SALIENT FEATURES OF PUNCTILIOUS
Punctilious is a highly configurable web based HR solution developed using .NET
and SQL 2008 technologies.
1. Talent Acquisition Module:
a. Manpower Budgeting Module:
Manpower Budgeting is one time exercise carried out at a macro level in
the beginning of the year to assess the manpower requirement for the
entire year based on business projections in terms of numbers and cost.
This module facilitates the above process meticulously.
b. Recruitment Module:
Recruitment module facilitates the indenters to raise Manpower
Requisitions ( MR ) from the approved manpower budgets as and when
they need people for their projects.
MR is an exhaustive document which helps the recruiter understands
the precise requirements of the indenter to carry out with the search.
Once the MR is approved by the authorized person it becomes an
actionable item for the recruitment team.
Recruitment Module tracks all the approved MRs received till they are
closed in a very transparent manner keeping all the stake holders in the
loop. It allows the recruitment team to release the offers to the selected
candidates as per the agreed terms and conditions.
Recruitment Module provides different types of reports like Aging
Report, SLA Report, New Joinees Report, Declined Report etc to give
absolute insight.
2. On Boarding Module:
On Boarding Module allows converting a candidate as an employee after
completing the joining formalities and allots an Employee Identification
Number on first come first serve basis.
It also allows HR to attach different HR norms and policies to each
employee on date of joining and change from time to time with individual
trackers.
3. Interactive web based Attendance Module:
This module collects the swipe IN and OUT data from the attendance
readers located in different locations and post it a structured template
subject to applying minimum login hours norms, late coming, swipe
regularizations, leave and grace time limits.
4. Late Coming Rules:
This module is highly capable of configuring complex late coming and grace
time norms in line with organization policies.
5. Interactive web based Leave Module:
Leave Module facilitates;
a. To create different types of leaves based on the entitlement, accrual
process, availing norms, compulsory encashment, voluntary
encashment, carry forward option, clubbing norm with other leaves etc.
b. To create multiple leave baskets with different combinations of leaves.
c. To attach applicable leave baskets to the employees from time to time.
d. Employees to view their leave entitlements, utilizations and balances on
line.
e. Employees to apply leave / on duty / on site/ swipe regularization /
encashement etc.
f. Managers to recommend / sanction / reject the applications based on
their authority levels.
6. Extra Hours Effort Credit Module:
This module enables the employees to apply for extra hours effort credit to
their respective department head and also allows the Department Heads to
credit the extra hours of effort put by the employees over and above their
shift timings or on weekly offs / N&F holidays.
Thus credited extras hours of effort can be availed by the employees as
Comp Offs or can be paid as Over Time payment as per the company
policies.
7. Swipe Regularization Module:
This module facilitates to apply for regularization of late swipe, early swipe
and single swipe to avoid full day or half a day absent.
8. Weekly off and Holiday Calendar Module:
These modules allow defining the Weekly Off types and Holiday Calendars
in line with the company policy to allow weekly offs and National and
Festival Holidays.
For Example:
All Sundays, Second and Fourth Saturdays of a calendar month can be
defined as one Weekly Off type and attach the same to the employees who
are eligible for. Accordingly in the attendance register all Sundays, second
Saturdays and Fourth Saturday are posted as weekly off days.
Similarly organization operating in different states can define different
National and Festival Holidays calendars and attaché to the employees
from time to time.
9. Loans Module:
Loans Module allows the company to book different types of loans
disbursed, recovers the loans in installments, track the recovery, adjust the
recovery path and reconcile different loan statements.
10.Employee Self Service (ESS):
This module empowers the employees to access information regarding
their benefits, entitlements, applicable HR policies and norms. ESS also
enables the employees to initiate certain transactions required as part of
their employment without going to HR Department frequently.
11.Income Tax Module:
Income Tax module computes the Income tax liability based on taxable
income and savings /investments / allowed expenditures declared by the
employees along with proof subject to tax rules.
This module automatically collects the taxable income from the
compensation module and allows the employees to post their savings/
investment/expenditure allowed under tax rules.
The biggest advantage of this module is that it would provide absolute
transparency between TDS authority and the employees.
12.Payroll Processor:
Payroll Processor is an implement which processes the input data based on
the validations configured from time to time and gives an output on
earnings, deductions and net pay for each employee.
