Introduction: sammysoap’s Crisis Communications Plan
Mission Statement
We've worked hard to perfect soap making and consider our handmade soap to be the
best anywhere. We make generous 4.5 ounce bars. Our all natural skincare products do
not include synthetic ingredients. We work hard to substantiate fair trade supply chains,
use sustainable packaging, and reinvent, reuse, and recycle whenever we can. Our 100%
all natural soap bars and products for bath, home and pet are whole system nutrition −
vegan, fragrance free, and formulated without fillers, preservatives, fragrance, dyes, or
other synthetic ingredients.
sammysoap is a job creation machine for adults with intellectual disabilities disguised as
the world's best soap company.We are not a not-for-profit, on purpose. We manage to
the strengths of our employees to make the best soap around. We exist in support of
human health, a clean planet, and disability wage equality.
Why is this plan important?
A crisis event could be detrimental to a small business without a proper
communications plan in place. It is necessary to understand how to handle potential
situations as well as know how to communicate during that time. Being prepared will
allow for timely action and the ability to be transparent to the dedicated community
sammpysoap receives support from.
What could happen if the plan is not followed?
If the communications plan is not executed at the time of a crisis the safety and well
being of the community would be jeopardy. These situations must be handled properly
or it could be detrimental to business. Negative consequences could result in a decline in
reputation, sales, clients and possibly the business altogether.
Has a crisis happened at sammysoap before?
Since sammysoap is such a young company, it is reasonable that no crises have occurred
for the soap shop yet. However, it is not unreasonable to believe that they could happen
in the future.

Has a crisis happened to a similar organization?
Many small businesses, especially in the natural body care industry, could run into
similar crises. Producing soap in house requires specialized melting machines that could
have issues if not ran properly or due to malfunctioning parts. There have been many
cases on record of larger soap companies, like Lush, that have cause customers to have
allergic reactions to products. Even though Lush isn’t using all natural ingredients, it is
possible for a company that is to run into similar circumstances. Some of the ingredients
used at sammysoap could be irritants, but this information and safety tips are disclosed
on its website. Also being a business that operates to help a special cause can be tricky.
If misconduct of any kind occurs that could taint the reputation of how an organization
works with a certain cause or group of people, say the adults with intellectual disabilities
sammysoap, the company would certainly lose support.

Statement from Management to Employees
Small businesses are not immune to crisis situations. Being a soap shop and factory,
sammysoap could potentially be affected by technical or human errors that could create
turmoil. Also, being run by a small upper management could be a problem if a
disturbance changed any roles.
We at sammysoap are not a not-for profit on purpose. By providing management
catered to the strengths of our employees we aim to make the best soap around. We
exist in support of your health, a clean planet, and disability wage equality. Our pride is
in being a job creation machine for adults with intellectual disorders as well as being
100% natural. Our products do not harm the planet. They are cruelty free, and
waterway, food area, child, and pet friendly. Our artisanal products and small batch
soaps are handmade in St. Louis, Missouri, and besides all that, each bar of sammysoap
is packed with purpose!
The aim of this communications plan is to prepare everyone involved at sammysoap to
be prepared for a crisis event. The safety and satisfaction of both our employees and
community is essential to our business. We have faith that our employees would take
pride in what we do and help us protect the company.
Purpose
The main concern of sammysoap during a time of crisis, is the safety of employees,
customers and community. If a situation were to occur, action should take place
immediately. By having a set plan it allows the company to remain transparent and
effectively communicate to the public. This will hopefully ensure a smooth resolution
and allow the shop to keep its positive reputation within the area.
Objectives
1. We will put every effort into making the safety of our employees, customers and
community the highest priority during a crisis situation.
2. Initiate the communications plans within a set time depending upon the crisis:
a. Technical-Error Accident: Within 10 minutes of discovery/on set.
b. Human-Error Product Harm: Within 30 minutes of discovery/on set.
c. Challenge: Within 15 minutes of discovery/on set.

