interface 9 is a powerful care facility management software platform with built-in systems integration. The onyl all-in-one solutions specifically designed for care facilities. interface 9 can replace all of your other disparate software management tools.
This presentation is for owners, developers and managers for care facilities, retirement homes, assisted living, independent living and memory care facilities. The purpose of interface 9 is to allow a manager to have complete visibility of all aspects of running a facility, while providing tools for sub-managers to function more autonomously during their workday.
AtHand Solutions are professionals who work closely with public and private sector healthcare workers to help provide productivity tools.
By working with industry professionals, we are able to adapt our solutions to meet the needs of our clients.
If you run a care or retirement facility, you likely use many different, separate software applications to manage aspects such as activities, maintenance, housekeeping, food services, resident services etc. With interface 9 all of these can be managed by a single interface that allows the different components to be fully integrated with one another. Avoid duplicate data entry errors. A single database manages all of your staff, contractors, residents, rooms assets and systems as well as tracks costs of maintenance and support across multiple systems.
By using a single platform to manage all aspects of a facility, a manger can generate reports to see the ‘true’ cost of running a particular system or resident. Keep track of how much your nurse call or fire alarm or security system actually costs. Avoid re-using products that are continually needing repair.
Automate staff work processes to help your staff focus more on their work and less on paperwork.
Interface 9 is modular so that you do not have to invest in everything at one time.
Purchase only modules that you need and add others in the future.
By operating as a web server, interface 9 can be available anywhere, on virtually any device that supports a standard web browser.
By combining all of your software management into a single pane, you can greatly reduce staff education – all your staff will be familiar with the intuitive interface.
Your messaging interfaces can be available for use with more sub-systems than ever before, not only nurse call to telephones anymore.
You can centrally manage and generate reports on all of your systems, or apply filters to view only a single solution.
The integrated iLearning provides a powerful ongoing education platform that is easy to use.
Just like many “middleware” applications, interface 9 provides integration between most alarm systems (such as nurse call, wireless emergency call, RTLS, fire alarm, and security systems) as well as output systems (such as paging, SMS, wireless & wired telephones, message boards, digital signage, Vocera voice badges, etc.).
You can leverage these powerful integrations that are all built-in without needing to spend money and effort administering other third party middleware solutions.
By having a single pane for integration & management, the interface 9 solution leverages these direct integrations for truly seamless communications and notifications, including direct secured messaging.
The Integration AtHand modules is a powerful systems interface to virtually any 3rd party nurse call, RTLS, fire alarm, wander alarm or security system. Available output integrations include pagers, Vocera badges, wireless/wired telephones, LED message centers, PC displays, overhead paging, Email, SMS and many other messaging protocols.

The care module lets a facility do much more than your traditional nurse call workflow. The care module lets staff log when and what type of care they provide to residents including baths, showers, dressing, eating, toileting etc.
This module also logs other information about residents that can be reported on and for sharing with other modules such as: mobility, allergies, diet preferences, daily check-in etc.
Falls and Wander risk scores are generated from the resident data that can be tracked and discussed during care conferences and to improve each residents’ are plan.
This module also provides a central location for managing resident & staff devices such as RTLS tags, wander tags, transmitters, pagers phones etc. This greatly simplifies overall management and cost tracking for building equipment.
The powerful assignment engine is the core of the integration and care modules.
This intuitive easy-to-use interface lets managers and caregivers assign any alarm to any output device or caregiver. It also provides a visual icon-based interface to simplify assignments and escalations.
The data analytics engine reviews resident habits & behaviors and provides different care scores such as falls risk, and wander risk scores.
Imagine a nurse is carrying a smart-phone that is interfaced with interface 9 to receive nurse call and other alarms. Now while that caregiver is in a resident room, they notice a hole in the wall that needs repair; normally this would require a call to maintenance (if they are available) or to record the issue and alert maintenance later. But with the Maintenance module, that caregiver can simply open the service-request page on their phone, enter the issue type and location, then it is automatically registered and sent to building maintenance. It also logs the time date and person who recorded the request in case follow-up is needed.
