3. 1 Introduction
1.1 Background and Purpose
We have got a number of new joiners in our project. The requirement was to manage all their
information, to introduce him to our project , to share project related introductory information with
him/her, to automatically track the birthdays and anniversaries each day and send emails to wish them.
This tool has been made to fulfil the above requirements conveniently and its very user friendly too with
a User Interface.
The chief features of this tool are as follows:
1. As normal user, user can fill his mandatory information and also can upload his pic.
This information will be saved in the database.
2. The database can handle many users.
3. As admin, user can see the information of all the users by searching through is enterprise id .
He can assign the admin rights to other users , if required. He will maintain the information
about his hard lock , seat allocation , system admin rights , shared folder access , technology
enablement , employee onboard status.
4. As admin, he can introduce the new joiner to the whole team through mail.
5. As admin , he can send the mail to the new joiner containing all the basic information about the
project along with necessary documents attached to it.
6. In case , the user forgets the password, the mail will be automatically sent to the admin for
intimation.
7. Last but not the least. This tool has another feature that every day it automatically tracks the
database to find the guys who have birthday , work anniversary , wedding anniversary and as a
result , it automatically sends the mail to wish them.
4. 2 How to use this tool
1. When you open the sheet , you will find the homescreen , asking you to log in. Click on it
2. Then the following screen will be opened up
3. If you are a new user, then click on the NEW USER button . The following screen will be opened
up
5. Here , you need to mention your enterprise id and password to create a new account.
After the successful registration , you will be asked to login again with your enterprise id and
password.
4. If you are an admin then you will be asked to login as a normal user or as a admin.
If you login as the normal user then go to step 2.2 but if you login as the admin then follow the
step 2.1
6. 2.1 Steps to be followed by admin
1. Successful login will open up the following sheet
2. User will put the enterprise id of the new joiner whom he wants to search and then click on
search employee.
3. Admin will be able to see the details of this employee and he can make the further changes if
required.

8. 5. Now clicking on the project details button , will enable you to go the new screen
6. Now click on the get button and all the fields will be automatically populated as below.

about the project specific details.
8. Clicking on the back button, will take u back to the previous screen. You can click on the reset
button incase u need to search for another employee.
10. 2.2 Steps to be followed by the normal user
1. Here user can fill up his details, upload his pic. He must save the data by clicking on the SAVE
button.
2. Clicking on the reset button will reset al fields to blank. To get back the data from the database,
you can click on the GET MY DETAILS button.
Note: Apart from these functionalities, I have added one more
function. Based on the above information, an automatic job will be
triggered at 10:00 AM and an automatic mail will be sent to the whole
team, wishing the guys who have birthdays, wedding anniversaries,
work anniversaries. Now, there is no need of admin to take care of all
these stuff.
11. 3. Future expectations
1. In next version, we will be enabling deleting user functionality.
2. Admin can search multiple user at a time
3. Tracking of all the mails will be there.
4. Database will be concrete and more secured.(This time excel sheet is used as the database)
5. Multiple users can access the tool at the same time.
