INTERNSHIP/VOLUNTEER AGREEMENT

Welcome to HAQ: Centre for Child Rights!
This agreement will confirm our mutual understanding regarding your
internship/volunteering.
During your time with HAQ, you will be given projects and assignments by, and will report
back to, your supervisor and others he or she may designate. HAQ will take reasonable steps
to ensure that your assignments will be accurately described to you and that they are
appropriate for an intern/volunteer.
Other Terms and Conditions for Internship/Volunteering at HAQ are as follows:
General Clauses:
1) This internship/volunteer arrangement does not constitute an employment
agreement. You understand that you are not entitled to a job at the completion of
your internship/volunteer assignment.
2) It is mandatory for student/interns/volunteers to carry a letter from your
university/institute stating that you are interning/volunteering with HAQ, along with
the terms and conditions of your internship/volunteer programme, as specified by
your university/institute.
3) Volunteers other than those referred by a University/Institute must submit a detailed
note expressing their interest in volunteering with HAQ and reasons therefor.
Period: Your period of internship/volunteering at HAQ will be from __/__/20 to
__/__/20 .
Timings: You will work from Monday to Friday, from 9:30 am to 6:00 pm. Occasions
may arise where you would have to commit time over a weekend(s) as well.
2. Place of work: You will work from the HAQ office and use office facilities like office
space, computers and other office automation equipment for official work only. You are
welcome to bring in your own laptop to the office as well. However, you could also be
required to work in the field, which could be a slum or any other community location/a
police station/Child Welfare Committee/Juvenile Justice Board/Court etc.
Remuneration: HAQ does not have an internship/volunteer allowance policy. However,
all official costs incurred by you in the course of internship/volunteer assignment,
including travel for official purposes will be reimbursed on actuals (against
bills/vouchers). In exceptional cases, HAQ may consider payment of a daily allowance or
provision of lunch as the case may be, depending on HAQ’s understanding with the
volunteer/University/Institute through which an intern/volunteer comes to HAQ.
Permission from either of the Co-Directors of HAQ is necessary for making any such
claim.
Every intern/volunteer is required to specify whether they agree to bear any/all other
expenses while interning/volunteering at HAQ. If not, you shall further disclose if you
are receiving any remuneration/allowance for internship/volunteering and the source for
the same.
Attendance and Leave: An attendance register must be signed daily by every
intern/volunteer and an attendance of 90% of the duration of the pre-determined
internship/volunteering period is mandatory. Anyone failing to comply with this will not
receive a Certificate of Internship/Volunteering from HAQ. As far as possible, leave
should be availed with prior approval. Unforeseen circumstances, such as medical issues,
can be discussed with the supervisor.
Accommodation: You will arrange for your own accommodation. HAQ is not
responsible to arrange or to pay for your accommodation for the entire period of the
internship/volunteering at HAQ. If you are currently out of Delhi, you are personally
responsible for arranging travel and/or obtaining necessary visas to and from your
current location to Delhi.
Travel: As an intern/volunteer, you may be required to travel frequently within Delhi or
out of Delhi, not necessarily accompanied by HAQ staff.
Conflict of Interest: To respect the independence of HAQ, you shall not seek or accept
instructions regarding your internship/volunteer arrangement from any sources other
than HAQ and your University/Institute. You further certify that you have disclosed, and
will disclose, any current, past or projected affiliations and/or employment relationships
which could put you in conflict with the goals and stated mission of the organisation. You
shall further disclose if you are receiving any remuneration/allowance for
internship/volunteering and the source for the same.
General Code of Conduct: You agree to refrain from any conduct that would adversely
reflect on HAQ and will not engage in any activities which are incompatible with the aims
3. and objectives of this organisation. HAQ expects every intern/volunteer/staff
member/consultant to rise above sectarian, caste & religious prejudices and be non-
discriminatory in attitude, relationship and professional practices. HAQ also expects
every intern/volunteer/staff member/consultant to understand the policies of the
organisation and give weightage to the social problems against which the organisation
struggles for realisation of human rights. Personal behavior and life style of the
intern/volunteer/staff must reflect human rights values. HAQ takes strong exception to
its interns/volunteers/staff leading opulent life styles and taking dowry, perpetuating
domestic violence, sexual harassment, child abuse etc.
Release of Claims: You agree that you are releasing HAQ, and its directors,
coordinators, officers, and all other employees from any and all liabilities, claims,
demands, actions, and cause of action whatsoever arising out of or relating to, any loss,
damage, or injury that may be sustained during the course of your
internship/volunteering activities with HAQ. HAQ will also not be responsible for your
involvement in any personal litigation, social interactions as an individual, during both
working hours and non-working hours.
Confidential Information: You agree that you will protect sensitive information during
and after the course of your internship/volunteer assisgnment at HAQ. To the extent you
have access to any internal documents or are privy to any internal discussions, such
information shall remain confidential and for internal use only both during and after your
internship/volunteering at HAQ. You are not to remove HAQ information from HAQ
premises without the organisation’s consent, and all sensitive internal information is to be
handled with discretion. Both during and after the period of your
internship/volunteering, you are required to maintain the confidentiality of the
information contained in HAQ files, records, working documents and any other materials
and are not to divulge any HAQ information to outside sources without prior
authorization.
Work Product: Any documents, notes, interview transcripts, recordings, photographs,
drafts or other materials compiled while interning at HAQ remain the property of HAQ
and the originals of such materials must be left in the custody of the organization. Should
you wish to use these materials for purposes outside of your internship at the
organisation, you must have the prior written consent of HAQ. Any articles, seminar
papers, or public speaking must be approved in advance of publication or delivery by
HAQ, and you may not speak on behalf of HAQ or identify yourself as part of HAQ
without explicit prior written authorization from the organization.
End of Internship/Volunteering: Upon completion of your Internship/Volunteering,
- You will return to HAQ all property belonging to HAQ, including but not limited to
computers, passwords and codes; CDs, and other information such as internal
documents, contact lists, correspondence, notes, and other materials in your
possession or control, whether written, electronic or audio and of a public, non-
public or confidential nature.
- Any identification with the organization ceases on the expiry of your
internship/volunteer term.
4. - You will receive a Certificate of Internship/Volunteer verifying your period of
internship/volunteering at HAQ (if all terms and conditions are complied with
during the course of your internship/volunteering).
- Certificate of Internship/Volunteering may be withheld due to long absence without
prior permission or if the intern/volunteer leaves the programme abruptly without
prior information and as agreed upon.
- Please note that HAQ reserves the right to revise or terminate your
internship/volunteer arrangement at any time, on account of any act of misconduct
committed by you or your incapacity, after communicating the same to you/ your
University/Institute.

I understand that my internship/volunteer services at HAQ will be governed by, but not
limited to, this internship/volunteer agreement, and I understand and accept the above
terms and conditions. I understand that HAQ may terminate my internship/volunteer
agreement on account of any act of misconduct committed by me, my incapacity, or HAQ’s
operational requirements. I also understand that these policies and procedures are
continually evaluated and may be amended, modified or terminated at any time with or
without notice.
