Planning for Success:Tips and
Tricks for Upgrading WebCenter
Content
www.fishbowlsolutions.com
12.
Step 1 –Have a Plan!
- How much content do you have and what is the
total size?
- How long can production be down during
transition?
- Do you need to maintain audit history?
- Document History and Workflow History
- Is it time for new hardware? Or time to move to
VM?
- Does your database need to be upgraded?
- Standard and custom components
- Consider your storage!
- File store provider
www.fishbowlsolutions.com
Upgrade In Place
+ Use of the Oracle Upgrade Assistant allows for ‘in
place’ upgrades
+ The high level process involves:
– Shut down current 10gR3 server
– Install WebLogic Server (or the supported container of
your choice)
– Install the WebCenter Content installation files
– Run the Upgrade Assistant pointing to the existing
instance of Content Server
www.fishbowlsolutions.com
15.
Advantages / Disadvantages
+ Advantages
– No need to spend time migrating content
– Items stay in workflow
– Audit history stays intact
– Upgrade can be completed in a few hours or less
+ Disadvantages
– Production must be down during upgrade
– Have to keep the same hardware
– More difficult to roll back if something goes wrong.
– Can run into unforeseen issues, even if dev and/or
staging servers are upgraded first.
www.fishbowlsolutions.com
16.
Upgrade In Place– Decision Criteria
+ Already on 64-bit OS
+ 12+ GB of RAM available
+ Lots of workflow items
+ Need to maintain workflow history
+ Very short upgrade schedule
+ Very large content size
+ Few customizations, or enough time to test
upgraded customizations in dev and stage
www.fishbowlsolutions.com
17.
Migrating to NewInstances
+ Isn’t really an upgrade, but it is very common.
+ Wholly new instances of Content Server are
installed and all configuration, status
information, and content is migrated to the new
instances.
+ Configuration Migration Utility (CMU) is used to
migrate the bulk of the configuration.
+ Archiver is used to migrate custom
table data.
+ The migration of content is typically
performed with the Archiver applet.
www.fishbowlsolutions.com
18.
Advantages / Disadvantages
+ Advantages
– Can use new hardware
– Can use new database software/hardware
– Can fully test new production before go-live
– Go-live is simply a DNS change
– Easy to roll back to the old system
+ Disadvantages
– Content migration can take a long time
– No easy way to migrate workflow content
– Care has to be taken to migrate audit history
www.fishbowlsolutions.com
19.
Migrating to NewInstance – Decision Criteria
+ Currently on 32-bit OS
+ Current hardware is old
+ Need to upgrade database software
+ Not a lot of workflow content, or plan in place to
handle workflow items
+ Not a lot of content, or plenty of time in schedule
for migration
+ Lots of customizations
+ Need short downtime at go-live
+ Need to be able to roll back quickly
www.fishbowlsolutions.com
20.
Hybrid Approach -Copy and Upgrade In Place
+ Schedule a time to shut down production
+ Copy 10g file system to new hardware
+ Copy vault and weblayout to new storage
location
+ Copy the database
+ Modify config settings
– Database connection string
– Vault and Weblayout directory locations
– Server ID (IDC_Name)
+ Start the copied 10g server to verify it starts
correctly
+ Run Upgrade Assistant
www.fishbowlsolutions.com
21.
Advantages / Disadvantages
+ Advantages
– Can use new hardware
– Much faster to copy files over network file shares
instead of using Archiver. Good for large repositories.
– Can fully test new production server before go-live.
– Go-live is just switching a DNS entry.
– Can maintain workflow items.
– Easy to roll back in case of issues.
+ Disadvantages
– Content must be reconciled from the “snapshot” date
to the go-live date, including workflow items.
– Not a fully documented method, requires config
changes.
www.fishbowlsolutions.com
22.
Hybrid Approach –Decision Criteria
+ Currently on 32-bit OS or on old hardware
+ A lot of content in the system
+ A lot of workflow content in the system
+ A lot of customizations
+ Want to keep same database software
+ Need short downtime at go-live
+ Need to be able to roll back quickly
www.fishbowlsolutions.com
Standard Component Considerations
+ WebCenter Content 11g comes with the standard components
already pre-packaged
+ After upgrade with UA, all old components will be disabled
+ Checkboxes in Admin Server page to enable standard
components
+ Standard components are upgraded with patches to the
system, not installed manually
www.fishbowlsolutions.com
25.
