Welcome to Instarea, the company which has created, developed and marketed the unique
Market Locator data monetization solution for targeted mobile marketing and population
analytics and has since also started working on GPU driven technology and IoT powered
people-less concepts. We are genuinely happy to have you on board!
THE INSTAREA PASSION STATEMENT & VALUES & STRATEGY
We strive to make the world a better place through data as well as automation and we plan to
have fun doing so.
We have a partnership approach to business & work. You may not know, but our original
company name was Partnering. This is because we believe in a partnership relationship in the
business world - we deliver e.g. our Market Locator solution to telcos quite often on a revenue
share model. It is thus in our utmost interest to deliver our projects on the highest possible
quality. Same goes for the work attitude = we work together as partners and everyone brings
their best to the table. To best understand our products it is essential to use them as well,
spend time exploring our products & services, share with friends and try to find ways in which
they can help you.
Slovakia was never our single target market. We are aiming for the global market and aim to
enter multiple new countries each year. You have joined a global company, with proud roots

#smartdata when they make decisions, so via education of the public about hard-data and
data-science are essential in everyday life in a popular way, we try to achieve #SmartCity,

#SmartDataHub at Instarea where both academic and professional talents (yes, that’s YOU),
high-end technology and bigdata meet and serve this higher goal (read more here).

The culture? The following should define each & every one of us (& thus you as well). I am part
of a self-motivated and positive group of people. I strive to improve the world around me,
starting with improving Slovakia through our data analytics, insights & automation. I look for
any area which can use improvement in the company, tool or world around me and am
proactive in implementing these improvements. I proactively look for impactful work or if I
am lacking work I ask for more / new challenges. I never stop educating myself, spend some
of my free time trying new ideas, reading relevant books, taking online courses which Instarea
is happy to provide me. I am positive & cherish creative thinking. Instarea is still a small
company and the work of every single one of us has a direct impact on the way this company

THE OFFICE 365 BUSINESS SUITE
OUTLOOK
We the Microsoft Business Suite and your email is available at outlook.com. From there you
can switch to other applications available in the Office 365 tool stack, e.g. Teams, SharePoint.
Shared Mailboxes
If you a member of shared mailbox, and using application Outlook, shared mailbox has been
mapping automatically. If using web based client (https://outlook.office.com/owa), you must
this shared mailbox map manually:
Select your shared mailbox and click Add:
MS TEAMS
To limit the amount of the emails we must exchange we use MS Teams (on specific projects
we can alternatively also use Slack if it is preferred by client) to discuss and announce various
topics / news. There are several Teams available depending on what role you are working the
general team where all people are present is called IS. AllStars (Instarea is All Stars). This
team should be used to report companywide communication which is of interest for anyone
and is not project specific. There are following key channels you should be aware of and use
them regularly:
▪ My Day - Once a day each person is asked to summarize in the My Day channel what
they did on that given day, what they plan on doing the next day and if anything is
blocking them. Please report this in short and concise sentences every work day
between 4pm and 6pm. People should get awareness what is being done by the
company and different people, what was achieved, what is problem, you should share
screenshots from development or anything what can be interesting for others. Please
also read through what other colleagues are working on so you have a good idea of life
at the company.
▪ Not In Office – Also, if you plan to be OOO and this has been approved by your line
manager, please let everyone know in the #NotInOffice channel and if this OOO is
more than a couple hours, then don’t forget to set your email OOO – see an example
bellow. If you are late for work e.g. not coming latest by 9am please send info to
#NotInOffice, if you need to leave sooner than 5pm please do the same.
▪ Announcements – anything to be shared with whole company e.g. new person joining
company, company achievements…
▪ Free time – share tips for travelling, sports, eating, after work beers, travel reports or
any nice pictures from your free time activities.
▪ Office – if you are missing something in office (coffee, equipment, paper towels etc.)
ask for it here
▪ Also explore the other channels. For those channels in which you would like to receive
notifications click on the 3 dots next to the name of the channel (either in the left
navigation pane, or nex to the channel name on the top of the page) & click on “Follow
this channel”. Otherwise you will only be notified if someone tags you in a message.
You can find in Teams other specific teams, if you are not sure how to use them please ask
your manager
▪ Career – if you are part of hiring team
▪ TellStory – if you are part of TellStory team
▪ Qikk.ly – if you are part of the GPU project team

