spreadsheet system. Trainers or managers
need only update the spreadsheet with the
next certification date for each
associate, the database will automatically
track the needed certifications from that
point on. The same method could be used
for needed training, but clearly, the
certification situation needs to be
addressed first.

31. Explore the possibility of the Timken IT
Department designing an interface with
the supplied Access Database which will
automatically e-mail supervisors reports of
associates due for certification on a weekly
basis. This would eliminate the manager
having to make reports from the database
and e-mail them to supervisors.

32. It is felt that the new database/spreadsheet
system is a viable means of tracking
certifications easily and accurately. For most
effective use, the spreadsheet and database
should be placed in a folder on the server, so that
they may be easily accessed and updated.
As with any system, this one will only be as
effective as those that are assigned to update the
files on a regular basis.

Certification data was somewhat disorganized. All certification data was collated into one spreadsheet using multiple worksheets.
To make data much easier to access, the certifications spreadsheet was linked to an Access database. The database was set up with three linked tables, and each table had queries added to enable sorting of certification data instantly. Overdue certifications can be tracked in less than 30 seconds, and reports can be generated from the data. Certification dates are simply updated in the linked spreadsheet, then the data is updated in the database automatically.
There are sixty-three cone inspectors in Department 45, of those sixty-three, thirty-one are overdue for certification as of June 6, 2008.. This represents nearly a 50% lapse in certification for Department 45.
There are eighteen Lead Manufacturing Associates in Department 40, of those eighteen three are overdue for certification as of June 6, 2008.
There are ninety Manufacturing Associates in Department 40, of those sixty seven are overdue for certification as of June 6, 2008; this means that 74% of MA’s in Department 40 are overdue for certification.
Questionnaires are a time-honored method of gaining anonymous input on pertinent data and comments. In this instance, supervisors, trainers, and one manager were polled.

When asked “Do you feel there is a problem with the way training or recertification is handled in your department?,” 100% of respondents felt there was a problem.
83% of respondents felt that the certification and training programs for Department 40 and 45 were inadequate, while only 17% percent felt training and certification was adequate.
When asked if they thought scheduling certification on (or near) the associate’s birthday would help in keeping certifications current, 67% of respondents felt that it would help, while only 33% felt it would have no effect.
An overwhelming majority of respondents felt that there was insufficient training in Departments 40 and 45.
When asked if they feel scheduling brush-up training on (or near) the associate’s birthday would be an asset, respondents were split 50/50 in favor and against.
When asked: “Do you feel there is a problem completing certifications and training during the summer months due to vacations schedules?”, 67% of respondents felt that this was a problem.
When asked: “Do you feel that the present certification and training programs are adequate?”, 83% of respondents felt that the training and certification programs were not adequate.
Question #7 was text-based, and opinions were asked for. The next six slides represent some of the responses from that question. The next six slides will play without narration, as they are self-explanatory.
Clearly, heavy vacation schedules in May-October will have an impact on training and certification in Department 40.

By doing this one simple step, the associate, manager, and supervisor can provide a checks and balances system to make certain each associate gets certified on time. Where birth dates fall on a weekend, the associate would need to be scheduled for certification the week before or after.