Maintenance personnel can then review all maintenance requests, and from the request they can request quotations or generate work orders to outside contractors directly, or create a small project and manage/track multiple tasks for a particular service request.
Maintenance staff can also use the request to contact the creator of the request in case there are questions.
The original person who made the request will receive notifications of progress and/or completion of the request.
Managers can view all active maintenance activities as well as generate reports to track overall costs associated with different building systems.
The simple-to-use interfaces make it easy for any staff member to generate a request and for maintenance to receive and manage/track requests.
All aspects of maintenance & support can now be tracked by managers through consolidated reports.
The visitors module provides a built-in visitor management solution that lets you record and manage visitors, vehicles, and even ask questions to each visitor in a pandemic scenario. All visitor entries and exit’s are logged.
All you need is to add a tablet at the front entrance, it’s that simple.
You can also integrate it with a a temperature monitoring kiosk terminal to also log each visitors temperature and whether they are wearing a mask or not.
Visitors can (optionally) view a resident log to call/contact a resident from the entrance terminal.
This same interface may also be sued to track and log all contractor visitors.
From a single page, staff & managers can view who is in the building and visitor who or working where.
This same module is also used by family members to sign-out family members – this important feature will let the facility know when residents and leaving, with whom, where and for how long. This can automaticallu bypass resident check-in while a resident is away to avoid false alerts to staff members.
You no longer need to keep a traditional booklet record of visitors.
Digitally stored records can eb easily searched and reports generated.
Similar to the maintenance module, this module provides a web-page for any staff member or manager to submit a cleaning request.
Requests can be anything from a small spill to a major clean or terminal cleaning required. All housekeeping requests are automatically logged and dispatched to housekeeping staff for prioritizing and monitoring progress.
Managers can view cleaning history for quality improvements and to help assist with managing staff requirements.
When integrated with the Rental AtHand module; this module can automatically generate room-clean requests when a room is vacated or overall maintenance has been completed.
The IMIT module provides an IT service request ticketing system that may be used by in-house as well as externally contracted IT departments. More importantly this ticketing system may be viewed by facility managers.
All IT tickets are logged and prioritized until closed and accepted by the originator (or a manager).
This module also provides a direct interface to manage a facility’s IT system and sub-systems including: Wi-Fi network, network mapping, telephone system, mobile phones and firewalls/routers all from a single interface.
Password management is often an ongoing issue with care facilities: too many systems, contractors, devices with separate passwords etc. This module includes a password safe that allows for the central storage of passwords in a safe, secure manner, with direct links to each network device it accesses. This helps prevent the loss of passwords, or relying on sub-contractors to maintain passwords for a facility (You will no longer be at the mercy of your contractors for a login).
The Health AtHand module does not provide an electronic health record solution, but embeds existing solutions into the interface 9 ecosystem to look and function from a single interface.
It also adds resident information tracking of data not typically maintained by most HER/EMR software, and also maintains a comprehensive contact list that is shared with all other interface 9 modules to allow a facility to always have the contact names and phone numbers needed.
The Feedback AtHand module provides a simple-to-use web page for any staff member to leave feedback recommendations for managers, or to post whistleblower messages to report ethical or moral concerns anonymously.
Authorized managers can view either list and respond (if not anonymous), as well as track progress of any request being acted upon.
This module also includes direct staff-to-staff messaging capabilities for other types of requests.
The integrated whistleblower reporting includes capabilities for telephone and/or messaging to give staff a choice on how to report concerns.
This valuable module is ideal for keeping your staff updated on Human Resource requirements, as well as trained on facility systems and procedures.
This module includes numerous self-service lessons each with a quiz that any staff member with a login can take. Upon completion of a lesson, the credit is stored with that staff members’ profile.
Managers can view who to which lesson and received which scores as well as pre-assign pass/fail marks for each lesson.
If your facility has a high staff turnaround and/or a lot of casual workers, this module provides you with a method of ensuring that they are properly oriented to work in your facility.
If certifications require an annual update, this module will automatically notify staff members when their certification is about to expire and allows them to automatically renew the lesson and quiz to re-certify them.