Teams is also your central point to access other information relevant for given task – if you are
for example member of Market Locator Support team you will find all required information in
Teams Tabs. These tabs are visible when you open a channel.
▪ Wiki – Wikipedia pages with needed know-how to resolve specific problems. Also, best
practice is to document anything of a repetitive nature, which you or your colleagues
may need in the future in the appropriate wiki.
▪ Files – link to OneDrive shared folder containing all required files, here you should also
store all related files. Please always store the files on the appropriate channel / folder
so people can easily find them
▪ Trello – link to Trello board containing task related to given channel
▪ There can be others such as PowerBI reports, or link to MS Azure DevOps depending
on the channel
ONE DRIVE
Please store all your work files on OneDrive to prevent their loss and keep data sharing in
control – this is absolutely mandatory for everyone – NO-ONE STORES DATA ON LOCAL
COMPUTER FILES SPACE!
How to map folders to your computer
Download the OneDrive app and check with the infrastructure team to make sure you have
access to the relevant folders. This is absolutely mandatory. Please go to appropriate Team in
MS Teams open any of the channels available, click on Files, tab, click on Sharepoint link:
● It will open share point page,
● there please go to top level folder usually called Documents and
● click on the Sync icon,
● it will open popup in OneDrive app asking you if you want to sync with local files
system.
The folders will appear in your users folder on this and you can work with the folders as with
any other local folder structure. If you want to sync on other location like disk D: pls ask IT
Admin to configure this for you.
Sharing files outside of organization
When sharing files outside of your organization please use if possible the Public share folder
https://instarea.sharepoint.com/sites/public/Zdielane%20dokumenty/Forms/AllItems.aspx so
we keep all externally shared documents in one place.
You can also share to external subjects from some of the other teams such as IoT, TellStory,
Market Locator but please
▪ use this option always only for single files and always use the link expiry date max. 30
days (the shorter the better) so people lose access to the documents after some time
▪ use this option only for people whom you know or work on the project together or are
part of Adastra Group companies
TARGET PROCESS – DEV PLANNING AND TIME TRACKING
For our agile software development planning we use Target Process. This is also where we
report work time, vacations etc. You can find Target Process at instarea.tpondemand.com
DEV PLANNING
We run in bi-weekly sprints and a roughly 1,5 to 3 months release cycle. At the end of each
week we meet for a weekly dev planning meeting, where everyone demo’s their prior week’s
work and together we plan the load for the upcoming week. Everyone is asked before the
meeting to report in MS Teams Development channel their progress, ideally showing
animated GIFs or Videos with what was implemented. This is helping both you to prepare for
the meeting and also to others in company to see what is being cooked by the Development
😊.
TIME REPORTING
Make sure to report time spent on the user-stories you are working on. If you are missing a
user-story / task, just ask your Product Manager who will set one up for you. For reporting
vacation time, holidays, bench time etc. head over to the “IS. Internal” project. It’s important to
properly report all time spend on the different activities, always report to specific user-story
related to activity your worked on e.g. “PowerBI – Campaign report” spend 4 hrs. Always
provide specific description to time entry, don’t use general descriptions like “working – 8hrs”!
You can report time either by clicking the timesheet button on top right hand corner
Or you can right click on any user-story, click “add” and select time entry
Time should be reported ongoingly meaning when you work on something or latest by
end of each day, please stick to this process.
On some projects such as STCS we are paid for the support so it’s important to report the
hours and market them as to be billed to client – please be sure you do this otherwise we are
loosing money.
It is mandatory for everyone to have time logged at the end of the month, as this is
an input for your salary calculation – if you are missing half of the hours you will only
get half of the salary!
TESTING & BUG REPORTING
To submit a bug / idea into the dev plan, please send a detailed description of the issue with
screenshots to the email address support@instarea.com. Make sure you include in the
subject the name of the project (e.g. Market Locator) so that the issue is assigned correctly.
Target Process screen capture is a nice plugin from Chrome which allows you to capture
your screen, add drawings / comments onto the screenshot and create a bug from this or
attach to an existing one. Just be careful to always select “bug”, then the correct project and
write a properly detailed description of your issue.
CLOCKIFY (WAS TOOGL BEFORE) – TIME TRACKING FOR NON IT DEV
For time tracking of duration of each assignments on which mainly business team members
was working. Mandatory to report till end of each month due to salary
