Editor's Notes
We understand that our platform creates a world of people, pages, accounts etc. that can get really cumbersome to manage efficiently
- - > Especially when you’re trying to manage multiple ad accounts and brands with a large team.
Talk through Shared Logins - - Permissions, people leaving etc.
All of these touch points turn add up and create a lot of wasted time.
So just to put this conversation into perspective, the Business Manager tool is totally focused on creating a more efficient process to work with us and our tools.
Everything in One Place:
No longer do you need to keep logging out and into ad accounts to work on different pieces of the business. One interface means more time to focus on your job
Reducing friction with client – now your agency just asks once for all of your brands assets and you can give them out as you see fit.
Story: When I used to run ads for a major CPG brand there were times where one of our brands would have 15 ad accounts associated with their account. We would keep track of them but sometimes forget which one was running which campaign since the names of the emails were so similar. This would create a lot of wasted time as we jumped between all the various accounts searching for which one had spend againt it. Having one interface now will elimiate this wasted time as you will be able to see at a glance which accounts are spending, and have access to all of the accounts through one interface.
Work faster and better:
Ability to create additional ad accounts on the fly
Full change log on every ad account with employees names attached to changes
Knowing who is logging into an account and from where will allow us to stop unauthorized access and reduce wrongful account lockouts
STORY: There was a case where someone had linked all of the ad accounts for a major CPG brand to their personal email. They did this in order to check into reporting and quickly change between the accounts to get a high level idea of account activity. When Facebook noticed suspicious account activity on their login, every ad account associated with that login was shut down and the clients campaigns went dark. Business Manager eliminates the need to attach the clients accounts to your personal account which could put you in a compromising position.
Alternate Story – With a previous ad account, many people would log into it from many different locations. This was normal and how agencies were working with our grey accounts. However, our security system tracks logins and Ips and tries to determine suspicious behavior in order to ensure a brands assets aren't compromised. Of course you could imagine if someone got a hold of a brands ad account and was able to run million of dollars of ads against their credit line it would be a huge issue. This resulted in a lot of agencies getting locked out of their ad accounts, as the system could see simultaneous logins from someone running the account out of the NY office, and then someone also logging in from LA. With a normal user this would be highly suspicious, since we would assume 1 person cant login from across the country. Since the ad accounts weren't attached to real users it was extremely difficult to regain access immediately. The only fix to this was to relax the security on ad accounts, which lead to the other side of the problem where it was easier to compromise the accounts. Business manager eliminates the need for these fake logins, and ties you to your business. When Facebook knows what computers you access your ad account from and where you typically access it, we will be able to detect fraud quicker. Also since it is tied to you regaining access will be a lot easier in the event you are locked out.
Increased control:
No longer have to manage everyone’s login access or guess at who controlled what before they left. Now – can just remove someone from the business rather than changing all the passwords for every ad account at the agency.
Winning business is the same process – don’t have to worry that another agency has access to your new business assets.
STORY: When people have access to an ad account previously, they had the ability to add their personal Facebook account to gain access to ad account. This made things easier as employees were able to log into just 1 account and switch between all of their work accounts. However, when they left the agency more often then not, no one removed them from the business. This is a huge issue for the agencies as people moving throughout their competitors can track the work that is being done on their old brands. Business Manager eliminates this issue with 1 click.
Keep work separate:

This made things easier as employees were able to log into just 1 account and switch between all of their work accounts. However, when they left the agency more often then not, no one removed them from the business. This is a huge security issue for the agencies as people moving throughout their competitors can track the work that is being done on their old brands. Business manager eliminates this issue with 1 click.
Ex: There was a case where someone had linked all of the ad accounts for a major CPG brand to their personal email. They did this in order to check into reporting and quickly change between the accounts to get a high level idea of account activity. When Facebook noticed suspicious account activity on their login, every ad account associated with that login was shut down and the clients campaigns went dark. Business manager eliminates the need to attach the cleints accounts to your personal account which could put you in a compromising position.
Business Manager helps you manage your ad accounts, Pages, apps and permissions all in one place.
In this slide, we can see a breakout of the multiple benefits of Business Manager by role
Business admins have the ability to grant access, and clearly see who is working on a Page and an ad account.
They will also be able to quickly change permissions as needed.
All users will be using one secure login to see all the Pages & Ad accounts that are relevant to them, in one consolidated place.
In Business Manager, there are two new roles specific to the tool, 3 types of ad account roles and 5 types of Pages roles.
