Exercise # 1
INFORMATION RESEARCHER
A. What are the major points in the articles you see above?
Email is much less formal than a written letter. Emails are usually short and concise. Don't send an email you
wouldn't want anyone else to read, it's too easy to forward. Make it easy to read, combine Upper & lowercase, use
white space and legible font. Don't send without checking for mistakes.

B. Why are these articles important? Write 5 major points in the articles that are important. Write in your own
words.
The reason why those words are important is that those have been mentioned in several times. And I think it will
not be a good business e-mail written without following those rules. 1. An e-mail is usually not so formal as a
litter. That means you don't need to care much about which word you should use to call the receiver. 2. An e-mail
is easier to be forwarded than a letter, so writing much personal information is not being suggested. 3. It is a good
idea to make an e-mail shorter and more obvious. 4. It will decrease the mistakes if you check the e-mails before
you send it. 5. You'd better not let emotions or offensive words detract from your message, because it's not polite.

C. Explain 5 reasons why one should read the above articles when preparing to write an important business e-mail
on a any topic? Write in your own words.
Reason1: An e-mail is often sent to businessman. Reason2: An e-mail is easy to be forwarded. Reason3: An e-mail
always has more mistakes than a letter. Reason4: Maybe the receiver is always busy. Reason5: Maybe you don't
know who is the receiver.
D. Write a paragraph explaining the common guidelines that you find in all the three articles above. Write in your
own words.
It perhaps makes you nervous to write an important e-mail. But actually it will be a easy job, if you follow those
rolls above. In my opinion, the most important one is no mistakes. Because a small mistake even will give the
receiver a bad image. So you must check the e-mail before you send it. And then, a short and obvious e-mail is a
good idea. Think about it if you were a receiver, and you are always busy so that you have no enough time to a
long complicated e-mail -- I think no one would like to. So please make the e-mail short and easy to understand if
you want to give the receiver a good image.