TRELLO FOR BUSINESS / PROJECT TASK MANAGEMENT
For the tracking of tasks especially project related we use Trello. You will be added to the
relevant teams by your team manager and they will explain how to use that given board.
PIPEDRIVE – SALES MANAGEMENT AND DEAL TRACKING
Details on how to use PipeDrive will be provided. Make sure to follow these basic principles:
● Gather your leads and make sure to add all relevant information (contact, position,
important info about company needs)
● Don’t forget to add an estimated deal value
● Once contacted move the lead through the pipeline, then to “Needs identified”
● When sending emails to the client add the PipeDrive unique email into the BCC so that
you can track the discussion with the client
● During a phone call take notes in PipeDrive
We have separate tracking for new revenue (payments of clients) and for the spending of
credits (sending campaigns, purchasing data layers etc.).
ADALYTICS – CUSTOMER BEHAVIOR TRACKING AND COMMUNICATION
We use Adalytics (Powered by Exponea) to understand how our customers in Market Locator
behave and to be able to communicate with them (newsletters and promotions). Should you
have a good marketing / communication idea let us know and we can execute a targeted
email campaign.
OFFICE RULES
What is ready for you
● Coffee – after making a cappuccino please remember to clean the milk tray & put the
milk into the fridge
● Shower – bring your own towel :)
● Fridge – weekly cleaning
● Meeting rooms – feel free to use the meeting rooms for phone calls to limit
disturbance for the rest of the team
● Terrace – the terrace is at your disposal, use it and enjoy it :) The entrance is next to
the reception
● Trash - we recycle and are sensitive about the topic, so learn to recycle! It’s no rocket
science ;) The basics start with: Reduce, Reuse, Recycle. Talk to us, we will explain if any
questions. Under the Instarea Green Initiative we strive to reduce our impact on the
environment and to educate as many people as possible along the way.
● Bio trash - get to know our Instarea worm family in the brown container on the terrace
;) They are here to eat your biodegradable trash. Again - we will explain all there is to
know & if you want to have your own vermicomposter at home Instarea will help.
● Red Bull - in the lounge at your disposal, be thoughtful of other colleagues & your
health = consume in reasonable amounts
● And much more...
Daily / weekly / monthly tasks & events
● At the end of the day fill out the “My Day” channel in IS. AllStars team where you should
briefly share with the rest of the crew what you worked on, what you will be working
on the next day, if anything is blocking you and whether or not you plan a day off the
following day
● During work don’t forget to add time to the Target Process user stories, bugs or in your
designated time tracking tool. For vacation days, sick days, bench time, company
events etc. there are special user stories in the project “Internal”
● Once a week the dev team will have a demo session with Product Manager where they
will share what was done the previous week and together will plan the tasks for the
upcoming week (demo sessions are scheduled by Product Managers and if you are
part of the team you should see them in calendar)
● Development releases are roughly on a monthly to quarterly basis depending on
product
● Once a month we will have a session of Lightning Talks - be sure to share something
cool & inspirational every so often, this does not need to be related to work it can be
about free time activities, or anything else what is of broader interest. If you have ideas
please report them in Lighting Talks channel
Access to the office
● You will get a key, front door chip and unique code for the alarm, the first person in the
morning needs to disarm the alarm
● Last person leaving the office needs to check that all windows are closed (incl. meeting
rooms), locks the door, engages the alarm
● Our customers and business partners frequently visit our premises for meetings, so
please follow a clean desk policy (no sensitive documents with confidential info should
stay at your desk unattended, remove them before you leave an office)
● Always you leave your computer, lock the access using Windows+L key shortcut (or on
Mac Ctrl+Cmd+Q)
● The office is accessible 24/7
Vacations (will be switched to the Shifts tool soon)
● Please discuss and agree on vacations with your line manager
● Once a vacation has been granted, please add it into your calendar and invite your line
manager and any relevant colleagues into the event (naming convention: “Vacation:
Name Surname”; Day-off: Name Surname”), ALWAYS invite info@instarea.com and
petra.hoffmannova@instarea.com, in description add additional details such as if
you will be available on call, if you will be outside of Slovakia, etc. Vacation is only
being considered as approved if your manager Accepted your invitation
● If you want to see vacations of other employees, you can add a calendar to your
account by typing to section other calendars an email address info@instarea.com
● Once a vacation has been granted please post a note in the #NotInOffice section and
then remind everyone 2 days before
● Also, set your status in Teams with more details so your colleagues know from when till
when you will be out when they hover over your icon