Payroll Processor collects required input from attendance module including
weekly offs and N&F Holidays, swipe regularization module and leave
module, loan module, Income Tax module, deductions module (with in
Payroll Processor) and compensation module to process the monthly
payroll. Payroll Processor also generates different types of statutory reports
for PF, ESI, PT, IT. In addition Payroll Processor also generates certain MIS
reports required for management.
13. Full and Final Settlement Module:
Full and Final Settlement Module is for reconciling the payments and
recoveries at the time of separation of an employee on a given date. This
module also collects lot of information required for doing the final
settlement within the system and also has a provision to enter stand alone
data where system is not designed to compute or glean internally.
14. Performance Appraisal Module:
a. Setting Assessment Period: This provision allows setting the assessment
period for each employee.
b. Setting Goals: A battery of generic Goals is set for the organization like
Org Development Goals, Financial Goals, Process Development Goals,
Production Goals, Project Goals and Self Development Goals etc.
c. Creating Goal Types: A set of Goal Types are to be created with a
combination of generic Goals based on the Goal Type to be attached to
a particular level.
d. Setting Individual Goals: Once a Goal Type is attached to an employee
with certain generic Goals the manager concern shall fix the individual
goal/s under each generic goal with respective target dates and submit
the same.
e. Self Assessment: Each employee at the end of the assessment period
shall make a self assessment on the progress of each individual goal and
rate him/her self and forward to the immediate reporting manager.
f. One on One Discussion: After one on one discussion the immediate
reporting manager shall rate the employee and forward the same to his
reporting manager.
g. Final assessment: After assessment by reporting officer/s concerned the
final reporting manager shall forward the assessment to head of the
decision making authority. The decision maker shall take a decision and
push the assessment to the Impact Report.
h. Impact Report: Impact Report allows the decision making authority to
carry out the normalization process within minutes in terms of ratings
percentages, promotions percentages and financial out flow as per the
norm declared by the organization for that assessment period.
i. Letter Generation Module: Once the normalization process is
completed as per the organization norms and final approvals the review
letters are generated. Thus generated review letters can be printed or
flashed to the employees based on the comfort level of the
organization.
j. Data base up gradation: Once the letters are generated the changes as
regards performance rating, designation & level, title and compensation
details are posted in the individual trackers with respective dates for
future use.
15. Rewards and Recognition Module:
This module empowers certain authorized manager to recognize exemplary
contributions and performances of the employees and recommend /
approve awards as per the Rewards and Recognition policy of the
organization.
16. Learning & Development Module (L&D):
L& D module support s;
a. Creating battery of technical and behavioral training programs.
b. Nomination of employees for technical / behavior training programs by
the managers.
c. Servicing the training request by the L&D function and reconciliation of
training requests raised and served.
d. Consolidation of training needs from the performance appraisal process
for servicing the training needs.
e. Related reports to get the insight of the L&D function.
17. Expressions Module:
This module empowers the employees to express their opinion / suggestion
/ feelings / grievances to the authorities concerned in a very structured
manner for their immediate attention / redressal. This module also has a
feature to respond back the employees concern and also escalate to
higher-ups if required.
18. Reports Module:
Reports Module supports various standard and dynamic reports with a very
powerful search engine.
19. Absenteeism Module:
The basic objective of this module is to identify and stop payroll processing
for the employees who exit from the system without complying the set
practice of submitting the resignation, serving the notice period and getting
relived in proper manner.
20. Transfer Module:
Employee cost is one of the most important ingredients of the costing
exercise and employee strength is one of the factors to arrive at employee
cost. Transfer module supports all internal transfer to provide the
employee strength online at any time.
21. Security checks and logs.
Punctilious complies with all the requirements related to IT security and log
norms to ensure the safety and confidentiality of the transactions.
Our scope of work and costing;
Our scope includes uploading required employee data, configuring different
HR norms, policies and validations in respective modules in according to
the client policies, guidelines, customs and traditions.
Reasonable amount of customization is included in our scope but any
requirements going beyond the limits of the Punctilious requires separate
discussion to arrive at enhancement costs.
Required software, hardware and networking to operate and run
Punctilious are out of our scope.
Go-live in two months from the date of providing functional input required
in the formats provided by us.
After go-live support is free for 6 months which include focus group
training.
The cost of Punctilious can be discussed based on the modules once it is
agreed conceptually to implement.