3. Depending upon which crisis occurs, do one of the following:
a. Contact emergency services immediately and inform employees and
customers on site of the crisis situation in order to evacuate immediately.
b. Contact all upper management immediately and conduct an emergency
meeting.
4. Depending upon which crisis occurs, do one of following:
a. Inform the media of the situation within 3 hours
b. Inform the media of the situation within 6 hours
5. While communicating with the media and community, remain honest and
transparent about all details of the crisis.
6. Continue to inform media outlets of all findings when they are discovered.
7. Following the crisis, upper management will meet to discuss what was learned
during the incident and go over what could be done to make changes.
8. Implement these necessary changes as soon as possible.
Crisis Inventory and Results
The accompanying crisis inventory graph analyzes three possible crises that could occur at
the sammysoap shop: technical-error accident, human-error product harm and loss of key
management. By studying the probability and damage possible for each crisis, it was
determined that the small business is most likely to be involved in crises dealing with
machine error, human product error and management shift. This crisis plan was created to
aid sammysoap in case one of these situations should occur.

Warning Signs of a Possible Crisis
Technical-Error Accident
● While sammysoap is a shop, it is also a factory. With all soap products being
made in-house, it takes specialized machinery to do so.
● This machinery could overheat at any point, causing a fire. There is also the
possibility of injury if not maintained properly.
● All employees using this machinery should have training to ensure proper
operation.
● Maintenance should be performed by a licensed professional regularly,
depending upon the machine (either every 2 weeks or every month).
Human-Error Product Harm
● The soap produced at sammysoap are 100% natural and do not contain any type
of synthetic ingredients. Synthetic ingredients can cause reactions, which could
harm not only customers but the reputation of the shop.
● When creating new products, new ingredients can be introduced that employees
are not familiar with.
● Each new ingredient will go under review by upper management, as well as an
outside source if necessary, to ensure sammysoap’s promise that all products are
100% natural.
● Every employee creating products will be properly understand what ingredients
they are working with.
Challenges
● Part of sammysoap’s mission is to help adults with intellectual disorders work
and receive equal compensation. It is possible that at some point, one of the
employees could be mistreated by management.
● All upper management must be trained in how to communicate with employees
as well as complete an equal rights course.
● If a potential employee is turned away and reacts badly, upper management must
react immediately.

Media Spokesperson
The media spokesperson represents and speaks for the organization. Selecting the
spokesperson is very important and must be done carefully. It is suggested that two or
three alternate spokespeople should be selected in advance, in case the primary
spokesperson is unavailable at the time of a crisis.
Criteria for Selecting
● The spokesperson must have the ability to make decisions for sammysoap as well
as be available during the time of the crisis.
● The spokesperson must be articulate. He/she should be able to speak clearly,
concisely, and in a pleasant manner with the public.
● The spokesperson must be rational, appear concerned, and empathetic during a
crisis.
● Only one spokesperson should be engaged at any one time. If multiple
spokespeople are present, all must be prepared to say the same thing.
● The backup spokesperson is responsible to follow the events of an ongoing crisis
and be able to deliver the same message and fill-in if needed.

Interview Tips
● First and foremost know your audience and key messages your company needs to
convey.
● Focus on two or three key messages to communicate and repeat them during the
interview process.
● Prepare to answer basic who, what, when, where, why, and how questions.
● Gather background information that may be useful during the interview.
● Be honest and transparent.
● Try to remain calm, courteous, truthful and concerned. If the occasion calls for it,
you can also be apologetic.
● Be aware of your media outlets by researching what kind of subjects, issues and
questions might be brought up.
● Be accessible and pleasant to reporters: show respect, do engage in verbal fights and
remember their​ ​names, if possible.
● Avoid saying, “No comment” under all circumstances. This is usually a sign of guilt.
● Attempt to answer the question as best as you can instead, if you don’t know the
answer to something, it is okay to say so and then​ ​bridge to a key message.
● Face the reporter, not the camera or the microphone.
● Don’t try to show off your vocabulary. Jargon can be confusing, so stick to everyday
language.
● Do not answer questions you do not understand. Ask for clarification if necessary to
make sure you can answer questions properly.
● Be trained ahead of time, rehearsed well in advance of the crisis, and briefed prior to
responding to the media.
Trick Questions
It is important for a spokesperson to be trained to know how to recognize trick questions
asked by reporters. The following is a brief list of what the spokesperson might expect to
hear:
Speculative Questions
● If your employees had trained better wouldn’t there had been a way to prevent the
malfunction of machinery?
○ sammysoap has a designated procedure and training protocol in place for
anyone using machinery. Only those employees that pass these areas are
allowed to create the soap.