ABOUT THE COMPANY & PRODUCTS

Instarea is a "laboratory" for innovative greenfield ideas within the international Adastra
group. Our core product is the Market Locator big data monetization solution which brings
together the worlds of population analytics, targeted marketing & fintel API risk scoring in one
simple web based solution. Instarea has recently been doing significant R&D in the areas of
GPU (GPU accelerated database for our data story telling tool) as well as IoT (people-less
wellness concept powered by IoT technology).

● Callinspector – telco expense management solution with automatic private vs.
business call detection, split-billing, cost-center attribution, device management etc.
Today this solution is implemented and available for business customers at Slovak
Telekom (as SmartBill) and O2 (as Analyza Spotreby) as well as at multiple medium and
large enterprises using our SaaS tool.
● CallinspectorMobile – our Android application with over 100 thousand installs and a
4,4* rating in the GooglePlay store. It is a mass market version of Callinspector which
allows smartphone users to monitor their phone and data usage monitoring.
● InvestButton – our approach to equity crowdfunding which we successfully tested at
the Slovak Startup Awards.
OUR BRANDS AND HOW TO USE THEM
The brands may become confused at times, so here is a bit about the diff :)
1. Market Locator is a brand for the self-service online platform which is sold to
end-customers on the Slovak & Czech markets. This is the brand that houses the end
customer sales & end customer support teams (Peter Fusek as COO and Misko Suran
as Country Manager) for the SK & CZ markets.
2. Instarea | The Big Data Monetization company is a software house which develops
the Market Locator software (the software is know as Crowdspector). The customers of
Instarea are primarily large telco providers such as Slovak Telekom, O2 Slovakia,
Orange Slovakia, O2 Czechia, T-Mobile Czechia, STC Saudi Arabia etc. This is the brand
that houses the SW development team (Peter Capkovic), international business
development (Matej Misik) and usually also the data science team.
3. TellStory – is our newest tool we are just developing. This tool should allow anyone to
create a data driven story, which can be shared with broad audience, it’s something
like PowerPoint “on steroids” which can work on top of big data such as Telco Signaling
data. This tool will be available in MVP (Minimal viable product) in September 2019, and
then should be used by anyone in the company to create interesting stories published
with outside world
4. SellStory – is part of TellStory ecosystem and will allow people who created story to
sell it under their own shop. This will provide Data Monetization to anyone who does
have interesting data or stories – it’s like market locator for any kind of company not
only telco
5. QikkDB GPU Database | The lightning fast database is a GPU driven data-base
engine which can query billions of rows of data in real-time so they can be visualized
on the fly without need of any aggregation in the TellStory tool stack. Peter Kratky is
the technology head and product manager. We are seeking investment to boost this
line of business.

ALIASES
Everybody is assigned with one primary domain / email address in MS Outlook. If you need to
be sending from multiple emails, please contact IT Admin and your manager to set it up. You
can also use shared mailboxes such as Career@Instarea.com or Info@ to be able to do so you
must be member of the group and you will see it in outlook in the left pannel. Please note,
these group emails do not arrive in your primary mailbox, you will need to check these folders
regularly if you are in charge of that area of business.

Please set up your vacation responder using the following text:

PASSWORDS
There are several key rules related to Passwords and access to information which you must
follow
1. Never share your password with anyone
2. Change your passwords regularly especially office 365 domain password – min. once
every 3 months!
3. Keep your password complicated – use small and big letters, at least one special
character, and number. Never use anything meaningful which can be guessed by
someone, always best to you use random password generators such as the native one
available in google chrome
4. To store your passwords never use non crypted and non-secured files! You can use
external applications such as SafeInCloud or 1Pass to store your passwords which are
using encrypted storage. These can also automatically generate random passwords for
you
5. Never share VPN keys, each person needs to have his / her own VPN access, especially
when accessing client systems, if this is not provided to you, please report to the GDPR

