This help file is used to help new and existing Managing Editors (ME) or advisors of The
Mochila Review. If by chance the ME or advisor is absent, this help file is available to
explain all of the daily routines, processes and procedures, and contact information.
Please use this help file to allow insight to your concerns or questions about The Mochila
Review. If by chance there is not a question answered among this help file, please access
the contact information page for important contact info.

7. Daily Routines
Open/Close Hours
There is no determined open/close time for Mochila. Within business hours of 8-4:30,
email should be checked every couple hours.
Email
1. Answer questions from students
2. Email professor to ask for student submissions
3. Add new submissions to folder
4. Send acceptance/rejection emails
5. Read replies to acceptance emails
6. Send student enrollment verification emails to professors
7. Send revision requests to students
8. Send the end of reading period emails to students
Organization of submissions
1. Insert all submissions from a reading period into a word document
2. List all submissions in some sort of spreadsheet for a review rating
3. At the end of the reading period, compile everything into one
document
4. Send the documents out to other Mochila readers
Reading Submissions
1. Read submissions
2. Rate submissions
3. Comment on submissions
Organize final file
1. Format documents for the publishing program
2. Do this continuously to avoid working twelve-hour days at the end
of semester

Problems with Website
A. Problem with website
9. If a student complains about the website (missing submission, submission
never sent/received, etc.), immediately search in the Mochila email
account. If no records can be found, tell the student:
i. Thank you for informing us of this problem. We will
forward this to our webmaster. In the meantime, will you
please email your submission to us in MSWord, RTF, or
within the text of the email?
Unprofessionalism
A. Unprofessional behavior should never be tolerated, either from a student
to Mochila or from Mochila to a student. If a student contributor becomes
unprofessional and/or threatening, immediately refer the email to the Faculty
Editor.
B. If a Mochila staffer has displayed unprofessional behavior to a student
contributor and/or another staffer, politely ask the staffer to stop the
unsatisfactory behavior. Then inform the Faculty Editor.
C. Never discuss decisions made on a student’s work outside of the Mochila
Review. This is a breach of confidentiality, and is punishable by law.

A. What if I can’t devote twenty hours a week to Mochila?
i. You may want to rethink your commitment to The Mochila
Review. Managing Editor is a demanding job.
B. Do I have any input into a student’s grade?
i. You should. Consult with the Faculty Editor about this.
C. Do I really have to email professors and ask for submissions?
i. You do if you want submissions.
D. Where’s the bathroom?
i. Mochila does not have its own bathrooms. Use the one down
the hall.
E. Does Mochila have Publisher or InDesign?
i. No
F. Does it get better?
i. It sure does.

21. Clauses Unique to Organization
A. Coffee
i. The Faculty Editor is responsible for bringing coffee
ii. The staff members are responsible for bringing creamer
B. Email account
i. All staffers are entitled to know the password to the Mochila email
account
ii. This privilege is not to be abused
1. Never delete anything
2. Move it to a specific folder
iii. The Mochila account is linked to Google Drive
1. All information here is confidential
C. Donuts and Pizza
i. All members are entitled to one Donut Day and one Pizza Day a
semester
ii. This is the responsibility of the Faculty Editor

23. Confidentiality
Due to the confidential nature of many aspects of The Mochila Review, it is
impossible to include much information in a publically-accessible guide. Refer
any questions to the Faculty Editor.

Dear Undergraduate:
Pending availability, we'd like to publish "This Poem."
Might you please send the piece to us as an attachment in MSWord or RTF?
We feature all works on our web site now that we've become an online magazine. We
accept only unpublished works and expect only North American first publication rights,
after which all rights revert to the creator of the works.
Using a print-on-demand publishing company, we pay two contributor's copies, and
usually mail them around May 1. Contributors who wish to purchase more copies will
have that option.
We do need the following information:
1. Your full name and a brief bio.
2. The snail mail address to which you wish your print copies mailed.
3. The contact information (email and office phone) for a faculty member who will verify
that you are enrolled in undergraduate course work.