● If had more than one employee that knew that recipe, isn’t it likely the soap would
not have caused allergic reactions?
Leading Questions
● You do agree that sammysoap could have prevented this situation, right?
● Do you agree that sammysoap should work more closely with organizations to
ensure the rights of the employees?
○ sammysoap already works very closely with several organizations based in
St. Louis that work with the rights of intellectually disabled adults. Since our
mission is to give these individuals a productive work environment with fair
pay, sammysoap
Loaded Questions
● If your employees had been trained better shouldn’t there had been a way to
prevent the malfunction of machinery?
● Isn’t it true you knew that the new batch of soap was made purposefully with
synthetic ingredients?
○ sammysoap’s mission is to produce products that are only 100% natural and
free from any synthetic ingredients. An investigation is in progress as to why
the customers had allergic reactions to a new soap. However, all ingredients
used were tested and certified natural.
Naive Questions
● Why did you hire someone with a mental disability?
● Where does sammysoap get their soap from?
○ All of the soap sold at sammysoap is made in-house. The factory portion is in
the back of the shop and is available to tour and see our process.
False Questions
● Why do your employees not get paid fair compensation? Is it because they have
intellectual disabilities?
● Why did sammysoap not learn from the last fire, caused by the same machinery
used in the factory?
○ sammysoap has never faced the issue of a fire in the three years the shop has
been open. An ongoing investigation is being conducted to determine the
cause of the fire.

○ We would be happy to clarify or confirm any information you currently have.

Silence
● This tactic is used to make you feel awkward and feel the need to continuously keep
talking.
○ Don’t try to fill the silence, allow it to run its course. Wait until another
question is asked before you speak.
Accusatory Questions
● Is the employee in charge of soap making responsible for the fire?
○ The fire that occurred at the shop was caused by a malfunction of equipment.
No one employee is at fault for this accident. The managing staff is going to
review how the equipment is maintained and adopt a new policy on how to
care for the heavy machinery.
● Is it true that your hiring manager discriminated against the applicant?
Multiple Part Questions
● What is the procedure for making soap and have your employees received properly
training? If they did, then why did a fire break out at the hands of your employees.
○ These questions are meant to be confusing. Feel free to ask them to repeat
the question. Choose a part of the question to answer that is the most
favorable and leave the rest up to the reporter to decide what happens with
the other portions.

Key Messages
Technical-Error Accident
In the event of a technical-error that could result in a fire, sammysoap’s first priority is the
safety of its employees, customers and community. Once a fire alarm has been triggered,
everyone in the immediate vicinity will be alerted and emergency evacuations will take
place. Since the outbreak of fires are not predictable occurrences, employees and
management should be well trained beforehand so they can enact any emergency protocol
when needed. The exact cause of the fire will be investigated immediately. Our primary
concern will be for the safety of everyone affected by the fire. The fire station is located
within the same block as the shop, so putting out the fire in a timely manner will also be
another top priority.

Human-Error Product Harm
In the event of human-error product harm that could result in a allergic reactions from
customers, sammysoap’s first priority is the wellbeing of the affected party. Once
information is received that a batch of soap has either been contaminated or has been
produced with improper ingredients, it will be pulled from the shelves. An investigation of
ingredients will take place and the affected party will also get a full refund of the harmful
products.
The following key messages should be stressed in the order below:
● Our highest priority and concern is for the wellbeing of those affected.
● sammysoap prides its products on being 100% all natural.
● All of the ingredients also go under a review process before being introduced in
the store.
● We are not sure how any of our products could have caused an allergic reaction. A
full force investigation is in process to determine the ingredient or formula that
caused this.
● We are also not sure how the employee/employees that created the product
was/were able to make anything harmful. Once we have determined a set cause
we will let you know.
● Every employee is educated in our process and the ingredients we use. This
training protocol is set and made clear before anyone at sammysoap produces
anything.
Challenges
In the event of a challenge in the form of discrimination against an employee or future
employee, sammysoap’s first priority is the wellbeing of those affected. A majority of the
employee’s at sammysoap have an intellectual disability and are there to be treated
equally. The store was created to give these adults jobs and provide fair wages.
All managers go through a special training to understand how to properly communicate
with employees. Whenever action needs to be taken with an employee or future employee,
our primary concern is that the communication is conducted properly and fairly.

