Preparing for the future with EMC SourceOne email
archiving
BUSINESS OVERVIEW
The Publix Employees Federal Credit Union (PEFCU) is a federally chartered, nonprofit cooper-
ative association that serves the financial needs of retired and current employees of Publix
Super Markets, Inc. and their family members. With headquarters in Lakeland, Florida,
PEFCU operates six Florida branches in Pembroke Pines, West Palm Beach, Boca Raton,
Altamonte Springs, Sarasota, and Jacksonville, with another branch located in Norcross,
Georgia.
PEFCU’s primary mission is to provide quality service that meets the financial needs of its
members, while maintaining a financially stable organization that adheres to generally
accepted credit union operating standards.
CHALLENGES
With 250 mailboxes in its Microsoft Exchange email network, PEFCU was dealing with sev-
eral challenges related to managing employee email. Without a centralized archiving system,
the company had no easy means of searching for and retrieving emails to support certain
types of human resources investigations and legal eDiscovery. One such HR investigation, for
instance, required a dedicated IT manager to manually log into the mailbox of each
employee in question, locate and print out the pertinent messages, and then sort the paper
messages in date/time/topic order—a process that took almost 80 hours for only five
mailboxes.
“After this experience, we realized we needed a more efficient way of conducting email
investigations,” says Karen Sullivan, CIO and CSO at PEFCU. “Although we had never been
faced with an eDiscovery request to support litigation, we wanted to be better prepared for
that eventuality.”
In addition, with 250 employees using their mailboxes for email storage, the company’s
Exchange server had grown so large that it had begun to affect network performance. Also,
although PEFCU is not yet large enough to be subject to Sarbanes-Oxley (SOX) rules for infor-
mation archiving, the company wanted to adopt an archiving and retention system that
would smooth the way for future compliance.
AN EMC SOLUTION
A project to upgrade PEFCU’s storage area network (SAN) offered an opportunity for the com-
pany to install a centralized email management and archiving system, and PEFCU chose EMC®
SourceOne™

In PEFCU’s new SAN environment, the SourceOne software runs on EMC Centera®
storage
hardware, which provides a centralized storage platform for critical company documents and
information. An EMC Data Domain®
deduplication storage system provides backup and
recovery as well as high-speed, inline deduplication and network-efficient replication
between the production site in Lakeland, a hot site backup location in Jacksonville, and a
warm site at the organization’s Georgia location.
“We have been a satisfied EMC customer since 2001, so it was an easy decision to base our
new SAN on an all-EMC hardware and software platform—and we knew we would be able to
count on the first-rate service and support we have always had,” says Sullivan.
SMOOTH AND SEAMLESS POLICY-BASED ARCHIVING
Via the shortcutting feature, the system automatically migrates email messages to the
SourceOne archive, which greatly reduces the size of user mailboxes and the burden on the
Exchange mail server. For up to a year, users can retrieve emails via Outlook from the
archive; after a year, they can log directly into the archive system with the easy-to-use
SourceOne Web interface. In keeping with PEFCU policy, all emails are permanently removed
from the archive after five years.
“With SourceOne, complying with our corporate retention policies is easy because it’s auto-
matic—it requires no intervention from anyone on our staff,” explains Sullivan. “And when
the day comes that PEFCU is subject to SOX regulations, we’ll already be covered.”
In addition, PEFCU has moved large amounts of user PST files to the archive, further boosting
network performance and ensuring protection for this information in the event of hardware
failures. All told, more than 300 GBs of email data has been offloaded from local drives and
the Exchange server to the SourceOne archive.
Plus, EMC Data Domain has significantly improved PEFCU’s data backup processes, reducing
the time required to back up the Exchange store by as much as 20 percent.
FAST AND EFFICIENT EMAIL INVESTIGATIONS
With all PEFCU employee emails under the secure control of the centralized SourceOne
archive, searching for and retrieving messages is now fast and easy. In fact, a process that
once took a dedicated IT staff member many hours has been reduced to just minutes.
“Recently, I had to look back through many months of a previous employee’s email mes-
sages, and in about 20 minutes I was able to get everything the HR department needed for a
personnel investigation,” says Sullivan.
