President University Charity Club is legal club in President University that concerns in
humanity and helping other people. Moreover, it is the place for its members to develop
knowledge, skills, creativity, gaining experience, and spreading network in organization.
We are seeking for improvement outside and inside organization. Improvement outside
means we can be useful for other people around us, improvement inside means we can
develop our own potential for the sake of giving and humanity to the society around the

Responsible to whole activities of Charity Club.
The one who is planning, leading, organizing, controlling and serving all of the activities that
are in the Charity club.
Responsible to Vice I and Vice II of Charity Club.
Having authority to make decision
Implementation of job description
The Head was responsible to the whole activity in charity, and being helped by Vice I and
Vice II. For that reason, Head more focus on controlling Vice II and Vice II of charity
club. We often held a meeting to discuss the problems and solutions and also in making
choices. As a Head of Club, making the entire member become one without any cleavage is
like obligation. By getting help from Vice I and Vice II make the Head easier to control the
organization. The Head has a right to make choice for any option to make the club better than
before.
Barrier
Communication is the main problem that always happened in every club. It also happened in
Charity, sometimes Head already give an information to the Vice I and Vice II, and Vice I
and Vice II separate the information to the each PIC of division and each PIC of division
give information to the each member of division, the problem is the information not

Job description:
Responsible to the Head of Charity Club.
In coordination with the Head to develop Charity Club progress.
Cooperate and In Charge to the deputy of HRM, Communication, & Activity.
Implementation of Job Description
Vice I were cooperated with the Head effectively, instructions of the Head were implemented
as soon as possible in order to work fast and better performance of the organization. The
Vice I also helped the Head in assessing the Board of Directors particularly the HRM,
Communication, and Activity – through internal discussion. The performance of events was
also the focus of Vice I to evaluate every events holds by the organization. Moreover,
cooperation with the three deputies above was also going quite good although some barriers
or misunderstanding is inevitable.
Barriers
Inter-division communication remains considered as one of the barriers of the organization
due to the misunderstanding in some cases within the organization. Secondly, the hectic
schedule of either the Board of Directors or the Member Board is also a significant barrier to
the organization performance. The last is that the lack of initiative of the person in charge
within the organization which slows down the performance of the organization.

Implementation of Job Description
Vice II was responsible and communicated effectively with the Head in following the
instruction given by Head and worked it done as soon as possible. Deputy of Administration
and Finance is under control of Vice II, we often held a meeting to discuss the problems and
solutions and also in making choices. Vice II also has responsible to monitor and advise the
Deputy of Administration in making the minutes of meeting, making a proposal, letters and
other responsibilities that Deputy of Administration had and responsible also to monitor and
advise the Deputy of Finance which include Entrepreneurship Division and Donation
Division. Vice II was being an advisor for Blood Donation event that was held on June 2014
in cooperation with PMI Indonesia
Barriers
The hectic schedule either from the Head and Vice II make us sometimes have to postpone
the job even we have tried our best in managing the time. The hectic schedule that we all
three had make us hard to find the suitable time for meeting. The lack of inter-division
communication is the most common barrier in cooperation and it creates misunderstanding
that affects all aspects in organization.

Implementation of Job Description
Administration deputy is responsible to Vice II, we have good and effective communication along the
organization. In making Working Plan Administration deputy helped by Head, Vice I, Vice II and
others Deputy. We plan several events and activities for one period. Charity usually held big meeting
once month, Administration is responsible to make MOM (Minutes Of Meeting) or Notes. Making
Proposal for every Charity’s event is main task of Administration deputy, also responsible taking care
the letter that belongs to every event.
Barrier
Lack of communication between others committee in running an event makes the process of
making proposal and accountability report taking more time. Proposal needs some
corrections in several times because the meeting was held for several times but the
commitees are seldom to come. The timing of one event to other events is quite near, so it
make chaos in making proposal and also the accountability report of each events.