● The employees affected have been contacted and spoken to by sammysoap and the
proper disability organizations in the area.
Evaluation of Plan Effectiveness After a Crisis
After a crisis, there will be a debriefing in order to better prepare sammysoap for any
future crises. The evaluation will aim to address that the situation was handled properly as
well as see what can be improved upon for the future. It contains the aspects of a crisis such
as media relations, community relations and the crisis management team’s performance.
All of these components should be examined to make improvements for future use.
Media Relations
● Review the media’s coverage of our crisis. Determine which segments could have
received better coverage. Could the way we interact be improved? Was sammysoap
successful in the way we interacted with the media? How could we get our messages
across better in future coverage?
Community Relations
● Did the community think favorably of how we handle the situation? If not, how can
we regain the reputation of the community? Did the community see what we did as
honest? If not, how can we appear more transparent in the future?
Crisis Management Team
● How did each member of the crisis team handle the situation? Did the team handle
the crisis effectively under pressure? How was the work load distributed? Was the
spokesperson media trained enough? Should anyone on the team be reassigned to a
different role?

Fire in Factory of Downtown Kirkwood Soap Shop
KIRKWOOD, Mo., (insert date) 一 A fire broke in the factory section of sammysoap
during its business hours. All employees and customers were evacuated from the
premises and no injuries occured.
The Kirkwood Fire Department, located roughly 170 feet away, responded immediately.
The fire originated from a melting machine used to create the company’s soap. An
investigation will be conducted to find the exact cause, but at this time no employee is at
fault.
“Safety in times like these are our number one priority. We were able to get everyone out
of the building and the fire was put out quickly to keep the businesses close to us safe as
well. We are glad no one was injured and that our emergency plan was followed how it
should be” said Co-Owner of sammysoap, Karen Copeland.
Each of the employees at sammysoap are trained for fire type emergencies. All of the
proper equipment had been recently inspected and brought up to code.
The employee using the machinery remained calm and attempted to extinguish the fire
as protocol. Since the flames were spreading too far, the exactuation plan was put into
action and emergency services were notified.
Minimal damage was caused to the front of the store, while the factory did receive more
damage. Clean up will begin immediately following the conclusion of the investigation to
allow normal business to resume.

Recently at sammysoap, we had a breakdown in communication. A manager did not
communicate properly with an employee creating a tension at the shop. Most of our
employees have intellectual disabilities that require more clear and concise
conversations. Even though we have a strict training protocol in place for engaging with
employees, this plan was not followed properly. sammysoap has contacted the Office on
the Disabled of St. Louis to make sure everyone gets fair treatment and this issue is
resolved correctly. We are deeply sorry for any unfairness created and we are working
with this employee to make sure their needs are met. Thank you to the community for

History
Karen Copeland and her two partners opened sammysoap in 2014 in honor of Samuel,
her son. Sam has intellectual disabilities and was faced with challenges regarding the
workforce. Copeland’s cousin had given her handmade soap for Christmas and the idea
of sammysoap was born. A job creation machine for adults with intellectual disabilities
disguised as the world's best soap company. The shop produces all of its 100% natural
products in house, which was once the Kirkwood Fire Station.

The Americans with Disabilities Act  
Enacted on July 26, 1990, provides comprehensive rights and protections to individuals
with disabilities in the areas of employment, public accommodations, State and local
government agencies, and telecommunications. The goal of the ADA is to assure the
quality of opportunity, full participation, independent living, and economic
self-sufficiency. The ADA prohibits all state and local governments and most private
businesses from discriminating on the basis of disability. The ADA covers qualified
individuals with physical or mental impairments that substantially limit a major life
activity, persons with a record of such impairment, and persons regarded or perceived
as having such an impairment.

Dermatitis Fact Sheet
Definition of dermatitis:
An inflammation of the skin that can have many causes and occurs usually as an itchy
rash on swollen, reddened skin.
Top five allergens in most soap:
● Sodium Lauryl Sulfate
○ SLS is a detergent, which means its job is breaking up oil and grease. It's
also the substance that makes soap get frothy when you rub it on your
body.
○ While it's not technically an allergen because it doesn't provoke a reaction
from the immune system, SLS can cause contact dermatitis and aggravate
eczema by weakening that oily barrier on our skin.
● Fragrance
○ When you see fragrance listed as an ingredient on a skin care product, it
can be a mix of esters, ketones, aldehydes, amines and more. This makes it
difficult to construct allergy tests.
○ Fragrance allergens are found in just about any cosmetic product that
doesn't carry a "fragrance-free" label.
● Coconut Diethanolamide
○ Coconuts can be made into coconut diethanolamide, a detergent that helps
create a stable lather when you're washing with soap.
○ Like SLS, coconut diethanolamide can break down skin's oily barrier layer
and dry it out, but certain people develop more intense allergic reactions
to it.
● Paraben
○ Paraben is both an industrially produced and naturally occurring ester.
Used as a preservative, it's usually near the bottom of the ingredient list in
shampoos, soaps, toothpaste and deodorant.
○ Parabens go by a long list of chemical pseudonyms, so if you think you're

