1. Brathay Apprentice Challenge 2014
Guidance for Completing and submitting the evidence portfolio
On or before the 28 March 2014 each team who wishes to be considered for the next round of the
challenge must submit for judging a portfolio of evidence. Although the exact design, lay-out and
construction of the portfolio can be left to the discretion and creativity of the teams, the following
guidelines may be of help.
Overall Construction
A title page detailing the Team Name, listing the team members and details of their employers should
be included.
We also expect the portfolio to be indexed and evidence to be cross-referenced within the evidence
tracker.
We expect that the portfolio be divided in two main sections, one for the Raise the Profile of
Apprenticeships section and the other for the delivery a Community Project section. Under those
main heading sub-categorisation and referencing in line with the judging criteria would also be useful.
Each portfolio must include the following:
 A title page clearly and simply detailing team and team members information
 A fully completed Evidence Tracker
Under each section we would expect the following:
 A brief written description of what you have done and a summary of how you believe activities
and actions have met the specific criteria
 Copies of or links to evidence that you believe illustrates how you’ve met the criteria
 Any further information that you would like to submit in support of the specific criteria
requirement
We expect each portfolio to clearly include relevant information and material fulfilling the judging
criteria included in the BAC 2014 team brief. We would appreciate submissions that follow a simple
structure that can be easily navigated by the judges.

2. With over 90 portfolios being submitted and a very short window for judging the judges will not have
the time to re-structure your evidence or seek out minute details. Therefore the more help you can
provide to guide them through your work the better. The more straightforward and logical your
portfolio the more likely you are that the judges will not miss any evidence and be able to award you
all the points you’ve earned.
Please ensure that you use the evidence tracker for each of the tasks: Raising awareness of
Apprenticeships and a Community Project. A sample of the tracker has been included in this
email.
Specific Requirements:
The following are examples of the sorts of things we’d expect to see in a portfolio, the lists are neither
exclusive nor exhaustive and should be seen as a guide only.
Raise the Profile of Apprenticeships
 Provide links, screen shots or printed copies of intranet items, articles etc.
 Copies of all internal news coverage where the BAC &/or the team got mentioned or has
profile
 Copies of any posters produced and evidence of them in situ
 Hard or soft copies of any local or sector print/online media coverage
 Evidence (photographic, testimony, news coverage) of a jobswop
 Recordings of audio or visual media coverage, if copies are not available then the testimony of
an objective third party
 Any type of photographic, recorded, testimony, media coverage of school engagement
 Details of Twitter account and statement of activity
 Details of Facebook account and statement of activity
 Copy of case study/film
 Details of LinkedIn activity
If evidence is being submitted to fulfill evidence requirements of more than one criteria then only one
copy of that evidence is required as long as it is clearly cross-referenced with all necessary criteria.

3. Community Project
The following points and questions should help you collate your thoughts and evidence in a way that
will ensure the judges capture a complete sense and feel for what your team did.
We will require written descriptions as well as any physical evidence, e.g. emails, minutes of
meetings, project plans, photographs, press coverage etc…
 A high level description/commentary of your project
 Describe how you went about selecting your community partner
 Describe your project and explain how will/is your community benefiting as a result
 Detail your project plan, detailing the key ways in which you have measured your performance
as a team
 Provide testimonial from those outside the team, in either a support capacity or a recipient of
your project
 Show how you engaged the interest your own organisation in the project
 Detail and provide specific evidence of any local interest and/or media coverage of the project
If you are in any doubt about what should or should not be included in your portfolio refer back to the
judging criteria in the Brathay Apprentice Challenge 2014 Toolkit and Challenge Brief that was sent to
you at the start of the challenge.
Format for Submission
As we have previously stated we require all submissions to be with us on or before the 12 noon 28
March 2014.
Only electronic evidence portfolios will be accepted.
Our preference for submission is via a team ‘drop box’ that you must set up in advance and
give us access to.

It is really important that you clearly name your portfolio and the two elements of the regional heats. If
your company has more than one team, please ensure that each team is clearly differentiated.

4. Please name your drop box like this: Organisation name; region in brackets; BAC14
An example on how to do this using a fictitious team named ABC Corp in the North region would look
like this: ABC Corp (North) BAC14. Within your team’s dropbox, please divide up the two tasks
(Raising awareness of Apprenticeships and a Community Project) with separate headings as these
are marked by two different sets of judges.
Once you have created and named your dropbox, please share it with our email address
apprentice-challenge@brathay.org.uk .
If you are unable to access or use Dropbox please email the BAC team as soon as possible to
discuss and arrange an alternative method of submission.
