On the agenda today, we’re going to cover several aspects of electronic document management in Human resources. Everything from managing workforce records and forms, to policies and procedures, we’ll touch on security and reporting, and more. In just a moment, I am going to introduce my partner in the webinar today, Dave Howell. Dave is going to give us a demo. Also – we’ll end today with a Q&A.
But first, I want make a real quick introduction of us. ColumbiaSoft has been around since 1998, and we are document management software company. In fact, document management is the only thing we do… it’s our specialty, and our expertise. Our chief goal is to help companies improve and automate their document based business processes.
In the Human Resources department, there are several ways document management can help. Of course, managing employee files is one, and document management does make it easier to full text search, file, and retrieve everything from applications and resumes, to performance reviews. Using document management, you can also have review and approval procedures for things like time off-requests or status changes be fully automated. You can manage the lifecycle of polices and procedures – from editing and review, to publication to the workforce. You can track certifications and licenses with records policies that send alerts on these files before they expire. During the new hire process, you can automate the entire folder structure creation process so that – right from the start – everything is organized. Reports in the system provide complete visibility, and everything is kept secure with strict user authentication and audit logs. Even email records can be managed win the system.
