  • Welcome to session…..glad to have everyone here today At This session we will discuss employer concerns on talent retention and using SS to improve talent retention and employee satisfaction But in particular focus on the use of bolt-ons to improve SS We will be focusing on business perspective on why to create and how to integrate bolt-ons with your PeopleSoft environment Ok let’s get started!
  • Most significant challenge facing employers today is the retention and motivation of their talent pools We all know that onboarding is very expensive so companies need to come up with ways of improving their retention of employees to not waste that time, training, and manpower spent on bringing employees into the fold so to speak and also ways in which to keep experienced employees happy and motivated. So today we want to focus on the use of self service tools and creating new ways for companies to improve the working environment for their employees to increase retention of their talent
  • Again, based on the Deloitte study more than half of the companies surveyed said that the Shortage of talent, motivation of talent, and retention of talent is their biggest challenge – number 1 answer on what employers are concentrating on to help in this area
  • So what companies are looking to do is to create new and better ways to use self service tools to help their employees in hopes that this will increase retention and motivation. Seems to be by far the solution that most employers are concentrating on to help in this area.
  • So what types of programs or apps can we create in order to attempt to retain talent…… Development, career or professional opportunities need to be known by your employees – they need to have easy access to this information and be able to make informed decisions as to their advancement opportunities You as the employer really need to provide is SS around these programs to allow EEs to utilize, enroll, access, get info, get questions answered….ways to ensure that the employees have EASY access to information concerning these programs and they can research this information themselves very easily Hopefully if you provide these things…it will keep the sharks away from your employees!
  • Show of hands – how many currently use, or currently have SS at work?? Gen X’ers made progress on what boomers have done when it comes to tech, but Gen-Y’ers or Millennials are 1 st generation to grow up with technology! facebook, myspace, IM, text messaging, other forms of instant communication may explain their rep for being peer oriented and for seeking instant gratification Ok Let me ask you a different question…who here uses “self service” at home – like shopping or on-line banking? $175B last year, projected to reach $300b next year Heck – Amazon knows who you are, why shouldn’t your employer!! – and let your employees access the information that would help them get their answers to questions quickly and by themselves With that you need to create these Searchable knowledge bases – very important for your employees – they want that instant gratification – go online at night, not wait until the next day to call the benefits dept – they want to look up answers immediately; Investing in these areas pays huge dividends both in terms of reduced stress-related costs and in increased productivity
  • Now we’re not suggesting that you have to go off and build all new software apps and business processes to get SS – obviously you want to leverage your investments in PeopleSoft Use SS as tools to get to info that is stored in your current HCM or HR systems. And you want to leverage the internet which creates the maximum user experience.
  • So you have some options to Build or improve on your SS offerings to your employees Portal – something PeopleSoft offers to you – we’ll talk more in a few minutes on options for the PeopleSoft portals You can Purchase and license the e-apps PeopleSoft offers Or You can create some bolt-on apps to increase your SS offerings Or some kind of mixture of all these options so you do have many options
  • Limited to provide web-based navigation to only licensed products within your product line (ex: if you have HCM only HCM, not CRM) With portal pack you can create a homepage but need to license separately Enterprise you can integrate content from any source – PS or not PS. Can create pagelets to bring in 3 rd party content if you wish
  • PeopleSoft e-apps, purchase and license whichever ones you believe will provide the most benefit to your organization. As you can see there are many options for e-apps as well.
  • But what we are here to talk mainly about today is the bolt-on application and specifically bolt-ons to PS. You can build Bolt-ons obviously for any type of software, but today we are discussing PS only What is…. Custom – whether it’s built in house or it’s from a 3 rd party vendor it is considered custom Replaces, expands….. But you still want to utilize PeopleSoft data when you create a bolt on
  • PeopleSoft is very good software, but we all know that they have many clients and have to create things somewhat generically so sometimes they don’t have functionality or it doesn’t process exactly the way you need it for your business to run; sometimes you do need to create your own applications in order to be able to process information the way you need it for your business. Put custom information at user’s fingertips Sometimes performance will be better if you build a bolt on Security – don’t want to open up your entire PS environment to everyone, or you want to insolate your production environment or isolate a subset of production data into another place to not allow full access to all data, so have separate bolt-on app to process or display this information. I know PS security is very detailed but some companies just still have a fear of opening up their production environment and data and allow this type of access so they use a bolt on app with possibly a subset of production data
  • Build own custom PS apps/processes directly in PS with nav, pages, and records. If the process you need closely resembles something that PeopleSoft does, or would do, then you’d create The app will have the look and feel of PeopleSoft Or build outside PS but utilize PeopleSoft technology to communicate with your PeopleSoft environment Or create a completely external application that communicates only with your PeopleSoft data
