CHARITIES INTERN
Daily Routine: To work at CCS one must be flexible above all. One day could be filled with
typing emails all afternoon and the next day could consist of visiting international middles
schools to give a presentation about charity. Adapt to the changes that will be thrown your way
and maintain a good attitude for the many personalities you will meet within our network of
donors. My days consist of, but are not limited to:
 Emails and phone calls
 Networking events
 Charity LINK Marketing
 Office fun
Emails and phone calls: There is a lot of behind-the-scenes work to be done for Giving
Tree, River of Hearts, and Charity LINK. Take the time to research and get familiar with these
programs. I worked mostly with Giving Tree and ROH during my internship. The Giving Tree
charity involves a lot of communication and people skills. You will be talking to potential donors
daily; matching them with migrant schools, sorting out scheduling conflicts, and ensuring that
every detail is set up correctly for the school ceremonies. Here you will find the following email
templates used for the Giving Tree donor matching:
ORIGINAL TEMPLATE: This email is used at the beginning of our matching process. The
charities manager has already evaluated each migrant school and potential donor and has
matched them together based on location, size, and overall availability. This email will give the
donor all the information and asks for a confirmation. We give this email to donors we have
previously worked with and are willing to take on large quantities of bags. They get the first dibs
on migrant school choice.

Attached are the 2016 Migrant School Needs Report and Information Booklet. They provide all of the

ceremony or by themselves
REMINDER TEMPLATE: After you send out the original email there will be a waiting period of a
week or so. By then you should receive a few confirmations, but it is likely that not everyone
will respond in a timely manner. This is when you send out a follow up email that reminds the
donors that we have limited space and time and need a response from them soon.

After a couple weeks of emailing donors back and forth you will send out another batch of
emails to smaller donors who will pick up the other migrant school spots and bags. It is now first
come first serve to all donors, and this should be stated in their emails (just adjust the original
template’s due dates and leave out the green and purple highlighted information). This is also a
time where you will be making phone calls to those who have not responded to any emails or
those who have a lot of questions and wish to speak to someone in person. Be patient and
accommodating so that we can get as many bags as possible. Send a thank you email to all who
are confirmed.
THE GIVING TREE MASTER FILE: This file contains multiple spreadsheets where you will find all
of the information you will need for these emails. The donor’s main email and phone contact
information will be found on the Donors to Approach tab. The migrant school match will be
found on the Donor Matching/ Ceremonies tab. Here is a screenshot of what my spreadsheet
looks like now:
The pink highlight indicates that the school has been emailed and we are waiting for their
response. The green highlight indicates that the school has responded and said they like their
migrant school match and can do the number of bags we had suggested. Constantly update the
list on the Donors to Approach tab so that you do not email a donor who has already been
confirmed. In the likely event that a donor wishes to no longer be a part of our charity network
please remove their information from the Donors to Approach tab and the Donor
Matching/Ceremonies tab. Then add them to the Lost/Discontinued Donor’s tab so we know
not to contact them again. You should also take them off our Mailchimp Giving Tree 2016 email
list.
Networking Events: As an intern at CCS you have the opportunity to experience a number
of events either put on by CCS or by other social enterprises in the non-profit sector. If it is an
event put on by CCS you will help with the set up and afterwards the clean-up. I moved around
promotional posters and materials, put on coffee and snacks for the event’s participants, and got
the layout of the event location so I could tell people where to go (bathrooms, elevators, etc.).
For ROH I used whatever available man-power I possessed and helped move boxes of donated
goods and load them up onto trucks to be delivered to the Sorting Party sites. I also helped set up
tables for the bazaar event and navigated vendors to their specific location. One week I prepared
a PowerPoint and presented to middle schoolers about charity at their health and wellness fair
with the help of a local expat teacher. At all of these events I took pictures and notes for the CCS
Charity LINK newsletter.
Charity LINK Marketing: I worked on the weekly CCS Charity LINK newsletter. This
newsletter is created through mailchimp. The charities manager will give you the login info.
Mailchimp was shutdown midway through my internship due to technical barriers, but when it is
working it is a valuable tool that makes emails really stand out and connect with others. I would
update our server list on charity events coming up and add any newsworthy blurbs about CCS. I
also worked on reviewing and updating charity marketing material. The marketing interns
worked a lot on other graphic design projects including designing the CCS bulletin boards,
brochure ads, WeChat posts, and more. You will often collaborate with the marketing team.
Office Fun: CCS is an outlier in Shanghai’s working world of banking offices and law firms.
You will be working on a number of projects, but the supervisors here are caring and passionate
individuals who want to make sure your work experience is fun too. Lunch is served free every
day in the kitchen and is a good opportunity to get to know your co-workers. Do not be surprised
when there is an office party to plan or a photoshoot to participate in. Share your pictures in the
WeChat group and include lots of stickers (they love their stickers). CCS is an open
environment, so feel free to ask any questions or voice any concerns. You will learn a lot, and
the fun atmosphere here will make the work incredibly rewarding.
Helpful Tips:
 Get a WeChat account! It is a necessity for working in China
 Manage your time wisely. There will be events you must go to that are outside of your
work schedule
 If you know you will be missing a day of work, put it on the CCS Google calendar
 Look up how to get to CCS ahead of time and possibly do a trial-run commute if you are
unfamiliar with the Shanghai metro system
 Have fun and enjoy your time at CCS!

There will be events you must go to that are outside of your work schedule  If you know you will be missing a day of work, put it on the CCS Google calendar  Look up how to get to CCS ahead of time and possibly do a trial-run commute if you are unfamiliar with the Shanghai metro system  Have fun and enjoy your time at CCS!
