This letter summarizes the audio/visual services Dwayne Vines provided me during the week of
February 22-27, 2015 in Orlando while he was employed by Rentfusion.
I am a Program Director in the College of Engineering at the University of Wisconsin - Madison.
One of my job functions is to organize, teach and manage continuing engineering education
courses for practicing engineers. These courses are typically 3 to 5 days long and are open for
attendance to practicing engineers from the U.S. and throughout the world. I hold these courses
in Madison, WI. and also in various cities throughout the U.S.
In 2014, I made arrangements to hold one of these 5-day courses during the week of February
23-27, 2015 in Orlando, FL. I signed an agreement with the Orlando International Palms Hotel
and Convention center to hold the event there. The agreement specified the AV equipment I
needed – a wireless lavaliere microphone that connected to the event room’s PA system– and
which the hotel indicated they would provide me during the five days of my event.
I arrived at the hotel on Sunday, February 22, the day before my event was to begin. That
Sunday afternoon, the hotel staff told me they did not have the wireless microphone system that I
had requested. Further, hotel staff said they would not be able to provide the equipment via local
suppliers. They said they would only be able to supply a hand-held, corded microphone, which
was not satisfactory for my course instruction needs.
With an event beginning at 8:00 AM the following morning, and with expected attendance of 60
people in a 100’ X 50’ X 20’ ballroom space, I faced a very difficult AV situation.
My only option was to call local AV providers to see if they could help me with equipment in
time to meet my 8:00 AM event starting time the next day.
Several years before I had done AV business with Rentfusion in Orlando for some of my
courses. So I sent an e-mail to the address of the Rentfusion employee I had previously worked
with, stating my situation, the AV equipment I needed, and the dates it was needed.
Unfortunately, that person was no longer a Rentfusion employee. Fortunately, another
Rentfusion employee was monitoring that person’s e-mail on that Sunday afternoon.
Most fortunately, that employee informed Dwayne Vines of my request.
Dwayne promptly called my cell phone and left a message when his call did not immediately
ring my cell. When I did not respond to his message because I had not yet received it, Wayne
called me again about 20 minutes later to follow up. This was the most auspicious event that
happened to me that Sunday, for it started the process through which Dwayne Vines rescued me
from the unhappy circumstances that awaited should I not have the AV equipment I needed the
next morning.
Dwayne talked with me to confirm the AV equipment I needed, and when and where I needed it.
We concluded our call with Dwayne saying he needed to call a supervisor before he could
confirm he could help me, and that he would call me right back. Within 15 minutes Dwayne
called back saying he had permission to provide the equipment and needed only my credit card
and drivers license in order for me to make payment.
Dwayne offered to bring and set up the AV equipment I needed that Sunday evening. Dwayne
said he was an ex-military person, and he wanted to make the AV installation Sunday evening to
make sure everything would be working as needed on Monday morning. This was to my great
relief, as I had expected that no one would bring the equipment until well after my course was to
have started on Monday morning.
Dwayne arrived at the hotel convention center that Sunday evening at the time we had agreed.
He proceeded to set up the mike and mixer to match the inputs to the house PA system. This
took a series of adjustments until levels were set correctly for good sound quality. Dwayne was
very invested in making sure the equipment worked as I needed and would remain in adjustment
during the week that I would be renting it.
I signed the rental agreement payment papers, and Dwayne said I would receive an e-mail
invoice. After he and I set a Friday date and time when he could retrieve the equipment, Dwayne
gave me his cell number if I needed to contact him, and he left. But he did not leave until he
knew I was satisfied that the equipment functioned as I needed it to.
The equipment worked flawlessly.
On Friday Dwayne returned at our agreed upon time to retrieve the equipment.
From the time I first spoke to Dwayne through the time he picked up the equipment, he was very
helpful, pleasant, technically competent, and dedicated to doing his job well. I was so very
pleased to have someone help me who is as dedicated to doing his job well as is Dwayne. Any
organization or business should be pleased to have someone with those attributes represent them.