Definition of fire:
Combustion or burning, in which substances combine chemically with oxygen from
the air and typically give out bright light, heat, and smoke.
Types of fire:
There are five different classes of fires. These are broken down into what type of fire
and how they are caused.
● Class A
○ Fires in ordinary combustibles such as wood, paper, cloth, trash and
plastics.
● Class B
○ Fires in flammable liquids such as gasoline, petroleum oil and paint. Class
B fires also include flammable gases such as propane and butane. Class B
fires do not include fires involving cooking oils and grease.
● Class C

Fire Extinguisher Regulations:
● Monthly Inspection
○ Employers must perform a visual inspection on portable fire extinguishers.
Visually inspecting your fire extinguishers helps ensure several important
points:
■ The extinguisher is still present in its designated location.
■ No damage has occurred to the equipment.
■ No obstructions are blocking the equipment from view or easy
access.
■ The extinguisher is fully charged and operational.
● Annually Inspection
○ Annual fire extinguisher maintenance inspections should be performed by
a professional fire protection company​.
○ Once a fire extinguisher passes its annual maintenance, it is verified with
a dated inspection tag. That tag is good for one year from the date
indicated.
○ If the unit fails to pass the inspection, it must be repaired or replaced.
● Every 5, 6 or 12 Year Inspection
○ This internal maintenance also requires the services of a fire protection
company.
○ Internal maintenance testing involves discharging of the fire extinguisher
and a complete internal examination and recharging to insure all