Folders
+ Newfolders component called Framework Folders
+ New functionality in Framework Folders
– Query folders
– Enterprise Library folders
– No more 1000 sub-folders or 1000 pieces of content limits
+ Folders_g still exists, but the future is Framework
Folders
+ Upgrade tool to move from folders_g to Framework
Folders
+ New DIS client
+ WebDAV URL changed
– Old URL –
http://showme.fishbowlsolutions.com/cs/idcplg/webdav/
– New URL -
http://showme.fishbowlsolutions.com/_dav/cs/idcplg/webdav/

Site Studio
+Updated version of
Designer and Contributor
+ 11g Site Studio almost the
same as 10gR4
+ Sites don’t require much,
if any, changes to upgrade
+ 10gR3 sites will continue
to function, but can’t use latest
features
+ Site Studio is not Oracle’s strategic WCM offering
going forward; this has been taken up by
WebCenter Sites
www.fishbowlsolutions.com
Custom Component Considerations
+ All custom components should be upgraded and
tested in development before upgrading production
+ Back-end customizations like custom services will
most likely work after upgrade
+ Front-end customizations may need work
– Menuing
– Results tables
– CSS changes
– Skins / Layouts
– JavaScript
+ If using Upgrade Assistant, make sure custom
workflow components are enabled before starting 11g
server!
+ IdcToken
– Standard include
www.fishbowlsolutions.com
Web Server
+WebCenter Content is available on port 16200;
install a web server so users aren’t required to
enter a port
– IIS
– OHS
– Apache
+ Web server proxies requests to application
server; Weblogic Proxy Plugin available from
Oracle
+ Make sure to configure SSL in web server
+ SSL can also be configured between application
server and web server
www.fishbowlsolutions.com
31.
Refinery
+ Deployedas a managed server in WebLogic
+ Still recommended to install on a separate
server
+ Oracle does not recommend upgrading in place.
Install fresh for 11g
+ New direct PDF export engine
+ Still recommend using Office to convert Office
documents
www.fishbowlsolutions.com
32.
File Store Provider
+ File Store Provider defines the location of files
and how to disperse the files
+ Existed in 10g; functionality had to be enabled
+ 11g has dispersion enabled automatically
– Files are dispersed to limit files in folders
– Web URL changes for documents
– Important to note that web links to documents may
break, particularly for Site Studio
– Can be changed back to not use dispersion
– Typically recommend setting up storage rule for any
docs that should use the old paths
www.fishbowlsolutions.com
Project Timeline
+Depends heavily on the level of customization
and amount of content
+ Typical upgrades range from 6 weeks to 3
months
+ If migrating to a new server, test the transfer rate
early!
+ Allow enough time for user acceptance testing
and sign-off from the business
+ Plan time for resolution of some (hopefully) small
issues post go-live

Changes in Imaging11g
+ Java application deployed as a managed server
in WebLogic
+ All content stored in WebCenter Content
+ Web application - no more client installation.
+ Process workflow separated out to use BPM
+ Scalability and
redundancy now
handled with
WebLogic clustering
www.fishbowlsolutions.com
37.
Items to NoteAbout 11g
+ Two viewers built into the product
– Basic
– Advanced
+ Administrator can set default viewer, user can change it
in Preferences.
+ Advanced viewer required to create/modify annotations.
+ Advanced viewer requires Java on client machine.
+ Users will get Java prompts if Java is out of date.
+ Most preference defaults can be set in Enterprise
Manager.
+ E-mailing in the system now sends a link instead of an
attachment.
www.fishbowlsolutions.com
38.
Migration Considerations
+No in-place upgrade - must install 11g from scratch
+ No tool to migrate applications, security, workflow, or
searches from 10g to 11g; all settings must be
configured manually in 11g
+ Can migrate settings between 11g servers (Dev to
Stage to Prod)
+ Oracle supported migration tool for migrating
content
+ Migration tool only
works with latest
patchset of IBPM 10gR3
10.1.3.6 (7.7 PR4)
www.fishbowlsolutions.com
39.
Migration Overview
+Patch IBPM 10gR3 system to 10.1.3.6.
+ Install WebLogic and IPM 11g on new hardware.
+ Install BPM / SOA 11g on new hardware if using
workflow.
+ Configure applications, security, and searches in
IPM 11g.
+ Configure workflows in BPM.
+ Create Input definitions in IPM 11g.
+ Use Oracle Migration Tool to export content to 11g
input location.
+ Cut over to new production system.
www.fishbowlsolutions.com
40.
Notes on OracleMigration Tool
+ Tool can be installed and run from a server
separate from IBPM.
+ Migration tool can be optimized.
– Run multiple migration tool instances at once.
– Adjust the number of migration threads per instance.
+ Tool stores migration info in the database so it
can be stopped and started throughout the
process.
