About Crabb's Kalamunda IGA
Running a supermarket is in the blood for
Bruce Harwood, Owner/Manager of Crabb’s
Kalamunda IGA, a franchise business
which has been in his family for 76 years.
With the assistance of Administration
Manager, Margaret Knight, the successful
business now employs 72 staff to cover the
5am to midnight shifts, seven days a week.
Streamlining the Business
As far as administration goes, there is a lot
to do at the IGA with regard to rostering,
scheduling, monitoring of staff movements
and payroll processing. For the last 10 years,
the business had been using ADP Payline
for their payroll processing and were very
happy with the service. However, the internal
manual timesheet process in place had
lots of shortcomings. As Margaret explains,
“staff were filling out timesheets in advance
and then when their actual work hours
changed, they would forget to amend the
timesheet – it means you are paying extra
hours that aren’t actually being worked.”
Margaret had been investigating the various
time clock options for quite a while when
ADP introduced ezLaborManager, a time
and attendance management system that
boasted a unique ‘punch-in to payslip’
solution. After further investigation, it was
decided that ezLaborManager would be
piloted. “Other providers said that they could
link into Payline, but with a company like
ADP I would rather use their recommended
time clock,” Margaret said.
Old System vs ezLaborManager®
When asked how ezLaborManager
compared to the old system, Margaret
states, “it has improved our whole payroll
processing 100 percent. It has made every
aspect of the payroll process much easier.
Accuracy of time reporting is the main
reason we changed. Basically, saving time in
the actual processing of pays and
for scheduling.”

“The main benefits of using
ezLaborManager are ease of operation, ease
of processing, clarity of information. Also,
at any time throughout the day or night,
because it is internet based, I can go in and
have a look and see what people have done
as far as time recording is concerned.”
Time theft – “Basically this has shown
us that we were paying people for time
they weren’t working...especially because
we operate over such widespread hours,
obviously Bruce and myself can’t be there
the whole time, ezLaborManager is the
perfect solution. Margaret estimated that
over the last month the business has
probably saved around $5,000 just from
accurate time reporting.”*
Time saved increases productivity –
“We have reduced our processing time on
our payroll by at least four hours per week,”
says Margaret. “It was taking us six hours to
process our payroll, now it’s taking us two
hours – in other words our administration
time has been cut by two thirds.”*

Scheduling – Because of the complexity
of rostering at the IGA with some staff
working in multidepartments, rosters are
currently done in excel spreadsheets, but
further development may eventually see
this incorporated into the ezLaborManager
scheduling function. “However another type
of business, like a warehouse or something
like that, it would probably be brilliant for
them because they would be able to use the
scheduler on the system,”
Margaret commented.“
Less overtime – Margaret confirmed that
using ezLaborManager has resulted in less
overtime being paid. The monitoring and
reporting functions available in the system,
allows for more efficient use of resources
by better utilising the staff that have not yet
worked their maximum hours.

According to Margaret, ezLaborManager
represents good value for money.

from other suppliers, it is comparative to
what is out there in the market. And the fact
that it is an ADP product certainly made it
effective for us, but I would have considered
it any way purely and simply for what it
saves you at the end of the day.”

Error reduction – Margaret estimates
that there has been a saving of around 10
percent by switching from staff manually
filling out timesheets to the automated
biometric time clock* (which uses a hand
scanner that converts each read to a
mathematical equation that gives each
employee a ‘hand score’ to confirm identity)
Easier processes – “Downloading the
timesheet is just so simple, in fact the whole
payroll process is much easier.” Margaret
continued by saying that there were further
enhancements to the ezLaborManager
website including the introduction of drop
down menus that made the search functions
much quicker and easier to use
Better reporting – Margaret commented
that the reporting tool was easy to use, “it’s
only a matter of setting the parameters of
what you want and you can customise your
reports to suit your business.”
Easier for employees – “I guess it’s
streamlining efficiencies, the automated
hand reader means that staff don’t have to
fill out a timesheet – it’s very easy to just
come in and clock in.”
Tracking data – ezLaborManager has
allowed Margaret and Bruce to gain a better
insight into the business by analysing the
number of employees and what hours they
have worked along with a break down by
department. Looking ahead, “in the future
we are hoping to track results that will
enable us to compare each department
by the cost of goods to see where our
profitability lies and where we could do
better,” stated Margaret.