This module includes numerous lessons and courses on specific systems; if you require a specific lesson to be added, please contact AtHand Solutions at sales@athand.ca for information on how we can help you add a specific lesson.
Choose from any of the pre-created lessons, or work with AtHand Solutions to have a custom-made lesson and quiz created specifically for your facility or a specific system.
Staff manage their own compliance renewals and complete lessons on their own time using virtually any device that has access to the interface 9 server and has a web browser.
Does your activities coordinator use software to manage a calendar of activities? Great. Most of these 3rd party software packages are stand=alone and do not track and log each residents’ participation.
With the interface 9 Activities AtHand module, your resident list is already available and fully updated in the activities calendar.
Activities coordinators and assistants can create a calendar of activities and resident participation is actively stored with each residents’ profile.
Additionally, if used with the Resident AtHand module, residents can view the activities calendar from a table in the comfort of their room and even opt-in or opt-out of any activity.
By interfacing all of these in a single platform, a facility can view reports of resident activity that is readily available at resident care conferences and also available to remote family members if using the Family AtHand module as well.
No longer does your activities coordinator need to maintain their own list of residents or activities contractors since these lists are already in the interface 9 platform and available for use. Duplicating data entry is no longer needed and this also prevents data entry errors when contact lists are maintained in multiple systems.

The Security AtHand module is not a video surveillance or intrusion alarm or video surveillance solution, but embeds existing solutions into the interface 9 ecosystem to look and function from a single interface. You can also embed systems from different manufacturers so they appear as a single platform – this helps reduce costs of replacing entire security solutions if only a small portion needs to be upgraded.
It also maintains a comprehensive contact list that is shared with all other interface 9 modules to allow a facility to always have the contact names and phone numbers needed to reach your security contractors.

Are you a new manager in a facility and have no idea what you own, must maintain, or is under warranty or support agreements?
This module is a must to keep track of any facility.
With the Assets AtHand module you will have a consolidated list of all assets and systems within your facility.
You can manage warranties and maintenance/support agreements to ensure their renewal and manage their ongoing costs.
This module also lets you print barcodes for your equipment which helps ton prevent theft & recovery, as well as helps to track overall support and cost of every system component.
A service contractor can attend your site for a repair and scan any barcode to view the service history of that equipment as well as gain instant access to as-built documentation and manuals. This can help greatly reduce overall time spent on service calls, thus reducing costs.
This also functions as a central document management repository so your maintenance personnel do not need to remember where they kept a manual or data sheet or as-built documents or drawings – they will always be saved and stored where they can be easily accessed along with their specific equipment.
Do you have consumable equipment that you need to purchase on an ongoing basis (or annually), you can now track those expenditures with the Assets AtHand module to ensure that you are not over-spending, and you can use this as an opportunity to consolidate your purchasing and be pro-active to help improve your buying power and reduce overall costs.
Managers can also generate reports to see how much is spent with each contractor and the true cost of every system in use to help better asses the actual cost of your systems.
You can share information with robots as well as control and manage your robots from the interface 9 pages.
Security was top-of-mind when we created interface 9.
All confidential and important data is stored encrypted.
Data in transmission is encrypted prior to transmission and securely transmitted as well.
Man-in-the middle software attacks are also mitigated by using secure application connection algorithms.
Language support does not require an internet connection and does not use any 3rd party translation engine.
Store everything in the built-in document management and archiving tool. Interface 9 will link documents with the appropriate systems and equipment in your facility so you do not need to go searching for a document ever again. Service contractor technicians can quickly access the correct manuals and as-built documents so that they spend less time on your service calls, saving you money.
With interface 9 all of your contacts are centrally stored and shared with all staff to help reduce time wasted searching for common contacts.
Interface 9 is truly the last and only application you will ever need to manage your care or retirement home, or monitor multiple homes across the country.
The AtHand iCRM (Client Relationship Manager) is a service that can monitor multiple sites and allows you to login to our iCRM portal online to view the health, activity and status of all your sites, including spending monitoring on demand.