○ Extinguishers such as the dry chemical type requiring a 12 year hydrostatic

We work hard to substantiate fair trade supply chains, use sustainable packaging, and reinvent, reuse, and recycle whenever we can. Our 100% all natural soap bars and products for bath, home and pet are whole system nutrition − vegan, fragrance free, and formulated without fillers, preservatives, fragrance, dyes, or other synthetic ingredients. sammysoap is a job creation machine for adults with intellectual disabilities disguised as the world's best soap company.We are not a not-for-profit, on purpose. We manage to the strengths of our employees to make the best soap around. We exist in support of human health, a clean planet, and disability wage equality. Why is this plan important? A crisis event could be detrimental to a small business without a proper communications plan in place. It is necessary to understand how to handle potential situations as well as know how to communicate during that time. Being prepared will allow for timely action and the ability to be transparent to the dedicated community sammpysoap receives support from. What could happen if the plan is not followed? If the communications plan is not executed at the time of a crisis the safety and well being of the community would be jeopardy. These situations must be handled properly or it could be detrimental to business. Negative consequences could result in a decline in reputation, sales, clients and possibly the business altogether. Has a crisis happened at sammysoap before? Since sammysoap is such a young company, it is reasonable that no crises have occurred for the soap shop yet. Producing soap in house requires specialized melting machines that could have issues if not ran properly or due to malfunctioning parts. There have been many cases on record of larger soap companies, like Lush, that have cause customers to have allergic reactions to products. Even though Lush isn’t using all natural ingredients, it is possible for a company that is to run into similar circumstances. Some of the ingredients used at sammysoap could be irritants, but this information and safety tips are disclosed on its website. Also being a business that operates to help a special cause can be tricky. If misconduct of any kind occurs that could taint the reputation of how an organization works with a certain cause or group of people, say the adults with intellectual disabilities sammysoap, the company would certainly lose support. Being a soap shop and factory, sammysoap could potentially be affected by technical or human errors that could create turmoil. Also, being run by a small upper management could be a problem if a disturbance changed any roles. We at sammysoap are not a not-for profit on purpose. By providing management catered to the strengths of our employees we aim to make the best soap around. We exist in support of your health, a clean planet, and disability wage equality. Our pride is in being a job creation machine for adults with intellectual disorders as well as being 100% natural. Our products do not harm the planet. They are cruelty free, and waterway, food area, child, and pet friendly. Our artisanal products and small batch soaps are handmade in St. Louis, Missouri, and besides all that, each bar of sammysoap is packed with purpose! The aim of this communications plan is to prepare everyone involved at sammysoap to be prepared for a crisis event. The safety and satisfaction of both our employees and community is essential to our business. We have faith that our employees would take pride in what we do and help us protect the company. Purpose The main concern of sammysoap during a time of crisis, is the safety of employees, customers and community. If a situation were to occur, action should take place immediately. By having a set plan it allows the company to remain transparent and effectively communicate to the public. This will hopefully ensure a smooth resolution and allow the shop to keep its positive reputation within the area. Objectives 1. We will put every effort into making the safety of our employees, customers and community the highest priority during a crisis situation. 2. Contact emergency services immediately and inform employees and customers on site of the crisis situation in order to evacuate immediately. b. Contact all upper management immediately and conduct an emergency meeting. 4. Depending upon which crisis occurs, do one of following: a. Inform the media of the situation within 3 hours b. Inform the media of the situation within 6 hours 5. While communicating with the media and community, remain honest and transparent about all details of the crisis. 6. Continue to inform media outlets of all findings when they are discovered. 7. Following the crisis, upper management will meet to discuss what was learned during the incident and go over what could be done to make changes. 8. Implement these necessary changes as soon as possible. Crisis Inventory and Results The accompanying crisis inventory graph analyzes three possible crises that could occur at the sammysoap shop: technical-error accident, human-error product harm and loss of key management. By studying the probability and damage possible for each crisis, it was determined that the small business is most likely to be involved in crises dealing with machine error, human product error and management shift. This crisis plan was created to aid sammysoap in case one of these situations should occur. (5​)
  • 7. Warning Signs of a Possible Crisis Technical-Error Accident ● While sammysoap is a shop, it is also a factory. With all soap products being made in-house, it takes specialized machinery to do so. ● This machinery could overheat at any point, causing a fire. There is also the possibility of injury if not maintained properly. ● All employees using this machinery should have training to ensure proper operation. ● Maintenance should be performed by a licensed professional regularly, depending upon the machine (either every 2 weeks or every month). Human-Error Product Harm ● The soap produced at sammysoap are 100% natural and do not contain any type of synthetic ingredients. Synthetic ingredients can cause reactions, which could harm not only customers but the reputation of the shop. ● When creating new products, new ingredients can be introduced that employees are not familiar with. ● Each new ingredient will go under review by upper management, as well as an outside source if necessary, to ensure sammysoap’s promise that all products are 100% natural. ● Every employee creating products will be properly understand what ingredients they are working with. Challenges ● Part of sammysoap’s mission is to help adults with intellectual disorders work and receive equal compensation. It is possible that at some point, one of the employees could be mistreated by management. ● All upper management must be trained in how to communicate with employees as well as complete an equal rights course. ● If a potential employee is turned away and reacts badly, upper management must react immediately. It is suggested that two or three alternate spokespeople should be selected in advance, in case the primary spokesperson is unavailable at the time of a crisis. Criteria for Selecting ● The spokesperson must have the ability to make