This document provides instructions for starting a photo contest winners loan program in a county. It describes acquiring winning photos from a contest, framing them with labels, and displaying them for legislators and other VIPs to borrow and display in their offices for a period of time. The program aims to promote the photographers' work and provide opportunities to meet the VIPs. 4-H members would help deliver photos and later collect them, and photographers would be notified about their photos' displays.

Acquire 8x10 prints of winning photos. Purchase mattes and frames for them.
Label each matte with this example, "2009 Florida 4‐H Photography Contest: Elizabeth
Whitaker, age 11, Bradford County, On Loan from the Florida 4‐H Photography Program" and
then frame. Be sure to use glass cleaner on the glass! You may want to consider adding the
hanging hardware to the back of the frame for easy hanging.
Determine an already existing event or location you would like to display all the photos before
you deliver them to the VIPs.

Good afternoon,
The Florida 4‐H Program would like to invite you, Rep. Greg Evers, to
hang a framed and matted photo, taken by a 4‐H member from your district,
in your Tallahassee office from late March until the end of the legislative
session. The photo was one of our top winners in the 2009 Florida 4‐H
Photography Contest.
Specifically, the photo is an 8 x 10 up close of a snake in a brown matte
with a brown frame. On the matting is a label that says "2009 Florida 4‐H
Photography Contest: Jeremiah Schultz, age 13, Santa Rosa County, On Loan
from the Florida 4‐H Photography Program."
We are looking to match 18 photos with legislators from the
photographers' district. All eighteen photos will be displayed Tuesday
night, March 16th at the Florida Farm Bureau Legislative Reception/Florida
4‐H Foundation Auction at the Tallahassee‐Leon County Civic Center.
Please let us know your interest ASAP. 4‐H volunteers will deliver & pick
up the frames from your Tallahassee office. If you have any questions,

On the back of the frame place your contact information & a note about when you will pick up
the photo. See sample below.

This photo will be picked up the week of April 26th.
Please autograph the back of the frame for the 4-H member.

2. Depending on the material used on the back of the frame, you may need to attach a white label or other
material for the VIP to autograph the back. Some legislators used metallic pens and wrote notes to the youth
on the black colored backing.
Contact 4‐H members to help you deliver. Important people enjoy visits from polished & professional youth.
You may want to “prep” your 4‐H members ahead of time. You will be unable to carryall the photos alone—
use those 4‐H members!
Email 4‐H member to let them know their photo has been displayed. See sample.
Good afternoon,
I am contacting you because your photo from last year's state 4‐H photo contest has
been framed, matted and is now on display at a county commissioners' office. All 18
winning photos were on display at the FL 4‐H Foundation auction last week and were
delivered to the commissioner’s office this morning.
You may want to visit this commissioner. Consider making an appointment to have your
picture taken with the commissioner (& their picture!)

their county.
After the set amount of time, take 4‐H members with you to pick up the photos. You may want to email their
office before you arrive to remind them to have the photo autographed before you arrive.
Once you have recovered all the photos, you can either arrange to have them displayed again somewhere else
or return them to the photographer.
This loan program can be expanded to include all kinds of VIPs!
You may also want to solicit sponsors for each photo to pay for the frame and matte or ask a framing store to
donate the supplies!