STORING & SHARING INFORMATION
We work with sensitive data, lot of times with client data. We are bound by general rules of
GDPR but also by specific contracts with clients which we need to obey and follow. Please
always check if you are not sure about accessing or sharing the data prior you do so! Follow
always key principles
▪ Never share private data of 3rd
parties or any sensitive client data with anyone –
such as names, birth-numbers, phone numbers, unless explicitly allowed or asked by
management in written.
▪ Never use any personal or sensitive information to your benefits or criminal activities
which would benefit others. Never publish any sensitive information on any public
spaces, webs, emails, storages, etc.
▪ If you are sharing any “sensitive” information always encrypt the files with
256bit encryption and share the link and password separately via different
channels and only to the person who requires the access (link via email, and password
by phone).
▪ When sharing client data always ask them to provide storage which should be used to
transfer the data e.g. their own SFTP account or similar
▪ Always when you share data with 3rd
parties, remove the access as soon as possible –
right after download etc.
▪ Never access or download any personal or sensitive information from servers of our
clients – always work only via remote VPN access on their own servers without
transferring the data outside of their infrastructure!
▪ Never use public shares such as DropBox, or Uloz.to etc. to share information – the
only allowed way to share is via our Instarea OneDrive
▪ Never share via email unencrypted information
▪ Never store sensitive data on external storages such as USB, etc. so you don’t loose
them or leave them somewhere where others can find it and access
▪ Always lock your computers! Even when going to toilet
▪ Never keep VPN access open, always log-out when not needed anymore
▪ Never keep printed documents with sensitive information on desk, we have shredder
machine in the Sales office, please always shred the documents

WELCOME TO INSTAREA Welcome to Instarea, the company which has created, developed and marketed the unique Market Locator data monetization solution for targeted mobile marketing and population analytics and has since also started working on GPU driven technology and IoT powered people-less concepts. We are genuinely happy to have you on board! THE INSTAREA PASSION STATEMENT & VALUES & STRATEGY We strive to make the world a better place through data as well as automation and we plan to have fun doing so. We have a partnership approach to business & work. You may not know, but our original company name was Partnering. This is because we believe in a partnership relationship in the business world - we deliver e.g. our Market Locator solution to telcos quite often on a revenue share model. It is thus in our utmost interest to deliver our projects on the highest possible quality. Same goes for the work attitude = we work together as partners and everyone brings their best to the table. To best understand our products it is essential to use them as well, spend time exploring our products & services, share with friends and try to find ways in which they can help you. Slovakia was never our single target market. We are aiming for the global market and aim to enter multiple new countries each year. We thus established the #SmartDataHub at Instarea where both academic and professional talents (yes, that’s YOU), high-end technology and bigdata meet and serve this higher goal (read more here). I strive to improve the world around me, starting with improving Slovakia through our data analytics, insights & automation. I look for any area which can use improvement in the company, tool or world around me and am proactive in implementing these improvements. I proactively look for impactful work or if I am lacking work I ask for more / new challenges. I never stop educating myself, spend some of my free time trying new ideas, reading relevant books, taking online courses which Instarea is happy to provide me. I am positive & cherish creative thinking. From there you can switch to other applications available in the Office 365 tool stack, e.g. Teams, SharePoint. Shared Mailboxes If you a member of shared mailbox, and using application Outlook, shared mailbox has been mapping automatically. If using web based client (https://outlook.office.com/owa), you must this shared mailbox map manually: Select your shared mailbox and click Add:

MS TEAMS To limit the amount of the emails we must exchange we use MS Teams (on specific projects we can alternatively also use Slack if it is preferred by client) to discuss and announce various topics / news. There are several Teams available depending on what role you are working the general team where all people are present is called IS. AllStars (Instarea is All Stars). This team should be used to report companywide communication which is of interest for anyone and is not project specific. There are following key channels you should be aware of and use them regularly: ▪ My Day - Once a day each person is asked to summarize in the My Day channel what they did on that given day, what they plan on doing the next day and if anything is blocking them. Please report this in short and concise sentences every work day between 4pm and 6pm. People should get awareness what is being done by the company and different people, what was achieved, what is problem, you should share screenshots from development or anything what can be interesting for others. Please also read through what other colleagues are working on so you have a good idea of life at the company. ▪ Not In Office – Also, if you plan to be OOO and this has been approved by your line manager, please let everyone know in the #NotInOffice channel and if this OOO is more than a couple hours, then don’t forget to set your email OOO – see an example bellow. If you are late for work e.g. not coming latest by 9am please send info to #NotInOffice, if you need to leave sooner than 5pm please do the same. ▪ Announcements – anything to be shared with whole company e.g. new person joining company, company achievements… ▪ Free time – share tips for travelling, sports, eating, after work beers, travel reports or any nice pictures from your free time activities. ▪ Office – if you are missing something in office (coffee, equipment, paper towels etc.) ask for it here ▪ Also explore the other channels. For those channels in which you would like to receive
  • 10. notifications click on the 3 dots next to the name of the channel (either in the left navigation pane, or nex to the channel name on the top of the page) & click on “Follow this channel”. Otherwise you will only be notified if someone tags you in a message. You can find in Teams other specific teams, if you are not sure how to use them please ask your manager ▪ Career – if you are part of hiring team ▪ TellStory – if you are part of TellStory team ▪ Qikk.ly – if you are part of the GPU project team ▪ Market Locator ▪ IoT Teams is also your central point to access other information relevant for given task – if you are for example member of Market Locator Support team you will find all required information in Teams Tabs. These tabs are visible when you open a channel. ▪ Wiki – Wikipedia pages with needed know-how to resolve specific problems. Also, best practice is to document anything of a repetitive nature, which you or your colleagues may need in the future in the appropriate wiki. ▪ Files – link to OneDrive shared folder containing all required files, here you should also store all related files. Please always store the files on the appropriate channel / folder
  • 11. so people can easily find them ▪ Trello – link to Trello board containing task related to given channel ▪ There can be others such as PowerBI reports, or link to MS Azure DevOps depending on the channel ONE DRIVE Please store all your work files on OneDrive to prevent their loss and keep data sharing in control – this is absolutely mandatory for everyone – NO-ONE STORES DATA ON LOCAL COMPUTER FILES SPACE! How to map folders to your computer Download the OneDrive app and check with the infrastructure team to make sure you have access to the relevant folders. This is absolutely mandatory. Please go to appropriate Team in MS Teams open any of the channels available, click on Files, tab, click on Sharepoint link: ● It will open share point page, ● there please go to top level folder usually called Documents and ● click on the Sync icon, ● it will open popup in OneDrive app asking you if you want to sync with local files system. The folders will appear in your users folder on this and you can work with the folders as with any other local folder structure. If you want to sync on other location like disk D: pls ask IT Admin to configure this for you.