+ Failures can be reset and tried again.
+ Tool will start with latest documents first and
work its way backwards. It’s possible to go-live
before migration has finished.
www.fishbowlsolutions.com
41.
Migration Tool Limitations
+ Does not export 10g Stamps or Bitmap annotations.
+ All rich text formatting for Sticky Notes is removed
during export.
+ Any annotation that falls outside the bounds of the
original image is placed at the top left to top right
corner of the image
+ Only exports documents and their annotations.
+ Will recombine multi-page tiff files. Will export other
compound document types as separate files.
+ If configured to burn in annotations, tool will export
all files as tiffs.
+ Tool can affect the performance of IBPM.
www.fishbowlsolutions.com
42.
Time to Completethe Migration
+ Migration speed can vary
widely based on CPU,
RAM, network latency,
IBPM system load, etc.
+ Expect to realize about
150 - 200 documents
migrated per minute with
a single migration node.
+ Performance of the tool can be improved by
running during offline hours.
www.fishbowlsolutions.com
Oracle License Migration
+ Stellent licensing model was based on instance
and based on module.
+ Oracle licensing model is based on CPU.
+ May need to go through license migration during
upgrade.
+ Licensing varies if using VMWare vs. Oracle VM
vs physical hardware.

Editor's Notes
#4 1 minutes
What do you know about Fishbowl Solutions?
Who are the other Oracle partners you have used in the past? Have you used OCS? What has your experiences been with these other partners?
#5 Our current software and services initiatives for Oracle WebCenter are shown here. We have recently been focused on developing products that provide Oracle WebCenter customers with new ways to interact and consume content. This includes solutions for Mobile ECM, extending Oracle WebCenter capabilities to iPhone, iPad and Android devices. Additionally, we have packaged software and services offerings to build out next generation intranets and self-service portals. And our SharePoint connector provides users of both SharePoint and Oracle WebCenter Content with that desired SharePoint front-end collaboration and content contribution backed by the power of Oracle. We also have a Google Search connector that enables WebCenter customers to harness the power of Google Search within their WebCenter-based Internets and Intranets.
#6 As mentioned, Fishbowl is specialized in WebCenter Content and Portal Solutions, and we are a full-service WebCenter consulting organization for the WebCenter Content components listed here. Our goal is to really help you extend the functionality of each of these components while maximizing your investment. We also have experience helping organizations implement and build out their enterprise portals. We have worked with customers to build employee intranets, vendor or partner extranets, and and customer self-service portals. To support these efforts, we have also expanded our knowledgebase to include such technologies as Oracle Business Process Mangement (Oracle BPM) to help organization build out and utilize powerful workflows to automate content-based business processes like accounts payable, while also helping those customers integrate WebCenter with ERP systems like E-Business Suite and PeopleSoft.Fishbowl has a vast range of consulting services, and we invite you to chat more about these after today’s session or at our booth. I will provide more information about Fishbowl’s activities at the end of today’s session.
#7 Let’s now dive in and discuss the major reason we hope you are joining us today. And that reason is to get you and your organization to 11g.
#8 And there are a lot of misconceptions about upgrades. One is just waiting until the next version. The misconception here is that you can “skip” versions and just upgrade to the latest and greatest version of the software. However, many applications require consecutive version upgrades. This can lead to longer upgrade times, compatibility issues, and downtime for your business. Even when there is no consecutive version upgrade requirement, the process will take longer, require more testing and validation, and inevitably result in more complications.Another misconception is “I’ll just renew my cancelled maintenance and support plan when I need to upgrade.” This can be a costly mistake. Software companies use those fees to add new features and make any necessary fixes to the software. They are not about to let you renew your maintenance and support agreement without paying back maintenance and support fees and even penalties for the time period you were not on the plan.Another one is “I don’t have any bugs that need to be fixed and there’s nothing special in these updates. It’s not worth the time for our IT department to upgrade.” Read the software update documentation in detail. Items like IRS 1099 forms and fixed asset tax depreciation rules and regulations change annually. In addition, think in terms of how much time the update would save the people using the software, not how much time it will take your IT department to upgrade. You’d be surprised how many perceived “insignificant” changes can lead to improved efficiencies and time saved for the people who use the software.Lastly, another one is “Let’s cut this expense out of the budget. It’s a waste of money.”Besides the aforementioned software updates, maintenance is often bundled with support, allowing you to contact the software company if and when you need to. In addition, these fees often entitle you to exclusive access to training sessions at reduced rates, sponsored events, community forums, user groups, knowledgebases, newsletters and other valuable resources.
