Today I’m talking about SLQ program focused on how we use volunteers to support our front of house services.
The State Library of Queensland Volunteer Program officially commenced in July 1989.
As with all institutions volunteering enhances the capabilities of SLQ and provides a very enjoyable and interesting way to become involved with and to support our institutions.
At SLQ we have both onsite and digital volunteers.
We have over 100 active volunteers along with around 150 on the books waiting for suitable projects.
A number of volunteers end up working with us. In our visitor experience team we have 5 team members who had first been volunteers.
We have a volunteer coordinator working 3 days per week.
David looks all the administrative side of the project which can involve:
Orientation of volunteers
Reviewing applications from volunteers
Checking projects to ensure they are a volunteer projects and not a staff role
Reviewing projects annually
Liaising between volunteer and staff managing projects
Organisation of recognition of volunteers e.g. end of year celebration, recognition of long service
To become a volunteer we ask that applicants apply via email.
Some enquiries come through by telephone. We have information on the website.
David will asses the applications and advise people if there are projects suitable or if we will keep them on a waiting list.
Volunteers skills are matched to projects. (I’ll talk a bit about those next)
Before someone starts they receive an orientation to the State Library by David- Volunteer Coordinator.
The Project Coordinator is also responsible for orientation to their work area and the project.
Each volunteer is provided with a volunteer t-shirt( these were implemented in 2014) as well as the photo id tags
Volunteer projects
Each engagement- whether it be a. single event or an ongoing engagement must have a project plan developed.
Projects must have a start and end date.
Projects must have outcomes that relate to SLQ- they are not about the volunteer’s passion or desire. ( we have had incidents in the past whereby a volunteer has worked on a project but the work was not needed by SLQ, very disappointing for the volunteer and for us at SLQ)
Projects must be signed off by the Executive Manager or Director.
Projects are reviewed every 12 months.
Project Manager can appoint a supervisor to look after the volunteer.
Assessment to whether it is a volunteer project or not are:

Building Guides
Building tours are advertised in our What’s On and online.
Building tours are conducted for groups (although we will do for an individual)
There are a small group of volunteers who take the tours
If they are not available then one of us from the Visitor Experience team will take the tour
Volunteers are provided training by team members from each area on what we do
A script is provided This project is managed by the Volunteer coordinator and the Manager Visitor services
School Tours
- Tours are offered for school groups and can incorporate current exhibitions
Volunteers doing school groups are often people with an interest or background in working with young people, often ex-teachers
Volunteers are offered training annually
This project is managed by the learning team from our Regional Access and Public Libraries area
Music Hour
-Every Monday we have music hour in the Knowledge Walk from 9:30-10:15
-This program is coordinated by our Volunteer Coordinator Dave
This is very well received by visitors and the volunteers
Initially we ran on a Friday afternoon in the library, but got a number of complaints so decided to try another alternative. It has worked very well.
Some of our volunteers have been engaged by the library for paid events too
We are happy for the musicians to promote their cd’s etc. if they like
We don’t run the program in the quieter December – January period
We get some of the musicians from the Conservatorium of Music
We love it, the visitors love it, the musicians love it
Exhibition guides
-Volunteers staff the main gallery space during exhibition times
-Volunteers are provided training by their exhibition team
-They do the survey for the exhibition- getting visitor feedback
-They are there to help orientate people to the space
-Post exhibition we get the volunteers together for a thankyou and seek their feed back on the exhibition
Staff have a roster to go down twice per day to take with the volunteers
If volunteers are not available then staff work from the space
On weekends if volunteers don’t show then we leave the space unattended
BWF volunteers
-Additional to the BWF volunteers we also have volunteers to help out in the Festival bookshop
-Tasks include general directional enquiries, tidying shelves
-Project managed by the library bookshop
