Event Plan

Goals,Objectives and DesiredOutcome
Goals:
 To increase student awareness of the candidate and her platform
 To portray the candidate in a candid and personable manner
 To gain support for the candidate in the upcoming election
 To create a memorable and enjoyable event for UGA student voters
Objectives:
 To attract at least 150 UGA students to the event
 To create a database of at least 120 email addresses and 250 likes on
the Facebook page
 To gain enough votes to elect the candidate to UGA SGA Senate
Desired Outcome:
 Attendees will have a fun-filled evening of music, games, prizes and
food while getting to know the candidate on a more personal level.
The attendees will be more knowledgeable about the SGA elections
process and likely to vote for the candidate.

Event Overview
Who:
 Promotional event sponsored by Kari Saunders and family featuring
Kari, the candidate for SGA’s senate.
What:
 The candidate will host a promotional event in the Wesley building
announcing her candidacy and platform complete with lawn games
and cookout food. Students will attend the event and have the
opportunity to interact with the candidate. Cornhole games and a
giant Jenga set will be available for the enjoyment of attendees, and
the candidate’s friend, Andrew Huang, will provide entertainment
with singing and his acoustic guitar. A photo booth complete with
patriotic props will be set up; the photos will be uploaded to the
Facebook page with a watermark promoting the candidate. Door prize
drawings will take place during the duration of the event for a
promotional t-shirt and gift card for either a restaurant or a gas
station. Hot dogs and hamburgers (as well as a gluten-free, vegan
black bean patty choice) will be served along with chips and popsicles
to the students attending the function. The purpose of the event is to
raise awareness for the candidate and her platform as well as procure
votes. Ultimately, this event is designed to get the candidate elected.
Attendees will have the opportunity to:
o Play games and listen to Andrew play upbeat music
o Enjoy a free dinner
o Take fun photo booth pictures
o Win a door prize bundle
o Talk to the candidate and listen to a brief speech about her
platform points
o Receive a promotional button to wear or place on their
bookbags
The event’s promotion, effectiveness of the event, and how the event’s goals
will be achieved:
 A Facebook page will be created for the event and will be updated
frequently close to the event. Flyers will be placed around campus on
bulletin boards and on friends’ doors inside dorms promoting the
event. The candidate will make announcements in her classes and at
the meetings of the organizations she is a part of. On the day of the
event the candidate and volunteers will wear the promotional t-shirts
for the event.
 The effectiveness of the event will be measured by the turnout of
attendees and whether or not the candidate is elected to office.

 The event will achieve its goals by raising awareness of the
candidate’s campaign and allowing attendees to experience a fun
night that they will share with their friends. The promotional buttons
and t-shirts given will prompt conversations about the candidate and
her platform. The more the candidate interacts with attendees and
other potential voters, the more likely she is to obtain votes and
ultimately a senate seat.
When and Where:
 The event will take place from 6:30-8:30 on Thursday, March 20, 2014
at the Wesley Building located at 1196 South Lumpkin Street in
Athens.
Measurement:
 The ultimate success of the event rests on the amount of votes the
candidate receives and if she is elected to SGA senate.

Timeline:
1 year prior to event:
 Candidate makes the decision to run for office
 Candidate speaks with family about plans for campaign and event
 Preliminary budget is established
 Fundraising efforts begin
 Candidate speaks with Wesley directors to secure location for the
event
6 months prior to event:
 Final budget is confirmed
 Confirms space with Wesley directors
 Continues fundraising events
 Speak with uncle about borrowing giant Jenga set and cornhole set
 Design promotional materials (flyers, t-shirts, and buttons)
 Mention event to close friends and connections in organizations in
hopes of recruiting volunteers
 Contact Andrew to ask him for entertainment availability
3 months prior to event:
 Confirm interested friends’ commitment to volunteer at event
 Check in with Wesley directors to confirm usage of the space
 Create Facebook page for event and invite all friends who attend UGA
 Contact Uberprints for t-shirt manufacture and purebuttons.com for
button manufacture
 Secure props and back drop for photo booth
1 month prior to event:
 Register for official candidacy for SGA Senate
 Have staff meeting with volunteers and discuss plans and schedule of
events
 Confirm with uncle to borrow giant Jenga set and cornhole set
 Confirm Andrew’s entertainment and discuss song selection
 Begin posting flyers on bulletin boards
 Purchase gift certificates for door prize bundles
 Update Facebook page with reminders for event
1 week prior to event:
 Have final staff meeting to discuss final details and assignments
during event
 Write speech to present at event and practice it in front of friends
 Post more flyers on bulletin boards and friends’ doors
 Purchase door prize tickets

