Session Objectives
By the end of this session, learners should be able to;
1) Explain participant recruitment and participant retention in
relation to research.
2) Explain the factors to consider in participant recruitment
3) Describe strategies and methods used in participant recruitment
and retention.
4) Explain the process of participant recruitment
5) Explain the challenges affecting participant recruitment and
retention.
Introduction
What is research? And Who is a participant in research?
Research is the systematic investigation into and study of
materials and sources in order to establish facts and reach
new conclusions.
A research participant, also called a human subject, is a person
who voluntarily participates in human subject research after
giving informed consent to be the subject of the research.
A person on whom an investigator conducts research
1. Participant Recruitment in Research
What is participant recruitment?
The process by which respondents/participants are screened and
selected against certain criteria to be part of subjects in a research study.
• This process helps the investigator to obtain his subjects for research.
• It is important to understand the research proposal in order to make sure
that the right type and number of participants are recruited.
• Some studies may recruit few while other studies recruit very many
participants. For example, a study on the current presidents of East
Africa has few expected participants but a study on TV coverage in
East Africa will involve very many participants.
Factors to consider when recruiting
participants
Study protocol (study objectives, study population, target population)
E.g. The study may be aiming at only pregnant women, staying in Kamwokya.
Inclusion and exclusion criteria.
Sampling method and sample size needed.
Culture and language of the study population.
Ethical decision hierarchy for example in the case of minors (children),
and incompetent adults where recruitment is done through parents and
legal guardian.
Study design. For example, we can recruit from patient records and then
look up the patients.
The Recruitment PROCESS
1. Identify the study and target
individuals.
2. Explain to them; give details about
the research and obtain their
consent.
3. Examine; ensure that all ethical
and legal criteria is followed to
make the participant eligible
4. Enroll; Eligible, appropriately
informed individual agreeing to
participate in the study
Challenges faced during participant Recruitment
1. Age and gender challenges
2. Health related problems
3. Participant misinterpretation/misunderstanding of the study
4. Undue influence and coercion
5. Limited logistics
6. Ethical issues on vulnerable groups
7. Cultural and language difference
Recruitment Methods and
Strategies
1. Traditional methods like letters, flyers, and post cards.
2. Mass media campaigns like through radio and TV.
3. Community outreaches
4. Exhibition stalls like meat free stalls to recruit vegetarians
5. Healthcare referral pathways like referrals from other health
care professionals. Like cancer patients referred for trial
treatment.
6. Online strategies like targeted social media campaigns and
search engine analysis
7. Snowball sampling
8. Face to face
9. Phone calls, texts and emails
10. Registries and record offices
11. Through existing research studies
2. Participant Retention in Research
Participant retention is;
a) The strategies and tactics designed and used to
keep participants enrolled in a research project.
b) The completion of subject’s visits and procedures
as specified in a study protocol.
Recruiting participants for a research study is, of
course vital, but it is also equally important to retain or
maintain participants throughout this process. It is the
ability of a research study to maintain participant
attendance and engagement until the study is
completed.
Participant Retention Strategies
Strategy 1; Communication
• Maintain frequent communication and contact with participants
before, during, and after the study ends.
• Keep their contact information up-to-date.
• Use a consistent contact number and contact person for the
research study
• Study branding like consistent logo and name.
• Use routine reminder messages and phone calls
• Physical visits like home visits
Participant Retention Strategies
Strategy 2; Convenience
• Participation should be made as easy as possible
• Provide simple-to-read descriptions of the study
• Emphasize study benefits to participants
• Designing clear follow up plans with schedules
• Team training to keep all research staff knowledgeable on the
study procedures and timelines.
Participant Retention Strategies
Strategy 3;Appreciation
• Remind participants of your appreciation for their involvement,
to show that they are valued.
• Incentives such as transport refund, and lunch on the day of
follow up.
• Give them feedback on your research findings.