Sharing files outside of organization When sharing files outside of your organization please use if possible the Public share folder https://instarea.sharepoint.com/sites/public/Zdielane%20dokumenty/Forms/AllItems.aspx so we keep all externally shared documents in one place. You can also share to external subjects from some of the other teams such as IoT, TellStory, Market Locator but please ▪ use this option always only for single files and always use the link expiry date max. 30 days (the shorter the better) so people lose access to the documents after some time ▪ use this option only for people whom you know or work on the project together or are part of Adastra Group companies TARGET PROCESS – DEV PLANNING AND TIME TRACKING For our agile software development planning we use Target Process. This is also where we report work time, vacations etc. You can find Target Process at instarea.tpondemand.com DEV PLANNING We run in bi-weekly sprints and a roughly 1,5 to 3 months release cycle. At the end of each
  • 13. week we meet for a weekly dev planning meeting, where everyone demo’s their prior week’s work and together we plan the load for the upcoming week. Everyone is asked before the meeting to report in MS Teams Development channel their progress, ideally showing animated GIFs or Videos with what was implemented. This is helping both you to prepare for the meeting and also to others in company to see what is being cooked by the Development 😊. TIME REPORTING Make sure to report time spent on the user-stories you are working on. If you are missing a user-story / task, just ask your Product Manager who will set one up for you. For reporting vacation time, holidays, bench time etc. head over to the “IS. Internal” project. It’s important to properly report all time spend on the different activities, always report to specific user-story related to activity your worked on e.g. “PowerBI – Campaign report” spend 4 hrs. Always provide specific description to time entry, don’t use general descriptions like “working – 8hrs”!   • 14. Time should be reported ongoingly meaning when you work on something or latest by end of each day, please stick to this process. On some projects such as STCS we are paid for the support so it’s important to report the hours and market them as to be billed to client – please be sure you do this otherwise we are loosing money. It is mandatory for everyone to have time logged at the end of the month, as this is an input for your salary calculation – if you are missing half of the hours you will only get half of the salary! TESTING & BUG REPORTING To submit a bug / idea into the dev plan, please send a detailed description of the issue with screenshots to the email address support@instarea.com. Make sure you include in the subject the name of the project (e.g. Market Locator) so that the issue is assigned correctly. Target Process screen capture is a nice plugin from Chrome which allows you to capture your screen, add drawings / comments onto the screenshot and create a bug from this or attach to an existing one. Just be careful to always select “bug”, then the correct project and write a properly detailed description of your issue. CLOCKIFY (WAS TOOGL BEFORE) – TIME TRACKING FOR NON IT DEV For time tracking of duration of each assignments on which mainly business team members was working. Mandatory to report till end of each month due to salary TRELLO FOR BUSINESS / PROJECT TASK MANAGEMENT For the tracking of tasks especially project related we use Trello. You will be added to the relevant teams by your team manager and they will explain how to use that given board.
  • 15. PIPEDRIVE – SALES MANAGEMENT AND DEAL TRACKING Details on how to use PipeDrive will be provided. Make sure to follow these basic principles: ● Gather your leads and make sure to add all relevant information (contact, position, important info about company needs) ● Don’t forget to add an estimated deal value ● Once contacted move the lead through the pipeline, then to “Needs identified” ● When sending emails to the client add the PipeDrive unique email into the BCC so that you can track the discussion with the client ● During a phone call take notes in PipeDrive We have separate tracking for new revenue (payments of clients) and for the spending of credits (sending campaigns, purchasing data layers etc.). ADALYTICS – CUSTOMER BEHAVIOR TRACKING AND COMMUNICATION We use Adalytics (Powered by Exponea) to understand how our customers in Market Locator behave and to be able to communicate with them (newsletters and promotions). Should you have a good marketing / communication idea let us know and we can execute a targeted email campaign. For vacation days, sick days, bench time, company events etc. there are special user stories in the project “Internal” ● Once a week the dev team will have a demo session with Product Manager where they will share what was done the previous week and together will plan the tasks for the upcoming week (demo sessions are scheduled by Product Managers and if you are part of the team you should see them in calendar) ● Development releases are roughly on a monthly to quarterly basis depending on product ● Once a month we will have a session of Lightning Talks - be sure to share something cool & inspirational every so often, this does not need to be related to work it can be about free time activities, or anything else what is of broader interest. Never share your password with anyone 2. Change your passwords regularly especially office 365 domain password – min. once every 3 months! 3. Keep your password complicated – use small and big letters, at least one special character, and number. Never use anything meaningful which can be guessed by someone, always best to you use random password generators such as the native one available in google chrome 4. To store your passwords never use non crypted and non-secured files! You can use external applications such as SafeInCloud or 1Pass to store your passwords which are using encrypted storage. These can also automatically generate random passwords for you 5. Never share VPN keys, each person needs to have his / her own VPN access, especially when accessing client systems, if this is not provided to you, please report to the GDPR Teams channel and your manager
  • 23. STORING & SHARING INFORMATION We work with sensitive data, lot of times with client data. We are bound by general rules of GDPR but also by specific contracts with clients which we need to obey and follow. Please always check if you are not sure about accessing or sharing the data prior you do so! Follow always key principles ▪ Never share private data of 3rd parties or any sensitive client data with anyone – such as names, birth-numbers, phone numbers, unless explicitly allowed or asked by management in written. ▪ Never use any personal or sensitive information to your benefits or criminal activities which would benefit others. Never publish any sensitive information on any public spaces, webs, emails, storages, etc. ▪ If you are sharing any “sensitive” information always encrypt the files with 256bit encryption and share the link and password separately via different channels and only to the person who requires the access (link via email, and password by phone). ▪ When sharing client data always ask them to provide storage which should be used to transfer the data e.g. their own SFTP account or similar ▪ Always when you share data with 3rd parties, remove the access as soon as possible – right after download etc. ▪ Never access or download any personal or sensitive information from servers of our clients – always work only via remote VPN access on their own servers without transferring the data outside of their infrastructure! ▪ Never use public shares such as DropBox, or Uloz.to etc. to share information – the only allowed way to share is via our Instarea OneDrive ▪ Never share via email unencrypted information ▪ Never store sensitive data on external storages such as USB, etc. so you don’t loose them or leave them somewhere where others can find it and access ▪ Always lock your computers!