Implementation of Job Description
The Finance deputy is responsible to Vice II. Every month Finance deputy must collect the
monthly fee of each member of Charity IDR5,000/Person. The fund from monthly fee will be
used for any activities that belong to Charity. When there is a Natural Disaster or needed
donation, finance are responsible to supervising the donation division to collect the money.
The entrepreneurship program also is under responsible of Finance deputy. Paid the money
needed for the activities and keep the money received.
Barrier
Lack of coordination between each division therefore the money spent is not offsetting the
budget. It is hard to hold income tax of renting goods, speaker fee and the price of gift. Hard
to collect the monthly payment because there is no fix members of Charity

Implementation of Job Description
Event Development helps the project manager to arrange the committee in any event of
charity and being a part of the event organizer in all of the events that held by Charity Club.
Held an internal meeting periodically to evaluate how’s the event going, evaluate the
strengths and the weaknesses, and the used that as the lesson for the next event. Together
with others committee in event organizer team arrange the rundown for the event, make sure
the event is running well and then arrange every single detail about the event itself.
Barriers
Each member has different activities, that is why a little bit hard to held an internal meeting
sometimes. During deciding the next events sometimes there is some different ideas along
each member. Sometimes, miscommunication was just happened along each member .

Implementation of Job Description
PIC of Academic responsible to encourage the Charity member going to the PAUD Melati
for teaching the students after their school hours, helping them to do their homework and also
give them some exercises that related to their subjects at school. In the first big meeting of
charity club, spread a piece of paper that contains the table of name, mobile number, day of
teaching. From the teaching list, choose one or two person from academic division member
becoming Person in Charge for each day. Tell the PIC about the time and venue to gather the
teaching volunteers. Give announcement in LINE group of Charity Club to involve in
teaching activities for those who haven’t any schedule on that day. Calling Mrs.Erni if there
would be no teaching activities on that day followed by certain reason.
Barriers
Minimum participants involved in teaching activities because their full schedule in the
campus and also lack of awareness from participants in helping the children. If there is
charity member didn’t come to the big meeting so it’ll make the teaching list incomplete. Not
all academic member know the contact of Mrs. Erni, so it’ll be difficult for Head of
Academic because only one person responsible to inform Mrs. Erni Usually the meeting
schedule of the event is not match with my schedule.

Implementation of Job Description
Basically, charity this year has a lot of improvement on the communication way. We came
up with the idea of dividing charity into three sub- division consist of internal, external, and
press in order to make the job description work efficiently and effectively. Fortunately, this
new form of organizational structure has given so many benefits to our club such as an easier
way to spread the information and handling other external parties on the same time. We also
finally succeeded to create many creative designs for supporting our events.
Barriers
Unfortunately, we have faced many obstacles that occurred during this period. First is
regarding to the one of the deputy that resigned from the club that makes the entire job
description has to be managed by one person only. Second is about the quota of
communication division was not fulfilling the quantity of the new members so for some case
there are some members didn’t got any chance to become the committees. Continuing with
the third problem is about the loyalty. It’s not easy for us to keep our fellow members stay
collectively because of their business outside charity like academic, major association,
student union, or any other particular clubs they joined. So at last it was bring negative
impact to us that we are lack of participants in some events and the deputy have to involve
directly because of some irresponsible and unreliable member.

conducting interview. The interview consists of several questions about organizational

Charity Club Boards by controlling the progress of member of each department. Asking the
head of each department to report the member. Give the report and coordinate to the vice
chairperson of charity club.
Barriers
Difficult to implement the rules and regulations since Charity is social organization which
organization based on willing of people. The punctual of Charity members since the member
has another business. Playing outbound is difficult to be conducted because the time
consideration of each member. Gather the head of each department to ask the performance.

Suggestion/Recomendation
Committee should make plan B to overcome the possibilities problem that will be
faced, such as make two different rundown. There must be a good team work between
treasurer and public relation in collecting the money from the committee or
participant. For the transportation, one day before the committee must make sure to
the third parties that they can come on time.

- Difficulties in coordinating on the Day, because the situation is very crowded and
some miscommunication is happened.
Suggestion/Recommendation
The equipment division must prepare well what the things that needed on D-day. Cha
rity can open registrations to non-member charity to join this event as committee. The
event organizer must prepare a HT to coordinating the event, at least the project mana
ger, PIC equipment and PIC public relations also using the HT to manage their comm

Obstacles
- Lack of preparation
- The venue is not fix, it makes chaos at everything
- PMI came late at D-day
Suggestion/Recommendation
The preparations need at least one month. For the venue, the project manager can con
sult with the adviser to decide which one is better. Make sure to PMI one day before,
that they must come on time.

- There is no cooperation from participant
- Lack of sounding
Suggestion/Recommendation
The preparations need at least one month. Project manager must encourage the public
relation to remind the participant about the event held.