#9 Let’s now briefly review some of the features of WebCenter 11g.
#10 And the first thing is that WebCenter now runs within the Weblogic Server container. This means you will be able to leverage one application service for your enterprise system and services. Application server for enterprise systems and services. Along with Oracle Enterprise Manager, it provides a dashboard for centralized installation, configuration, monitoring, logging, performance metrics and diagnostics. You will also be able to stop and start multiple refineries. Weblogic Server is multi-threaded to handle greater in out loads, which I highlighted earlier. And from WebLogic Server you will be able to handle and manage all data sources and user directories.
#11 As far as the new UI is concerned, as you all know it replaced a very outdated web UI. It was built from ground up. Simple, fast, intuitive, consumer-grade. Zero-training needed. Helps with user adoption. Makes it easier to users to be productive, collaborate on content. Enjoy interacting with WebCenter Content.
The new UI is optional. If you want, you can continue to use the existing web UI (now renamed to ‘native 11g UI’). It also only supports document management capabilities (but not advanced functionality like workflow, folios, video storyboarding, and records management. That’s why we are still supporting the native 11g UI). There is also no UI for admin functionality. The new UI uses ADF in the front end with Content Server services in the back end.
FAQ:
As an existing customer, will I have to use this new web UI when we upgrade to the new release? No. It will be optional. If you want, you can continue to use the existing web UI (now renamed to ‘native 11g UI’)
Will the new web UI support all business user functionality? Not in the first release. The first release will support document management capabilities (but not advanced functionality like workflow, folios, video storyboarding, and records management. That’s why we are still supporting the native 11g UI).
Will the new web UI also be available for the administrative functionality? Not in the first release, but we will eventually update the admin UI once we’re done updating the end-user UI.
Will the new web UI be section 508 compliant (meet accessibility requirements)? Yes. The plan is to have the UI be accessible according to Oracle standards, which is above and beyond section 508.
Can the new web UI be customized? In this first release, we support the ability change the logo and skin the UI to give it a new look and feel. Further customization (like moving components around on the page) will be supported in upcoming releases.
Will the new web UI support any existing customizations I have in the old UI? UI-level customizations in the current IDOC UI will have to be re-implemented in the new web UI. Server-side customizations that extend existing Content Server services or add new services will usually work. Of course, you will have to test them after upgrading to make sure there are no issues.
Will end users be able to switch between the current and new interface or will the switch be global for all users? The new web UI is a separate app. You could have your admin restrict access to the app. But otherwise identity access is provided and control is in the users hands. You can allow users to use the new UI for Doc Man functionality and the native UI for extended functionality that is currently not ported to the new web UI.
What technology are you using for this new web UI? The new UI uses ADF in the front end with Content Server services in the back end.
Will the Idoc script be supported going forward in WebCenter Content with the advent of the ADF UI? We will continue to support Idoc for the near future. However, once we have the ADF UI reach feature parity with the Idoc UI (maybe CY2015), we will put it on the deprecation path and actively encourage customers to switch, but we will give adequate time for customers to switch over.
What new search capabilities will be supported? The new UI includes instant search suggestions, faceted search results, advanced searches and saved searches.
#12 As far as mobile apps in WebCenter Content, the tasks supported by mobile app will include- the ability to access documents stored on an Oracle WebCenter Content server.
- Search for documents on the server and filter the results to find exactly what you need.
- View a document on your device.
- View information about a document or folder.
- Download a copy of a document and store it on your device so you can view it even when offline.
- Create a link to a document which can then be shared with others.
- Email a copy of a document as an attachment. The Oracle WebCenter Content app uses enterprise-level authentication to access the content server, and you can set a passcode on the setting page to lock the app after a specified time to keep others from accessing your files should you walk away from your phone or tablet. Any files downloaded to your device are encrypted and you cannot access them outside of the Oracle WebCenter Content app.
#13 As far as desktop integration, there have been improvements made in:Look and Feel: UI shows top level Libraries similar to web UI/mobile apps. Other changes: Common Dialog Check-In, WEI Content & Document Information pages, Propagate Metadata, Check Out & Open Windows Explorer: Enhancements around Automatic Configuration: The Desktop client software adds a hierarchical folder structure called WebCenter Content Servers to the navigation pane in Windows Explorer.Outlook: Enhancements include Automatic Check-in After Sending, Option To Show/Hide Check-In Distribution List, Link the Content Items for Email and its attachments, Uses related content component
#14 Our next speaker is Paul Heupel of Fishbowl Solutions. Paul brings over seven years as a senior consultant, developer, analyst, and pre-sales specialist for Oracle WebCenter.
