Introduction <ul><li>Astrid Young was a 27 years old graduate in WSU </li></ul><ul><li>She worked at Western Oceanographic Institute and started the NT conversion project </li></ul><ul><li>End of the case she faced some issues regarding the NT conversion project </li></ul><ul><li>Case exercise will be investigated the mistakes that she has done and the way to overcome from the issues </li></ul>
  3. 3. Q:1 – How would you respond to the director?
  4. 4. <ul><li>I would own it up and explain the mistakes and I would definitely not try to sugar-coat my faults. </li></ul><ul><li>Explain why I think the mistake has occurred and I would take responsibility for the mistake instead of blaming it on others. </li></ul><ul><li>I would acknowledged that the project is currently suffering from some problems and those can be solved </li></ul>
  5. 5. <ul><li>Explicitly explain to the director how I would respond to the mistake and the list of actions I am planning to implement to solve it. </li></ul><ul><li>In this case I will make the confidence that I have enough ability to complete the project </li></ul><ul><li>Note down all the problems which have identified by the director and ask if there are any other problems. Also, note down the names who suffered with issues in order to check whether the problem is fixed or not later </li></ul>
  6. 6. <ul><li>Finally I would personally apologize to all the people affected by the issue in order to restore my self-confidence among the stakeholders of the project. </li></ul>
  7. 7. Q:2 – What mistakes did Young make that contributed to the problems at the end of the case?
  8. 8. <ul><li>Didn’t inform the Green (Director) regarding the issues that she faced </li></ul><ul><li>Failed to predict the fire safety problem </li></ul><ul><li>Didn’t care about the signs which she got about the negative impact on IS department. Ex: Smoky the bear sign, 70% only responded to mails </li></ul>
  9. 9. <ul><li>Carelessness - Deleted the wrong files </li></ul><ul><li>Because of having poor relationship with Samantha, she couldn’t find the problem which had in Netscape web pages </li></ul><ul><li>Failed to develop positive relationship with other staff in the institute </li></ul><ul><li>She wasn’t a good communicator and effective leader </li></ul>
  10. 10. Q:3 - How could she have managed the conversion project better?
  11. 11. <ul><li>Young could have informed the Green (Director) regarding the issues that she faced and that may not cause disappointments </li></ul><ul><li>She could have clearly identified the risks and create a risk assessment and a risk response matrix, since she also had prior experience involving in four similar conversions when working at Evergreen Systems </li></ul><ul><li>She had been avoiding weekly staff meetings and staff lunches where she could have spent more time with the staff to know them well and their culture which could have enabled more support </li></ul>
  12. 12. <ul><li>She could have taken the advantage opportunities by gaining the knowledge the way the new system makes lives easier in the institute staff while talking with them </li></ul><ul><li>Staff of WOI worked irregular hours where she could have effectively communicated staff, at least one week prior, about the briefing meeting and its importance which could have increased the attendance level as well as clarification of many of their issues. </li></ul>
  13. 13. <ul><li>Her team had five bright part-time students who were eager to work where she could have given them more responsibility and guidance rather than supervising which could have improved the flow of communication and ideas. E.g.- Samantha confessing the issues on websites far too late </li></ul><ul><li>Improve leadership and communication skills </li></ul>
  14. 14. Conclusion <ul><li>Project success will be depended by identify the different stakeholders who deal with the project, their expectations and the way to develop positive strong social relationship with them </li></ul>
