BIS partner day - UKSA Case Study

  • #2 Susan D’Arcy (corporate convergence project manager I would like to share with you a case study of a partner converging onto the BIS platform This is the UK Space Agency (based in Swindon), who officially launched in March 2011 as an Executive Agency of BIS (previously the British National Space Centre) In the room today we have Clair Passelle (Head of Digital Convergence) and Steven Watson (Marketing & Communications Officer) – who may chip in with thoughts as we go They are currently on a BIS subdomain, working through the convergence process to launch on the main BIS platform in Jan 2011 Whilst this is a convergence case study, it is a very similar process for shared service partners
  • #3 There are 3 main phases of the project plan to achieving convergence: Engagement Includes a review of overall requirements and commercials Implementation Where we agree branding, set up partner area and migrate content Launch Period of testing, URL re-direction, archiving, communications
  • #4 Here is the UK Space Agency’s current site Migrating about up to 1500 pages. So a medium size site but still quite complex in terms of reviewing content and re-structuring the site
  • #5 Starting with engagement phase Our first contact involved sending out project information for UKSA to review including : The main contractual terms (Service Level Agreement with Eduserv – we are currently updating the MOU) The features of the BIS site, particularly showing the platform and how all the templates work And a questionnaire to help determine requirements and give some indicative pricing
  • #6 From here we had our first joint meeting. Paul Hosking (technical lead) and I met UKSA team – Clair Passelle ,Steven Watson and Barbara Richardson (representing Comms) Did a demonstration of the BIS/partner sites and the CMS Agreed the approach to coming on to the platform was appropriate - for UKSA this was as a convergence partner Looked at the likely number of pages to be migrated – key factor in determining the costs – for UKSA this was a maximum of 1500 pages which put them into a ‘medium’ size banding Looked at any additional requirements – UKSA had a requirement for a shared workspace and e-marketing capability which we are able to satisfy with our Huddle workspace and our Govdelivery contract at no extra cost
  • #7 Next is the implementation phase which has a number of activities all supporting the build of the partner area. Thought it would be useful to run through what we did with UK Space Agency to get a feel for: What needs to be done Who does what Starts with simple requirements template – gives Eduserv all information they need to price your partner area – UKSA was using BIS templates and no additional functional requirements, so pricing was based on the 1500 site pages Eduserv costed proposal – based on requirements, included Sitecore training, (may include remote access & additional requirements) From there it’s back to you – raise a purchase order and produce the branding for your area Eduserv will then set up your area (around 10 days) and set up and test any remote access) – UKSA does not require this - but we are currently setting up for one of our next partners NMO
  • #8 Here are some examples of the UKSA work to develop their branded templates This can be quite a tricky exercise as this is all about the organisation’s identity and often has many people who have an interest…. So leave plenty of time to do this! UK Space Agency had a particular issue with the size of the logo – were looking at developing a landscape version but unfortunately were unable to do this
  • #9 2nd phase of implementation - From here we start the real work….. Agreeing the site structure – UKSA saw this as an opportunity to review and improve their current structure – this can be quite time consuming as, like branding, there are often many stakeholders to canvass and cajole – continues to take up lot of time Training – Eduserv will do a 1 day training session on the CMS (up to 5 people). Initially in Bath/London, but are open to coming to your offices if this works – NMO training in Teddington Content migration – the bulk of the work is here. We ask you to follow some very simply style rules if you are converging onto the BIS site. We have a support desk for new users with post training queries Quality check – partner and BIS will carry out quality checks prior to launch – links, images, accessibility, usability National Archive – 7 weeks prior to the site closing we arrange for the TNA to take a copy of the site. Any content that isn’t migrated will appear on this site
