Virtual Phone Bank•Virtual Phone Banks allow users to make phone callsto voters or volunteers without having to print outpaper lists and having do to Data Entry.•This program allows you to make phone calls fromanywhere you have a phone line and internetconnection.•Virtual Phone Banks can be shared with multipleVotebuilder users and can be accessed by multipleusers at the same time.•User profiles can be created that allow the user toonly access a Virtual Phone Bank. These are great forproviding to Phone Banking Volunteers who don’tneed access to other permissions in Votebuilder. 2
    • 3. Logging Into the SystemDo you have a username? If not, contact your admin to setup your account.If you do, type in your username and password at the login screen. 3
    • 4. Creating a UserTo create a new user select the “Users” tab on the left bottom section of theVotebuilder main menu and then select “Users” once again in the drop down.It’s only necessary to create new users for people who do not have access toyour committee, adding users to a VPB does not require creating a new user. 4
    • 5. Creating a User Step 1Click the Add New User button in the top right corner of the next menu you see.On the next menu fill out the required information. Typical usernames are the first letter of thefirst name and then the full last name. Set your users expiration date for the end of the electioncycle. You can reactivate as needed.Be sure to select NCDP Party 1-VPBon “My Voter Profile” 5
    • 6. Creating a User Step 2On the next step you will select the voters you want assigned to this usersaccounts. Simply select county and check the county you want to give themaccess to. 6
    • 7. Creating a User Step 3In the final step simply put your users e-mail address in and the system willsend an automated email to them so that they can set a password. This e-mail has a 48-hour limitation so be sure the user follows the contained linkwithin that time limit. 7
    • 8. Creating a Virtual Phone Bank•In order to create aVirtual Phone Bank, youmust first make a list ofpeople who you arewanting to call.•Click on “Create a NewList” and then choosethe options you wish touse when creating yournew list.•Make sure you choose“Confirmed PhonesOnly” when creatingyour list. Otherwise, youwill have people appearin the Virtual Phone bankwho we do not havephone numbers onrecord. 8
    • 9. Pulling your 2012 TargetsTo pull the list of 2012 targets in your area for virtual phone banking lookunder the Targets section by clicking the Targets drop down menuUnder the Targets menu select 2012 NCDP: Dem Women 9
    • 10. 2012 Targets NarrowingUnder the Locations drop down select your countyOnce your county is selected a precinct drop down menu will be visible. It’s agood idea to break your lists down into smaller precinct clusters of two orthree precincts at a time. Click the word “Precinct” to select multipleprecincts. 10
    • 11. Checklist for Creating a ListHave you selected “Confirmed Phones Only”?Have you selected the 2012: NCDP Targets?Have you selected your desired county and/or precincts?If you have done all of these things click “Search” 11
    • 12. •After you have runyour list, you willwant to choose“Calls” that appearsin the white actionbar at the top of thepage.•Once you click on“Calls,” choose thebutton “Set upVirtual Phone BankList” and click“Next.” 12
    • 13. •The next page has you choosethe items you need to appear inyour Virtual Phone Bank•Name- This is the name of thevirtual phone bank and will Set the dates to dates thatappear anytime you are openingthe VPB. work for you. These are•Description- Be as descriptive as for example only.possible as to who you are callingand why you are calling them.•Script- Be sure to choose the2012 NCDP: County Party Script•Upper Display- Which of theseoptions would you like to appearnear the persons name whomyou are calling.•Lower Display- What additionalinformation would you like to beavailable to your Volunteer whenthey are making calls.•Start & End Date- What day doyou want this virtual phone bankto start, and when should itexpire•Daily Availability- Start yourcalls at 9am and end them at9pm.•Progress Bar, Householding-Additional information that canbe shown such as what Does this match your page?percentage of your VPB you havefinished and whether to displaythe names of people that live inthe household.•Status- If you want to inactivate 13this VPB, click the inactive button.
    • 14. •Once you click next, you will pull up ascreen that looks like the one you justcame from except for two importantparts:•VPB Code- Under the Name of yourVirtual Phone Bank, you will see “VPBCode and some letters and numbers.This code can be shared with anyonewho uses Votebuilder and allows themto access this Virtual Phone Bank.•User Access- At the bottom of thepage, the “User Access” allows you toshare other users in your committee toaccess this Virtual Phone Bank. Whenyou share someone, they wont have toenter the VPB Code, but instead canchoose this VPB when they log in. Findthe name of the person who you wouldlike to share under “Users WithoutAccess,” click on their name, and thenclick “Add.” You should then see theirname appear under in the left handcolumn under “Users with Access.”•IMPORTANT! Even though you createdthe Virtual Phone Bank, you must shareyourself if you are planning onaccessing it.•Once you are finished, click “Save” 14
    • 15. This page shows you thestats of your Virtual PhoneBank. It lets you see yourcompletion percentageand total number ofattempts.1. You can access this pageanytime you like from theMain Menu by clicking on“Phone Services” and then“Virtual Phone Bank”2. To access the VirtualPhone Bank to makephone calls, click on“Virtual Phone Bank” inthe bottom right handcorner of the Main Menu. 15
    • 16. If you were sharedwith access to aparticular VirtualPhone Bank, that VPBwill appear as anoption for you tochoose.If you have not beenshared with aparticular VPB, youwill need to enter theVPB Code that wediscussed earlier. 16
    • 17. •Once in the Virtual PhoneBank, you will be shown thename and phone number of thevoter you are asked to call.•If you were unable to talk tothe person, you will mark thereason why (in this caseDisconnected, LeftMessage, NotHome, Refused, Spanish, andWrong Number).•If the voter is home, read thescript, ask the questions, andrecord their responses.•Once you have marked theappropriate responses, click onthe “Save/Next” button in thetop right corner. This will pullup a new voter with theirinformation.•Once you have finished, youcan log out of Votebuilder andyou are finished. All responsesare automatically recorded inVotebuilder and no Data Entry 17is necessary.