decisions for sammysoap as well as be available during the time of the crisis. ● The spokesperson must be articulate. He/she should be able to speak clearly, concisely, and in a pleasant manner with the public. ● The spokesperson must be rational, appear concerned, and empathetic during a crisis. ● Only one spokesperson should be engaged at any one time. If multiple spokespeople are present, all must be prepared to say the same thing. ● The backup spokesperson is responsible to follow the events of an ongoing crisis and be able to deliver the same message and fill-in if needed. Interview Tips ● First and foremost know your audience and key messages your company needs to convey. ● Focus on two or three key messages to communicate and repeat them during the interview process. ● Prepare to answer basic who, what, when, where, why, and how questions. ● Gather background information that may be useful during the interview. ● Be honest and transparent. ● Try to remain calm, courteous, truthful and concerned. If the occasion calls for it, you can also be apologetic. ● Be aware of your media outlets by researching what kind of subjects, issues and questions might be brought up. ● Be accessible and pleasant to reporters: show respect, do engage in verbal fights and remember their​ ​names, if possible. ● Avoid saying, “No comment” under all circumstances. This is usually a sign of guilt. ● Attempt to answer the question as best as you can instead, if you don’t know the answer to something, it is okay to say so and then​ ​bridge to a key message. ● Face the reporter, not the camera or the microphone. ● Don’t try to show off your vocabulary. Jargon can be confusing, so stick to everyday language. ● Do not answer questions you do not understand. Ask for clarification if necessary to make sure you can answer questions properly. ● Be trained ahead of time, rehearsed well in advance of the crisis, and briefed prior to responding to the media. Trick Questions It is important for a spokesperson to be trained to know how to recognize trick questions asked by reporters. The factory portion is in the back of the shop and is available to tour and see our process. False Questions ● Why do your employees not get paid fair compensation? Is it because they have intellectual disabilities? ● Why did sammysoap not learn from the last fire, caused by the same machinery used in the factory? ○ sammysoap has never faced the issue of a fire in the three years the shop has been open. Silence ● This tactic is used to make you feel awkward and feel the need to continuously keep talking. ○ Don’t try to fill the silence, allow it to run its course. Wait until another question is asked before you speak. Accusatory Questions ● Is the employee in charge of soap making responsible for the fire? ○ The fire that occurred at the shop was caused by a malfunction of equipment. No one employee is at fault for this accident. The managing staff is going to review how the equipment is maintained and adopt a new policy on how to care for the heavy machinery. ● Is it true that your hiring manager discriminated against the applicant? Multiple Part Questions ● What is the procedure for making soap and have your employees received properly training? If they did, then why did a fire break out at the hands of your employees. ○ These questions are meant to be confusing. Feel free to ask them to repeat the question. Once information is received that a batch of soap has either been contaminated or has been produced with improper ingredients, it will be pulled from the shelves. An investigation of ingredients will take place and the affected party will also get a full refund of the harmful products. The following key messages should be stressed in the order below: ● Our highest priority and concern is for the wellbeing of those affected. ● sammysoap prides its products on being 100% all natural. ● All of the ingredients also go under a review process before being introduced in the store. ● We are not sure how any of our products could have caused an allergic reaction. The evaluation will aim to address that the situation was handled properly as well as see what can be improved upon for the future. It contains the aspects of a crisis such as media relations, community relations and the crisis management team’s performance. All employees and customers were evacuated from the premises and no injuries occured. The Kirkwood Fire Department, located roughly 170 feet away, responded immediately. The fire originated from a melting machine used to create the company’s soap. An investigation will be conducted to find the exact cause, but at this time no employee is at fault. “Safety in times like these are our number one priority. We were able to get everyone out of the building and the fire was put out quickly to keep the businesses close to us safe as well. We are glad no one was injured and that our emergency plan was followed how it should be” said Co-Owner of sammysoap, Karen Copeland. Each of the employees at sammysoap are trained for fire type emergencies. All of the proper equipment had been recently inspected and brought up to code. The employee using the machinery remained calm and attempted to extinguish the fire as protocol. Since the flames were spreading too far, the exactuation plan was put into action and emergency services were notified. Minimal damage was caused to the front of the store, while the factory did receive more damage.   • 21. Dermatitis Fact Sheet Definition of dermatitis: An inflammation of the skin that can have many causes and occurs usually as an itchy rash on swollen, reddened skin. Top five allergens in most soap: ● Sodium Lauryl Sulfate ○ SLS is a detergent, which means its job is breaking up oil and grease. It's also the substance that makes soap get frothy when you rub it on your body. ○ While it's not technically an allergen because it doesn't provoke a reaction from the immune system, SLS can cause contact dermatitis and aggravate eczema by weakening that oily barrier on our skin. ● Fragrance ○ When you see fragrance listed as an ingredient on a skin care product, it can be a mix of esters, ketones, aldehydes, amines and more. This makes it difficult to construct allergy tests. ○ Fragrance allergens are found in just about any cosmetic product that doesn't carry a "fragrance-free" label. ● Coconut Diethanolamide ○ Coconuts can be made into coconut diethanolamide, a detergent that helps create a stable lather when you're washing with soap. ○ Like SLS, coconut diethanolamide can break down skin's oily barrier layer and dry it out, but certain people develop more intense allergic reactions to it. ● Paraben ○ Paraben is both an industrially produced and naturally occurring ester. Used as a preservative, it's usually near the bottom of the ingredient list in shampoos, soaps, toothpaste and deodorant. ○ Parabens go by a long list of chemical pseudonyms, so if you think you're allergic to paraben, check your soaps for anything with paraben or parahydroxybenzoic in it. Types of fire: There are five different classes of fires. These are broken down into what type of fire and how they are caused. ● Class A ○ Fires in ordinary combustibles such as wood, paper, cloth, trash and plastics. ● Class B ○ Fires in flammable liquids such as gasoline, petroleum oil and paint.