Business admin: Can control all aspects of Business Manager including modifying or deleting their Pages and ad accounts, and adding or removing people from the employee list
All other users: Can see all of the information in the business settings and be assigned roles by business admins, but can’t make any changes
Ad accounts have 3 types of roles.
1. Admins – Are people who would likely be setting up Business Manager for their business. They will be responsible for managing the permissions for the primary Page, they may be onboarding team members, giving people access to do their work. They have the permission level to manage all aspects of campaigns, including creating reports, viewing and editing billing, and assigning ad account roles. There can be multiple admins per page.
2. Advertisers - Can see and edit ads and set up ads using the payment method associated with the ad account
3. Analysts – Can view ad performance
For the Pages roles, there are 5 roles.
1. Page Manager - Can manage all aspects of the Page including sending messages and posting as the Page, creating ads, viewing insights and assigning Page roles
2. Page Editor - Can edit the Page, send messages and post as the Page, create ads, and view insights
3. Page Moderator - Can respond to and delete comments on the Page, send messages as the Page, create ads, and view insights
4. Page Advertiser - Can create ads for the Page and view insights. Note that a user needs to have both access to the Page and access to the ad account to advertise on behalf of that page.
5. Analyst - Can view insights
Now let’s walk through setting up Business Manager. The person who sets up Business Manager for their business needs to have access to the business’s primary Page. They will be responsible for managing the permissions for the primary Page, they may be onboarding team members, giving people access to do their work. Let’s get started.
An admin of the primary Page will start by going to: business.facebook.com/create
In the Business Manager creation flow, you’ll encounter these two introductory screens which will set context as you begin the process
As a part of the creation flow, we ask that you connect your business’s main Facebook Page to your Business Manager.
The main Page is the Page that best represents your business, it is how your employees and clients will recognize your business when it invites them to access an asset or requests access to an asset
If there is no main page present, you will be able to create a Page from the Business Manager set up module
Next you’ll be asked to provide your name and work email address. This step is critical to ensuring that all communication from your Business profile goes through your business email address.
From this point on, your business profile and personal profile on Facebook will be detached.
The Admin can add shared logins, Pages, ad accounts, apps and people
This is business settings page. Main page for business admin. Have people, ad accounts, pages, payment methods, etc.
Here you can click through to see what your business has access to.
Upload your shared logins, or ‘gray accounts’ and bring all ad accounts and Pages associated with those logins to Business Manager
Access will be granted at the same permission level that the gray login has
Pages will not be claimed to the Business Manager through this flow, only access will be granted. To claim the Page to the Business Manager go to the Pages tab and remove that specific Page, then re-add it and claim
All shared logins or ‘gray accounts’ will still function as normal
For Pages not connected to a shared login, navigate to the “Pages” tab. From here, the admin can:
--Request access to a Page the business works for, claim access to a Page that represents the business, or create a new Page
--A business will only CLAIM the Pages that represent their business. A 3rd party such as an agency or PMD should not claim Pages that represent their client’s business.
For ad accounts not connected to a shared login, navigate to the “Ad Accounts” tab. From here, an admin can:
--Create an ad account, request access to an ad account your business works for, claim ownership of an ad account that belongs to your business
After adding shared logins and having the Pages and ad accounts populated into Business Manager, the next step is to add people:
--Add multiple people at once and assign them to the Pages and ad accounts they need to work on
--People can be added as a “business admin” or a “business employee”, which gives different permission levels for Business Manager. The business can give out the same level of permission to the ad account and Page as the business has (if the asset is ‘owned’ by another business)
--From there, the Business Manager can also give permissions to Pages and ad accounts.
An admin can assign people to Pages and ad accounts at the right role to do their job
--The admin can see who has access to what all in one screen
--The admin can give people access to the ad accounts and Pages they need with the right permissions for their role, all with one click. This makes it easy and quick to scale up for a new client.

Remove someone who has left the business or agency and take all permissions away (no need to update shared login credentials each time a team member leaves)
As a reminder-
To advertise for a Page, a person needs to have access to both the Page AND the ad account(s) relevant for this page.
There is no inherent connection between pages and ad accounts, the link is the person.
Use labels to organize assets and make them easy to search
Labels allow a user to group assets together to make them easier to locate from the Business Summary page
The Agency tab is where a Business Manager manages relationships with its partners
The agency or PMD advertising on behalf of another business must make the request to access their Pages or ad accounts, that request will show up in the “Request” tab in business settings
Once the business who advertises for themselves accepts the request that relationship is represented in the Agency tab
Requests for access to a business’s Page appear in the Requests tab
Go to “business info” to view the business history to see any settings that have been changed
Track who makes changes to permissions of Pages, ad accounts and people
This allows for higher accountability for all actions taken in Business Settings, as actions can be tracked back to an individual identity
Now that we’ve reviewed the admin portion, let’s look at the experience for all people.
