As a multi-team office, Overbury did not have a central library of
photographic resources before they purchased OpenAsset Media.
By integrating their new image management system with OpenAsset’s
InDesign templating feature, they knew they would be able to use their
digital assets to the maximum effect, quickly producing high quality,
brand consistent marketing materials. “We had the InDesign case study
template in mind when we were setting up the system. We wanted to
help our teams to produce consistent, professional looking documents,”
says Juliette Passinke.

Overbury’s projects typically have a short duration
so the marketing team create and manage
hundreds of individual case studies, drawing
from thousands of images commissioned by
separate project teams. The key priorities for
the team were to make both images and case
studies consistent, quick and simple to create,
and accessible to all. “Before we had OpenAsset
Media, the whole process was done manually,”
explains Juliette Passinke, Marketing Manager.
“Now I can generate a case study in seconds –
the images are already there, all the project data
is already there. They are really quick to produce.”
Key bidding information
The InDesign templating feature draws both
text and image data from the OpenAsset
Media library, so it was essential that Juliette
and her team established right from the start
what information was needed on the system to
populate the InDesign case studies. “The search
terms people would use when compiling case
studies for a tender had to be reflected in the
project keywords,” she says. “Once we had the
case study design set up in InDesign I liaised
with Axomic and we worked together on how it
should be structured and where the information
would come from in OpenAsset.”

refurbishment projects in the office, retail,

2. Adding value
The ranking system in OpenAsset determines
which images should accompany the project
data and where they should appear within the
template. With so many projects in the portfolio,
perfect case studies can now be created within
minutes of project images being uploaded to
the system. “If a case study needs to be tweaked
for a particular tender, it can be downloaded
and amended by the bid team while the original
remains in the system.”
Brochure template
Overbury also worked with Axomic to set up an
InDesign template for a brochure which can be
used for introductory meetings with potential
clients. The template is designed as a mini
brochure which can be produced bespoke for a
particular client. It is based on OpenAsset Media
keywords and is capable of combining images,
text and client lists.
Searchable PDFs
Once the templates were set up, Juliette
discovered a further advantage of OpenAsset.
“When we generate new case studies in
InDesign, we turn them into PDFs and upload
them to the system. People can then just
drag and drop them straight into their tender
documents. It’s a massive benefit. Before we only
had a very limited search function on our case
studies, but now we can search quickly using the
advanced search, sorting them by a particular
industry or value range for example.”
Keywords also include the Overbury personnel
who worked on each project, so relevant
photographs can easily be retrieved to illustrate
their experience.
Enhanced business processes
Ensuring the system supported and enhanced
Overbury’s business processes was a critical
aspect of the setup. Juliette Passinke explains:
“One of my tasks is collecting and analysing
statistics, so I had a good idea of how people
would want to sort and search for information.
Each team is working on different tenders for
different clients, so being able to do advanced
searches to draw out the relevant experience is
both useful and time saving.”
Additional features
One of the most useful OpenAsset Media tools
to the Overbury team is the Album feature,
particularly when developing content for
brochures and other marketing collateral. ‘We
use Albums to share images internally, putting
together our ideas, seeing how the images all
look together and then refining them. Then we
can give our external graphic designer remote
access and share the Album with them too. The
designer can access all the relevant content
straight away.”
The Overbury sales team also use the Album
feature to showcase the company’s experience
to prospective clients. They simply select relevant
images or case studies, save them to an Album
and use the automatic zip feature to send them
at a relevant size.
Another specific feature that appealed to Juliette
and her team was OpenAsset Media’s ability
to create Powerpoint presentations. “Before we
had to keep resizing the images. Being able
to draw off images which are the perfect size
for a Powerpoint presentation saves us a huge
amount of time.”
Company-wide usage
OpenAsset Media has been rolled out to
everyone at Overbury, across all six UK offices.
Take-up of the system has been excellent
and continues to rise year on year. In 2011,
approximately 70% of staff used the library at
some point, with all sectors of the business
recognising the benefits of the system.
