The Digital Media Centre is expanding its video capabilities by allowing communicators to directly upload various types of videos and images. This will streamline the upload process and increase efficiency. There are three improvements: 1) A new file transfer tool called Aspera that increases upload speeds, especially for low bandwidth areas. 2) Communicators can now directly upload assets to the DMC instead of using ShareFile as an intermediary. Standardized metadata fields and file naming conventions will be used. 3) Drop down menus will standardize asset categories to aid searching. Training and rollout will occur by the end of June.

-In order to accommodate the increased amount of Assets, we will implement processes that improve efficiency and increase our Librarians’ capacity to process more images and videos.
-New processes have been tested out with communicator pilot teams from SAPRO, MEERO, and HEA.
-While developing these changes, we made sure that a key requirement was: the amount of effort on the part of communicators, will not be increased. The upload process may differ slightly, but the effort will not increase.

-Guaranteed Transfer: If connections are lost, then the file transfer will resume once the connection is restored, at the same point the transfer was lost.
-Tests have resulted 30-60% increase in transfer speeds.
-Higher improvements will actually be noticed in areas with lower bandwidths.
Improvement #2:
Communicators will now upload images and videos directly to the DMC (without having to upload to ShareFile, first).
An Asset Submission form that has been used in the last year will be used to document the metadata that the Librarians will transfer to the Assets, once uploaded to the DMC.
An easy file naming convention will be used to identify Asset submissions.
"Asset Category - Title/SHARE ID number - Communicator Name“
This is a necessary step to distinguish Asset submissions from one another.
Training will be provided to show you how to rename a batch of files to using the new naming convention in less than 10 seconds.
Approval Work Flows will be set up within the DMC. End users will not see the Assets until they have been approved.