A non admin can only join Business Manager through the email
The business admin who invited them to join has already entered their work email for them and identified that as the best email contact for doing business
To get set up, the employee needs to enter the name as they would want it to appear to work colleagues
This new system starts with understanding who people are which requires the 1:1 login credential. We do this step only to verify identity on FB, but unlike the current system, Business Manager separates work activity and the personal experience on FB. This step is only done once for verification purposes.
Once set up with Business Manager all work related notifications will go to the employee’s work email, they will always see the context that they are working by the new business navigation bar, they won’t be able to accidentally post or act from the page, they won’t need to be friends with their coworkers and clients to do their work.
Here is the Business Manager home. From here: a user can search, filter or sort to manage their ad accounts and Pages.
The new business navigation bar provides the clarity of being in the business experience, with the work email associated with the Business Manager account consistently in the upper right.
Key metrics help keep track of what’s important for the Pages and ad accounts
For example, this shows the last spend date was a while ago, but you know that this account needs to be spending. From there, you can click to manage ads, use page, or power editor. Can go into there and do work as normally would.
Click on the business name at the top of the screen to go back to the Business Manager and access another ad account or Page
From Business Manager navigate to Ads Manager, Page Manager or Power Editor to complete day to day work. Login once and do everything needed
No need to keep track of changing shared login credentials for all the Pages and ad accounts worked on
At the Business Manager level, you can view ad accounts reporting to see a summary of all ad accounts from one place
From now on everyone will go to business.facebook.com to do their work
Now we’re going to walk through a few examples of how Business Manager is structured.
--(Animate 1) Let’s take a look at how an agency sets up Business Manager. In this example, the agency’s name is called B. Holt & Partners. They have a primary Page called B. Holt & Partners. This primary Page must be a published Page on Facebook in order to add authenticity that this is a real business. To set up a Business Manager, an admin of that primary Page claims the B. Holt & Partners page.
--(Animate 2) Once the Business Manager is set up with this primary Page, the agency can add additional Pages to have access to. In this case, their primary Page is reflective of their business in the real world. They also have access to 2 clients’ Pages. The clients’ names are Burger Command and Luxe Geneva. They do not own these Pages, but have access to those Pages.
--(Animate 3) Also in Business Manager, the agency has employees. These employees have varying levels of access to the Pages and ad accounts.
--(Animate 4) Finally, the Business Manager has ad accounts.
--(Animate 1) Employee #1 is a Business Admin of B. Holt’s Business Manager (red)
--(Animate 2) and has access to client Pages and ad accounts (orange)
--(Animate 1) Employee #3 advertises on behalf of client Burger Command and only has access to those assets
Employee #3 does not have access to the Luxe Geneva client
(Animate 1) In this case, we are looking at one of B. Holt & Partners’ clients, Burger Command. The advertiser who is advertising on behalf of their business is the only one who can claim ownership of the primary Page “Burger Command.” It is their business, and Business Manager is reflective of that. This is a published Page on Facebook to increase the authenticity that this is a legitimate business.
--(Animate 2) They have Pages including their primary Page, but also their California and Texas specific Pages.
--(Animate 3) Their employees have varying levels of access to the Pages and ad accounts in Business Manager.
--(Animate 4) They also have access to ad accounts.
--(Animate 5) They are also linked to their agency in this new setup.
(Animate 1) Employee #1 is a Business Admin of Burger Command’s Business Manager (red)
(Animate 2) and has access to Pages and ad accounts (orange)
(Animate 1) Employee #3 is a Page Manager for the California Page. Employee #3 does not have access to the Texas Page.
Animate 1) Employee #4 advertises through California ad account #1, and also needs access to the California Page as a Page Advertiser.
To take advantage of the Business Mapping API the apps owned by the business are brought into Business Manager and now have a Business Manager ID. App developers will then be able to identify which users are downloading their apps by using the Business Manager ID as the key to identify their users. This is relevant for businesses who own multiple apps and want to be able to see if users are downloading more than one of their apps.
In order for the Business Mapping to work all the apps must be owned under one Business Manager. So if, for example, the Gaming Company has a Business Manager set up and linked to their primary Facebook Page, all the apps will need to be owned by that Business Manager. If, on the marketing side, the Gaming Company decides to split it’s games into separate Business Managers the apps must still remain connect to the main Business Manager to share the unique user IDs.
Permissions and access to the apps are still managed at the ads dashboard and not through Business Manager.
