TWP is gearing up for our big weekend! Our annual celebration will take place
Friday, November 4th & Saturday, November 5th.

Each year a gala is held to raise funds for the continued work of TWP to reach
out and make a difference in the lives of teens. The 2011 ―Imagine Me‖
campaign will combine the 2011 TWP Gala with Al Roker with the 14th Annual
Teen Event: Imagine Me- A Theatrical Experience! The advocacy work of
Teens With a Purpose (TWP), our local youth development non-profit agency,
has captured the attention—and wholehearted support—of media personality Al
Roker of NBC’s Today Show. Roker is a board member for the organization and Presenting Sponsor
he will take part in the ―Imagine Me” weekend.

So today, TWP would like to invite you to join us along with Warren Harris,
Director of Economic Development, Virginia Beach; Marcus Jones, City Manager,
City of Norfolk; Dr. Kirk Houston, Sr., Chairman for Norfolk School Board and
Pastor for Gethsemane Community Church; Dr. James G. Merrill Media Sponsor
Superintendent and a host of other TWP guest and supporters, on Friday,
November 4th. at the Westin Virginia Beach Town Center for the 2011 TWP Gala
with Al Roker. It will be followed by our annual teen event, being held at The

A special commemorative magazine will be presented to each guest during 2011 TWP Gala
with Al Roker on November 4, 2011 and during the 14th Annual Teen Event: Imagine Me- A
Theatrical Experience on November 5, 2011. The commemorative magazine will feature
information about Teens With a Purpose, Youth & Adult Move Makers in our community,

support Teens With a Purpose and much more.

Commemorative Magazine Submission Guidelines

FOR BIOS / ARTICLES:

All bios and articles should be submitted in one of the following acceptable file types:
 Microsoft Word
 ASCII Text (e.g. - a Notepad .txt file),
 RichText format (.rtf)
 Email
Bios and articles should be 800 words or less. Any documents with higher word counts are
subject to additional editing. Although we will do our best to catch spelling and grammatical
errors before going to press, ultimately everyone is responsible for editing their own content.
These files should not have any special formatting, margin settings or fancy fonts since all of that
will be stripped out before being placed in the journal.

FOR BIO PHOTOS:

To insure that each featured bio photo is presented with the best quality in the journal, we need
all promo photos to be:
 High resolution (300dpi or better)
 Smallest dimension should be no less than 2.5‖ x 3‖ (750 x 900pixels)
 JPEG or PNG.
Image files should be sent: Michelle Torres (twpmichelle@gmail.com). Some companies have special
web pages set up to provide links to high res photos and bios for their people. If your bio (and photo) is on
such a site, please provide a link to it along with any required login information.

FOR LOGOS:

To insure that your company's brand is presented with the best quality in all of the printed
materials, we need a high resolution copy of your logo.
If you're sending a JPEG or PNG, please send a high resolution version (300dpi or better),
preferably CMYK color format. Preferred file types include print-ready vector formats such as
Adobe Illustrator AI, EPS, FH, SVG, or PDF with all fonts converted to outlines.
Some companies have Graphic Style Guides (also referred to Brand Bibles) or special web pages
set up to provide links to logos and other company brand-related information. If your company
has such a site, please provide a link to it along with any required login instructions.
If this is something your department doesn't handle, most of the time your Marketing
Department or Ad Agency will be able to put us in the right direction.

FOR ADVERTISEMENTS:

To insure that each sponsor advertisement is presented with the best quality in the journal, we
require that all ad submissions adhere to the following:

ACCEPTABLE FILE TYPES

 Acrobat "PDF": PDF files are the best way to make sure your ad comes out the way you
expect. Please make sure files are in CMYK color format, all fonts embedded, and all
images are at least 300 dpi. The best way to make sure your files will be properly
formatted is by using the PRESS preset within Distiller or the PDF maker.
 PDF is the preferred format for ad submission. However, if you think there will ever be a
need to change the ad in the future on our end, you might want to send collected Quark
or InDesign files instead.
 Freehand: Freehand files should be saved as Freehand EPS with fonts outlined.
(converted to curves or paths) Send all images used with the file as well.
 Illustrator: Save files as Illustrator EPS. Send along the image files used in the ad.
Outline all fonts. Convert all colors/image mode to CMYK. This means there should not
be any Pantone or color names. Do not include crop marks unless it’s a full page ad. In
page setup, make sure the box next to "Use printer’s default screen" is checked. It is also
important for the "output resolution" to be the default of 800. Lowering this number will
cause your smooth vector curves to become jagged.
 InDesign: We will accept Adobe InDesign files that are in CMYK color mode (no spot
colors), all linked image files are included at 300 dpi or higher, and all fonts are included
with your files. It would be best to collect your InDesign documents before sending to
make sure we will have everything needed.
 Photoshop: PSD and TIF formats are accepted providing that the size, proportions and
resolution are correct. JPG is not a good choice for print production because of the noise
often found in the image after compression. GIF format is not a good choice either for
print purposes - it only has 256 colors in it and is usually a web graphic, which is too
lowres (72 dpi/ppi). Images (example: photos) should be 300 dpi (dots per inch) or ppi at
the size they will be used. A 2" x 2" 300 dpi photo enlarged 200% in another program will
only be 150 dpi, which is too low-res and will print poorly. Lineart/logos/text should be
600 dpi (or higher) or sent at the size they will be used (i.e. - 100%).
 QuarkXPress: Be sure to include all fonts and images used in the file. Please do not use
"font styles" in Quark, as they are unpredictable when printed. What this means, is that if
you are using Helvetica Bold, select "Helvetica Bold" as your font, don’t select "Helvetica"
and the click on the "B" key in the menu. Make sure all colors in Quark are CMYK and
separated - no spot colors. Do not send Quark EPS files, send default QXP only. It would
be best to collect your Quark documents before sending to make sure we will have
everything needed.

With the exception of PDF files, all advertisements should also include a JPEG output as proof of
what the ad should look like in print. This is to insure that what we receive here matches the
design you sent us.


COMPRESSED ARCHIVE FILES:

 Stuffit: We can expand Stuffit compressed files. Whatever files you have compressed are
still subject to the guidelines of the rest of this sheet. It would be a good idea to tell us
what file types are compressed inside the file, and you will need to send your fonts and
placed images.
 Zip: We can expand Zip files. We will not open .EXE files. Whatever files you have
 compressed are still subject to the guidelines of the rest of this sheet.

UNACCEPTABLE FILE TYPES:

 Publisher: We do not accept Microsoft Publisher files. Your best option is to create a high
resolution, press ready PDF version of your layout. The best way to do this is with Adobe
Acrobat Professional using the Press preset.
 Excel: We do not accept Microsoft Excel files. Please send layout as press ready PDF.
 Pagemaker: We do not accept Adobe Pagemaker files. Please send layout as press ready
PDF.
 Powerpoint: We do not accept Microsoft PowerPoint files. Please send layout as press
ready PDF.
 Word or Wordperfect: We cannot use Microsoft Word or Wordperfect files, except if it
contains the text in an advertisement we are creating for you.
Although we will do our best to catch spelling and grammatical errors before going to press,
ultimately everyone is responsible for editing their own content.

Deadlines:
Digital files must be received by the deadline date of October 14th. If copy or negatives for contracted
insertions have not been received prior to press time, TWP may elect to submit available materials and
previously-run advertisements in their place. Cancellations for contracted insertions not accepted unless
received at least 60 days prior to cover date in writing. Cover date is 1st of the month stated on
the issue and in the advertising agreement unless otherwise specified. Cancelled insertions are
subject to short-rate charges.
