coordinator/
Research Head for updates on this policy if you have such a request to make.
8. Live-in-Labs® Articles Reimbursement

It is not mandatory that articles coming through Live-in-Labs® should have the 1st
author from
the AST. The publication documents can be uploaded in the Amrita PTP by Live-in-Labs®
staff/ faculty.
