Department: Inbound Reservation (4, English Speaking Guide and Asian Market) Supervisor: Krit Nipamanee (Mr) Senior Reservation Supervisor Duration (Month): 2 April – 25 May 2012 (The first week: 2 April- 8 April) Duration of Working Hours: 8.30 – 17.30 Hrs.Activities and Work assignments New Staff Orientation The HR manager and her staff introduced the company background and system to all new staff includes the internship students and the new employees of the company. The HR manager also allowed all new staffs to know about company’s regulations and probations, organization chart, annual evaluation and staff activities of each year. The company staff also let all new company employees and the internship students to introduce ourselves to get to know each other. Work Orientation The HR department staff introduced each department of the company and the staff of each department to the internship students which include all departments of Exotissimo Travel Thailand and Exotissimo Travel Group.
The HR manager let me to study and read about the Travel Magazine of the company which includes the magazine of 2011 and 2012. The HR manager introduced my supervisor to me and then the supervisor explained about the scope of my work.Work Training A supervisor assigned me to study about the tour packages of the company, any tariff costs such as hotel, transportation and tour package tariff costs. A supervisor assigned me to study about the Microsoft office outlook 2007 which is the Microsoft office that uses to contact about any business concerns and stuffs. A supervisor assigned me to study check about the transfer and tour rates from the Microsoft excel files that show about every concerns rates of tour package and tourism services. A supervisor assigned me to contact Asian Oasis company which is a cruise company to ask about the Suwan Macha operate days. A supervisor explained me about Tourplan program that is the program uses to operate and book the tour packages. The program is used worldwide to operate the tour package especially, in European countries. Then the supervisor assigned me to create the new booking by using the Tourplan program. A supervisor explained me how to summaries the reservation then he assigned me to summarize the reservation which includes the tour package, hotel, flight, train and transfer reservations. A supervisor assigned me to contact Baan Laanta Resort about the available rooms in the period of 12-17 Dec, 2012. A supervisor assigned me to check about the correction of flight, train and hotel reservation. A supervisor assigned me to contact Fourseason Koh Samui to ask about the available room type that can see the best view of the sea and beach.
Benefits or Experiences First of all, I would like to say that this is my first time to work with the tour company and it’s one of the best opportunities in my life that I can work with such a high standard and popular company like this. After the HR manager of the company presented about the background, organization chart, system of the company I experienced a lots of knowledge and ideas of how the tour company launched their work. I could practice and improved myself of how to greet new people and how to live with different kinds of people in my workplace. Moreover, the environment of the company makes me have intention to work there when I graduate. I got familiar and know about how the company work and to be successful like today after, I studied about the Travel magazine and tour packages of the company, any tariff costs such as hotel, transportation and tour package tariff costs. I got to know about how the company contact staff contact to each other and to other business related persons after, I studied about the Microsoft office outlook 2007 which is the Microsoft office that uses to contact about any business concerns and stuffs. I could practice and improved my communication skills after, I contacted Asian Oasis company which is a cruise company to ask about the Suwan Macha operate days, Baan Laanta Resort about the available rooms and Fourseason Koh Samui to ask about the available room type. I experienced and learnt about Tourplan program and I got to know about how it works. I got to know about how to summaries the reservation then he assigned me to summarize the reservation which includes the tour package, hotel, flight, train and transfer reservations.Problems or Obstacles to the work At first, I didn’t really know that how to act myself appropriately with the company environment, organization and staff so, I need to adjust and adapt myself a lot with the new environment and work with new people.
I never use the Microsoft outlook before so, I really didn’t know how it works. Therefore, I need to study a lot about how it works and also have to learn how to write the business letter shortly, properly and promptly. I didn’t really know of how to contact with any tourism supplier such as the Cruise Company, hotels and resorts appropriately and correctly because I never contact with the tourism supplier before. Therefore, I need to practice more and to improve my communication skills. Moreover, there was some problem when I contacted with the cruise company that I forgot to ask about the information provider so, I missed the name of who giving me the information because when there is some mistake then I can use the name of information provider as the referenced person. When I study and use the Tourplan program to create the new booking, then I could not remember the whole processes and there was some mistake because the Tourplan program is pretty complicated so, I need to practice a lot and need to learn more about the program. When I had to summarize about the reservation then I was not confident to use my own word and the initial to summarize the reservation. I still need to learn a lot because this kind of work needs the correct, accurate and prompt skills to work for.Student’s opinion My supervisor is very professional and he knows how to explain each task to me but I think that he need to assign me more works because I think that I got less work than I expect to get for the first week. I always get bored when I have nothing to do. I would like to learn and experience new things as much as I can and no matter how hard I have to work because it’s all about the experiences that can directly enhance my future career. For the first week, went to the office before work hour approximately 1 hour because I thought that I am an employee of the company and would like to work for the company to get more successfully. Sometimes, when I assigned to work in order to check about the available room, operate days of tourism suppliers and summarize about reservations of the company then I was under the stressful because I needed to work correctly, accurately, promptly and appropriately. Therefore, I got a little bit serious times, especially when my supervisor told me that you have to work carefully and correctly because this
company is owned by the French man. However, I never be afraid of anything. I thinkthat my supervisor should explain and teach me more how to work for somecomplicated tasks.
