Paperpile - a modern reference manager
paperpile.com
Outline
• Examples of academic collaboration with Paperpile:
• PDF workflows in the cloud
• Sharing research papers
• Collaborative writing
• Benefits for the end user – a critical look.
• Benefits for institutions and content providers
• Technical challenges
Basic principles
• Integrate with existing workflows. Don’t re-invent.
• Be open = interoperable.
• Remove any technical barriers that would only help us
as a company and not the customer
• Get out of the way. Don’t take yourself too seriously.
Collect references, PDFs, supplementary material
Search online across multiple databases Import local PDFs
Capture PDFs from publisher’s page
Save supplementary material
through Chrome extension
Paperpile and IEEE Xplore
• Gives the user the familiar experience of their favorite
databases (integrate with existing workflows)
• Benefit from features of original resource (don’t re-invent)
• Provides all important features (one-click import, PDF
download, fast access to locally cached PDFs) without
opening Paperpile (get out of the way)
Integration with web databases
Sync to Google Drive
Web
MobileDesktop
Use data in Google Drive and beyond
Search all your data Share or open with other applications
Benefits of storing data in Google Drive
• Part of Google Apps ecosystem
• It’s a (cloud) operating system like Windows or OS X
• An operating system has more to offer than storing files:
• Secure, federated login (remove barriers)
• Integrated with other Apps like Gmail, Docs,... (integrate with existing
workflows)
• Data can be opened on any device with any Application at any time
(be open = interoperable)

Sharing papers

• Send to your Gmail contacts (i.e. actual colleagues) not users of a particular software
(integrate with existing workflows)
• Send a private sharing link, no download of other software or account required (remove
barriers, get out of the way)
• No big attachments: Meta-data, full text PDF and supplementary files are available
immediately for everyone with the link and a web browser
• Private links can be shared by any means (be open = interoperable)

How to write a paper with 76 authors?
• Central application for Google Apps/Chromebook users (integrate with existing
workflows).
• Free, no Paperpile account required (remove barriers)
• Full featured, can produce even the most advanced citations and bibliographies
• Fully collaborative
Google Docs integration
Advanced Google Docs integration
• Search personal library and online resources in one dialog - no
need to open Paperpile (get out of the way).
• Keyboard shortcuts – no mouse required
Validation
• Does Paperpile provide real value for real people?
• Are we building something people really want?
• If so, it can be a rewarding experience for us as company and
our customers who use our software every day.
• If not, we have failed. We would not like anyone to use our
software because:
• They don’t know any better alternatives
• It’s “good enough” and free
• Their university told them it’s great
• We told them it’s great
Pre-launch user research
Hypothesis: academics are not happy with their
research management workflow
Hmmm... Zotero got me
through my PhD, and the
import button is fantastic
BUT the application
always felt a little clunky.
Having to use bib,
Dropbox and rsync to get
everything sorted and
available on all devices
Oh god! Don't get me
started!
I want to be able to create
and store all of my
references for a Google
Doc and access them
everywhere, there's
nothing that integrates
seamlessly yet. I've been
waiting FOREVER
I use Mendeley, but the
interface is poor and
cannot fetch pdf or
references.
I hate having to download
all the articles myself, and
then separately download
the citations. Help me
save time!!
It's all a mess. Wish I
could do GDocs and not
have to put the doc
through 4 postprocessing
steps to get the refs in.
No good Linux clients! Web-
based solution would be
excellent for those of us that
use many platforms. Not being able to quickly
save and tag a reference.
I get lazy, don't do it
properly, and I lose it.
Keeping everything in sync
across machines/platforms
Lack of cross-platform
compatibility and poor
BibTeX support.
We collected more than 500 individual opinions before we even started
How did users react after launch?
23
Don’t believe what they say – observe what they do
• Users who have tried all other products on the market switch
to Paperpile
• Users switch from free alternatives to Paperpile (which costs
money)
• Users use it for mission critical tasks
• Notoriously busy people switch to Paperpile
Researchers use it for their most important papers…

Survey based on 700 completed surveys among Paperpile customers in October 2015
What are the benefits for institutions and
content providers?
• We are convinced that the benefits for end-users and institutions
and content providers are tightly aligned
• If content is accessible in a robust, efficient and fun way,
usage will increase
• “They will find/read/cite it anyway” is not true
• Amazon found every 100ms of latency cost them 1% in sales.
• Google found an extra 0.5 seconds in search page generation
time dropped traffic by 20%.
• What if it takes 20 seconds to cite paper?

Technical challenges – our wish list for content
providers and publishers
• Provide accurate and complete meta-data in machine
readable format
• Simplify paywalls and make them more robust. We observe
users running into trouble downloading PDFs even though
their institution has paid for the content.
• Re-visit manuscript preparation guidelines. Users worry too
much about details which should not matter in a digital age.
• Provide manuscript preparation guidelines also for machines
to allow authoring platforms to support direct submissions.