  • Reduces Costs of license fees, support contracts, upgrade costs, but also when using a bolt-on as a SS tool, it will save administrative costs etc… Ps solutions are generic and may not fit your business – bolt-ons can give you exactly the way you need it to function and operate - which will increase user adoption Can reduce time to delivery if you can find a bolt-on that does perform the function you need the way you need it processed During upgrades…. Minimizes complexity during upgrades and updates to your PeopleSoft environment Can minimize the need for external technical expertise and possibly redeploy HR specialists to more core initiatives Business flexibility – can change it in-house without having to deal with licensing, can make changes based on business functionality changes
  • And we’ll talk a little more specifics on each in a few minutes but here are 3 high level methods for integrating the bolt-on apps In our practice there are 3 ways and bolt-ons we provide support all 3 ways. There could be others but we’ll focus on these for purposes of this discussion. Web services and PeopleSoft APIs can be used to integrate the bolt-on app to your PeopleSoft data You can leverage an outside vendor’s software that is already being offered in the market. Create a SaaS agreement with them Or Have an external bolt-on application communicate directly with your PeopleSoft data
  • A little more detail on your options…. Depending on the skillsets of internal developers there are options PeopleSoft has many options for APIs and/or web services, They don’t make it too easy to decide…many choices…. Must consider Oracle &amp; PeopleSoft future directions
  • SaaS is where an application is hosted as a service provided to customers across the Internet depending on the vendor many may offer their bolt-ons as SaaS – no worries about upgrades, software updates…it’s usually a per month per user model An example of a SaaS is Salesforce.com but NOT a bolt-on – but can use this type of service for a bolt-on…. Choose wisely because you don’t want a hodgepodge of apps that could become unruly and difficult to maintain together
  • The last method we want to talk about today is to build your bolt-on app using direct data integration Applications can be very successful using this method. You can use SQL or JAVA and so on and go directly against your PeopleSoft database or use an extract from your database that the bolt-on application will use for processing. Be CAREFUL with planning an app that uses the extract method though because for extracts you need to ensure data is in sync, timing issues so be careful
  • Not that we’ve discussed bolt-on apps in further detail I’d like to come back to SS At minimum you want to duplicate the manual business processes you currently have But you want more Create not only xaction but communication processes as well. What I mean by the xaction is for example benefit enrollment – the xaction is benefit enrollment – but how should someone enroll, what plan, what coverage, what amounts, - you want information available to your employees so that they can enroll intelligently Build SS not just for the transaction, but to support the communication, analysis tools, and decision support required to perform a process or job function. You want to be able to create on-demand decision support information – or knowledge bases into your SS
  • Show of hands…how many have internal CSRs that answer your HR/benefits questions for your company? Another example of a SS situation would be the processing of a help desk question/ticket electronically instead of having to use the phone. So as we talked we want to duplicate the manual business processes, but also want to build transaction process. The help desk could be a dilemma from many perspectives…. As an internal help desk staff member you would like to be able to answer questions quickly or be able to manage your call flow effectively From a mgmt perspective you would want to track cases, have your CSRs answer questions consistently, and get reporting metrics on your help desk staff. BUT…as an employee you would like a SS way of getting answers….Well we have a bolt-on SS app to help in this situation….it’s called CM. CM will provide you with the ability to have all of these things and more……
  • Couple of ways in which CM improves self SS and EE satisfaction (which helps in talent retention) CM will automatically assign cases to the most appropriate resource to answer that particular question. It will escalate cases to appropriate managers, create workflow and report metrics for managers to review effectiveness of help desk. It utilizes email to notify and remind CSRs about current and future work – OR CSRs can set reminders for themselves to perform tasks in the future Allows employees themselves to ask and possible answer their own questions – get feedback as they wish Also it integrate with your phone system for better customer service when answering phones
  • Earlier we talked about building SS apps to assist in decision support. CM provides a knowledge base that will allow not only the CSRs responsible for answering the phones but will allow employees to, by themselves, retrieve answers to their own questions – in some cases without involving anyone but by simply going to the internet/intranet. CM allows for the identification of policies, procedures, and guidelines that can be presented in a clearer fashion because based on the types and quantities of questions coming into your help desk it will show you where you may need to provide more information to your employees – maybe creating an FAQ document to be distributed to your employees CM will definitely put you on the road to employee SS
  • CM utilized SQL to integrate with any of your HCM systems…can be deployed either in front of the firewall or behind it… Provides call center mgmt with critical trend analysis to produce valuable metrics such as the reasons for calls, resolution times, CSR effectiveness and even helps with training issues – new employees will find it very easy to use and will help them tremendously in performing their job by allowing them to easily find answers to questions coming in to them on the help desk CM software was built to utilize all of the latest internet technologies and is certified by both SUN and MySQL I talk about CM and tracking Benefits/HR questions…but it can be used for any process where you need to track info and distribute it to appropriate resources to act upon it….like a technical help desk and computer problems, or sales leads going to appropriate regional sales reps, etc…
