RWC Trophy Tour Schedule
JULY 14TH
Niall and Lucy – Print off and put out signage in A-frames and lockable signs ready for touch
rugby tournament and Rugby Business Network Breakfast in the morning. To assist in
placement of trailer for the day and ensure collateral is down there. Put out marketing flags for
promotional/directional purposes leading to trailer/entrance. Continue to schedule slots as
attendees confirm.
JULY 15TH
8am – 10am: Rugby Business Network Breakfast taking place.
9am – 10am: Touch rugby teams arriving. They are to park at the Sports Academy and signs will
take them to their relevant areas.
9am - 1pm: Niall Halford to be based down Sports Academy throughout the day to provide
social media updates.
10am onwards: Touch rugby tournament begins.
10.30am – 11.30am: James Horrell and Lucy Woolstenhulme to change over signs in lockable
signs for RWC Trophy Tour and also to put out A-frame at the top of the hill directing people to
walk down towards the Sports Academy once they have parked. Another A-frame will need to
be put out at the bottom of the hill near the junction to direct people straight ahead for the
Trophy Tour.
12pm – 12.30pm: Niall Halford to put out signs around spectator grandstand of Sports
Academy to show people where to go for the queue.
1.20pm: All to report down to Sports Academy (JH, ES, EG, AH, LW, SDB, SB) ready to get into
position.
1.30pm – 3.30pm: Kev Pugh to direct people to park in the main car park at ‘fork in the road’
and tell them to walk down towards the Sports Academy.
1.40pm – 2pm: Sarah Don-Bramah to meet and greet governors, England Rugby reps, Phil
Vickery and Russell Marchant outside of Sports Academy and take them to SAC 5/6, where the
trophy is being set up. Also, to introduce Russell to Phil Vickery.
1.45pm: Niall Halford to meet Hartpury Primary School, who are being dropped off at Sports
Academy. Niall to take them to queuing point.
1.45pm – 2.10pm: James Horrell to be in SAC 5/6 to take photo of Russell Marchant, Phil
Vickery and potentially school children from Hartpury for PR purposes. Also, to take photos of
Governors with the trophy.
1.45pm – 4pm: Lucy Woolstenhulme and Amy Heron to be based outside marketing trailer
offering schools and pupils any collateral (open day bookmarks) that they may be interested in.
Also to direct onto next station of queuing.
1.45pm – 4pm: Emma Smith to be stationed next to the stand for the main rugby pitch co-
ordinating queuing and checklist.
1.45pm – 4pm: Samantha Baker to work with Emma Smith and take people to SAC 5/6 via
outside walkway to get their picture taken.
1.45pm – 4pm: Ed Gibbs to focus on social media throughout these hours. Also to act as
roaming support in case any additional areas need to be covered.
2pm – 2.30pm: Niall Halford to greet schools that are attending and point them in the right
direction.
2pm – 4pm: Sarah Don-Bramah to be based inside SAC 5/6 to ensure people stick to allotted
time. Once they are done, Sarah to usher them out (rush them along if needs be!) and invite
them to stay and enjoy the clubhouse/rugby, etc. and/or direct them out. They will then go
back down the stairs (exit signed) and out through the clubhouse so they don’t cross over with
the people queuing.
2.30pm – 4pm: Niall Halford and James Horrell to be based at foot of the hill as first greeting
point for applicants who have come for the Trophy Tour. To direct towards marketing trailer.
3.45pm – 4pm: Opportunity for Hartpury staff to get picture taken with the trophy.

RWC Trophy Tour Schedule

  • 1. RWC Trophy Tour Schedule JULY 14TH Niall and Lucy – Print off and put out signage in A-frames and lockable signs ready for touch rugby tournament and Rugby Business Network Breakfast in the morning.