 Meet with Wesley directors for final logistical meeting
Day before event:
 Purchase food items and paper products from Kroger

Morning of event:
 Remind volunteers of their duties for the evening

Afternoon of event:
 Cook food for event inside Wesley kitchen
 Set up tables, games, and photo booth (including candidate’s personal
digital camera)
 Check sound system
Event Schedule and Itinerary:

 Volunteers and entertainment arrives at the Wesley building
 Check sound system again; candidate practices speech
 Andrew warms up
5:30:
 Food is placed in ovens on warmers, and chips and paper products are placed
on tables
 Run over duties with volunteers
 Thank volunteers for their services

 Place volunteers at their posts
 Early attendees are greeted at the door by volunteers, but are not admitted
into the building yet

 Event officially starts and all guests are welcomed inside after signing in with
volunteers with their names and emails and showing valid UGA ID’s
 Volunteers give each guest a ticket for the door prizes
 Andrew plays and sings as guests trickle in
 Attendees play Cornhole and giant Jenga
 Photo booth pictures are taken by volunteer; each time an attendee wishes to
take a photo, he or she will sign a sheet consenting to the photo’s use on
social media
 Candidate mingles with attendees
 A door prize is drawn

 Food is placed on tables and serving begins
 After attendees make their plates, candidate gives speech and draws 2 more
door prizes

 More games are played and photo booth pictures are taken

Additional comments:
All labor in preparation for, during and after the event will be performed by
volunteers. The camera used for the photo booth is the candidate’s personal camera,
and all accessories used to watermark and upload the photos to Facebook also
belong to the candidate. The Wesley building has made tables, chairs, a kitchen,
cooking/serving supplies, and a sound system available for the use of the event.

Contingency Plan:
In case of rain:
 Wesley building is fully covered, so the venue will not be an issue
 However, the weather will potentially deter attendees, so a Facebook post
will be posted on the event page telling attendees that the event is still “on”
In case of medical emergency:
 Several volunteers are CPR certified, so in the event that an emergency
occurs, CPR could be administered and a volunteer can call 911
If Andrew is unable to come and provide music:
 Candidate will have back up playlist available on her iPod to play over sound
system
In case more than 200 attendees are present:
 There will not be enough food for the overflow of people, but each person
will still receive a button and be eligible for the door prizes
Parking issues:
 If there is not enough room for parking, attendees will be encouraged to park
at the Tate center where parking is free after 6:00 PM
Disruptive/rude attendees:
 Any disruptive or rude attendees will be politely asked to leave
 If a situation occurs, authorities will be contacted

The Wesley building has made tables, chairs, a kitchen, cooking/serving supplies, and a sound system available for the use of the event.
  • 9. 9 Contingency Plan: In case of rain:  Wesley building is fully covered, so the venue will not be an issue  However, the weather will potentially deter attendees, so a Facebook post will be posted on the event page telling attendees that the event is still “on” In case of medical emergency:  Several volunteers are CPR certified, so in the event that an emergency occurs, CPR could be administered and a volunteer can call 911 If Andrew is unable to come and provide music:  Candidate will have back up playlist available on her iPod to play over sound system In case more than 200 attendees are present:  There will not be enough food for the overflow of people, but each person will still receive a button and be eligible for the door prizes Parking issues:  If there is not enough room for parking, attendees will be encouraged to park at the Tate center where parking is free after 6:00 PM Disruptive/rude attendees:  Any disruptive or rude attendees will be politely asked to leave  If a situation occurs, authorities will be contacted
